ChecklistPRO - Group Member Management

TYGR LLC · Mar 03, 2026 · video

All ServiceNow customers have Users and Groups, but how do you ensure the right people are in the right groups? What are the implications if the wrong people are in a group or if necessary people are excluded? These are problems that every ServiceNow customer faces. It's a critical data stewardship issue and we built a ChecklistPRO solution to solve it. We provide it free of charge to all our ChecklistPRO customers. We call it Group Member Management. What does this solution look like, and how does it solve the problems we mentioned? If you manage a ServiceNow group, you are likely the best person to determine who should be in it. In this example, Aleen manages the software group but lacks ServiceNow roles so you can't assign her tasks or even send her an out-of-the-box approval request for review. ChecklistPRO works fine on either end, our Checklist Approvals and Checklist Assignment features do not require ServiceNow roles. ChecklistPRO provides a page where you can see all your Checklist Approvals and Checklist Assignments, both open and completed. Under the Open Checklist Approvals, we see the "Group Member Audit" for the Software group which Aleen manages. She clicks to see the list of all members of her Software group presented as a checklist. Aleen can uncheck anyone who should not be in the group. She can also use the "New Person" picker to find and add people that should be in the group. Once she completes her reviews and updates, she can click the "Approve" button and ChecklistPRO will update the group in ServiceNow. If you have IntegrationHub, we also have an integration that updates Active Directory. Behind the scenes, a scheduled job runs at whatever frequency you wish to govern your groups. This is one of many, pre-built, critical data governance solutions we've built for our ChecklistPRO customers. Other similar solutions include Employee / Manager Management, Employee / Department Management, Employee / Location Management and so on.
