Gatekeeper to Guide: Onboarding Your Business Process Owners into Catalog Builder
Platform Academy | July 30, 2026
Your service catalog shouldn't have a single point of failure—and for many organizations, it does.
In this Platform Academy session, we tackled one of the most common scaling problems in ServiceNow: the IT bottleneck. When every new catalog item request runs through a single team, backlogs grow, business departments get frustrated, and shadow processes start popping up outside the platform entirely. We walked through a better way.

From gatekeeper to guide
The session introduced a delegated authoring model where business process owners take the wheel on catalog creation, and IT shifts into an oversight and governance role. The goal isn't to hand over the keys. It's to give the right people the right tools, with the right guardrails in place.
Finding your first process owners
Not every department is ready to start on day one. We covered how to identify the best candidates: teams with high volumes of manual, low-risk requests, like HR benefits inquiries or Facilities move requests, where the process owner is eager to improve how work gets done. Starting there keeps risk low and builds momentum fast.
Catalog Builder: Safe by design
Catalog Builder is built for exactly this scenario. Non-technical users can create catalog items without writing a single line of code. Admins retain full control through templates that restrict access, pre-define fulfillment flows, and lock in mandatory variables—so process owners can build confidently without touching global system configurations.
Now Assist makes it even easier
We demonstrated how a Facilities Coordinator with no prior ServiceNow experience used Now Assist to build a desk move request item from scratch using plain language prompts. The session also showed how natural language can be used to add conditional logic, like dynamically showing or hiding fields based on user input. No scripting required.
