Your Team Doesn't Need to Become Platform Owners, But It Helps If They Speak the Language

Picture this. The Development team for a small company has been working for months to launch ServiceNow and has moved all configurations into the Test environment for testing. The Platform Owner, who is also the Test Manager, pulls together a handful of testers from the business, the ones who will actually use this thing every day, and says, “Okay, it’s time for UAT. Let’s walk through your scenarios.”

Silence. A few people glance at each other. One finally asks, “Wait, what exactly are we supposed to be doing?”

I’ve heard versions of this story more than once from Platform Owners I’ve interviewed while building the career journey. The platform is solid. The plan is solid. The gap is always the same: no one has taught them the concepts the Platform Owner needs them to understand.

A Platform Owner can’t carry an entire organization’s platform literacy on their own, and they shouldn’t have to. If the people around them understand the basics, roadmap conversations get shorter, workshops run smoother, and fewer decisions need to be re-explained.

You don’t need a team full of Platform Owners. You need a team that understands the vocabulary and concepts. ServiceNow University already offers that training, and it’s free.

START WITH THE FOUNDATION

If someone on your team has never touched the ServiceNow AI Platform, don’t skip this step, no matter how busy their calendar looks. What is ServiceNow and Welcome to ServiceNow are foundational courses that give everyone the same starting point. Everything else on this list assumes that baseline. Skipping it doesn’t save time. It just moves the confusion further down the road.

BUILD A SHARED VOCABULARY

Once someone understands what the platform is, they’re ready to learn about some of its applications.

ServiceNow Applications that Drive Platform Success is the right next step for almost everyone. It’s a brief tour of the key applications your Platform Owner is likely juggling, just enough so that the teammate knows what’s being talked about instead of quietly looking it up later.

If someone on the team is further along and wants to go deeper, Anatomy of an Application is worth pointing them toward. It gets into the weeds of how an application is built, and that level of detail isn’t for everyone. Treat it as the next step for a teammate who’s curious, not a requirement for the whole team.

UNDERSTAND HOW WORK GETS DONE

A Platform Owner doesn’t implement everything alone, and the team probably has a hand in the process more often than they realize.

The Implementation Roles and Responsibilities Guide lays out who typically does what during an implementation, which clears up much of the confusion I often see. People assume a role based on a job title, and the actual responsibility lies elsewhere entirely.

Choose the Right Software Development Methodology is a quick, scenario-based course that helps learners identify which approach best fits a given business need. Together, these two courses answer the question: wait, whose job is this?

UNDERSTAND WHY THE ANSWER IS OFTEN NO

This is the part that frustrates teams the most, and it’s almost always a context problem, not a communication problem.

Build a ServiceNow Roadmap and Get Value Quickly and Deliver Business Value with the ServiceNow AI Platform are both short enough to knock out in under ten minutes each, and they explain the thinking behind roadmap prioritization. Once your team understands that a roadmap is built around value and sequencing, not personal preference, “not this quarter” stops sounding like a brush-off.

SHOW UP READY WHEN YOU’RE PULLED IN

Your team will eventually be pulled into a workshop or a testing cycle. Usually with short notice.

Prepare to Host a Workshop and Prepare for User Acceptance Testing (UAT) walk through what these processes require for both the person running them and participants. A teammate who has seen these courses before doesn’t need a crash course the morning of. They walk in already knowing what good feedback looks like and why their participation matters.

KNOW THE GUARDRAILS

Last, but far from least. Every teammate benefits from knowing the basic security and support model, even if they’ll never touch those settings directly.

ServiceNow Security Program Overview explains the controls ServiceNow puts in place to protect the platform and its data.

Now Support and What It Can Do for You walks through how the support process works, so the team knows where to go when something breaks instead of routing every question through their Platform Owner.

THE VOCABULARY IS THE INVESTMENT

A Platform Owner’s credibility isn’t just what they know. It’s how well the team around them can keep pace. Every course on this list takes little time to complete. None of them asks for a semester of someone’s time. They ask for an hour here, ten minutes there, spread across a team that will use that context in the very next workshop or testing session they’re pulled into.

That UAT room doesn’t have to go quiet next time.

Has your team ever sat through a workshop or testing session where the gap wasn’t skill, it was vocabulary? Drop it in the comments. I’d love to hear what closed that gap for you.
