hello everyone and Welcome to our February 2024 store release what's new for health and safety thank you for taking the time out of your day to join us and hear a little bit more about our product release in terms of our speakers today we have some really great speakers joining us from the product team so first I'm Claire I'm an outbound product manager for our health and safety team I'm joined by Allison our director of um product management for health and safety and I'm also joined by Shaina who is our inbound product manager for health and safety as well so each of us will have different points that we'll be talking um throughout our presentation today and then we also have Jordan who is here from our product management team as well and so if you put any questions in the chat um we will be sure to respond so just wanted to introduce who's here with us today just need to cover our Safe Harbor statement today if we do make any future future forward statements as it relates to product and road map um we might make mention to those so we do um need to cover our Safe Harbor today that they can be changed um as we get closer to our release here and today's session is a part of our live on Surface now which is a curid event series to connect you with surface now experts and peers that help you deploy your products and Achieve faster value so we do hope you'll join us again event it'll be prompted to fill out a short survey thank you for all your feedback that you provide um we host these quarterly like I said so we love to hear your feedback what we're doing right and where we can have room to grow so for today's agenda we are going to be covering what's new in our February release so um the first Thursday February believe that was February 2nd we came out with our February release and so we'll cover what we released in that and then we will go more in depth with our actual product so we'll first cover job safety analysis we will then take a look at health and safety risk assessments and then finally not really what's what what was in February but we did want to share what we updated in terms of our December patch as well so you're aware of all the changes that we've made in um our product since our last release which was November so to start we'll cover what's new in our February release in our February release we released a new Plugin or new top level application um called health and safety risk management and within that we released two new features so the first one is job safety analysis so being able for your employees to report jsas and we included the ability to create job-based templates um have controls and Hazards for those jsas we then will cover health and safety risk assessments so being able to create um health and safety risk assessments um and with that you would use the same controls and hazards that we're going to see in JSA um and also be able to create personalized risk matrices so tailored to your organization's own risk requirements and then in our December patch we updated uh with a new property to disable the incident Playbook um and also our Hospital address field so previous to that um it was referencing the CNM location table now you can type in your Hospital address so we will cover this more in depth and we're actually going to do live demos so you get to see the product um but we're excited to share our February release okay so first for our job safety analysis feature um this is going to give employees the ability to review understand and access safety hazards and controls for their role so this is based on their job um if they're in a high-risk job where they need or they're working with hazards in their jobs they have the ability to create these jsas um we've made it available with an Omni Channel experience so on employee Center and now mobile um employees will have the ability to submit these jsas and I'll demo both of that for us um and this is going to allow employees to identify what job that they're completing the hazards that are present as well as the controls um that are there um to keep them safe your health and safety teams will have easily um easy access to create those personalized job templates and update hazards and controls so we've put this actually in our health and safety workspace so you can take a look um so you can edit those templates hazards and controls without actually having to reach out um to your it team or to um a partner to help you do that you have the ability to um make those edits and it's incredibly flexible um and then last you'll have visibility into past JSA so if you need to create reports or pull audit um on those jsas you'll have full visibility into what's been submitted so we'll now get into a solution demonstration and take a look at what we've released for jsas so we're first joining our employee here within the employee Center and if we navigate to our health and safety taxonomy here we can see um all of our health and safety features and applications that we've released over the past couple of releases so things like our health and safety Incident Management health and safety observations and now with February we have the ability for jsas within jsas let's extend that um within jsas we can either create a JSA or view my jsas which would take a look at viewing past jsas that have been submitted our employee here can first start their JSA by filling out their job location again pulling from the WSC location hierarchy so we can say Boston um if our employee is a field worker or their offsite for um their job we can actually type in that job location manually next we can name our JSA so we'll say Feb 15th demo and select the job type so this is pulling from those pre-populated job templates that your health and safety team would set up um and you can be very specific with these specific job types so right now we have some more general ones like construction or Warehouse um but you have the flexibility to personalize them um and make them as specific to those specific job tasks that the employees are completing we'll say construction choose our date start date and expiration time and if you notice when I populated and chose construction work template automat Al our hazards and controls are going to pre-populate so these have been selected by that health and safety team as you're creating your job templates and we did this for employees to give some more efficiency as they're selecting um and working through their JSA exercise um and so they are able to see these automatically um if there are other hazards um in their um as they're doing their job they can delete these they can select more in these are just pulling from that list of all the all of your health and safety teams hazards so we can save that off if any other Hazard is present but it's not available in this list because it hasn't been officially put into um service now yet we can actually type in that Hazard as well and then we can um start going through and identifying the controls that are put into place to keep us safe from these hazards so we can see the name of these controls um and similar to our hazard category here we can delete them can remove them all add any other control measures and fill in um additional control measures that aren't present next we need to inform the employees or select the employees that have been informed if your um employee is working in a group and it's um others need to be informed of what hazards are present as well as what controls have been put into place to protect them from those hazards um or mitigate the risk so we can choose our employee and this is pulling from that CIS user um table um so we can just choose our employees here we'll just choose Alysa and we can also type in any informed workers again we've made this very flexible to support um employees that need to fill in additional information um since uh we want employees to have ease of use as they're completing their jsas they then can add any remarks submit any attachments if needed and submit this off so our employee then would be able to see this submitted JSA I'm not going to be able to make any edits on that but because um they've done the exercise it's completed and then we can view our prior um jsas I next want to walk through quickly um how a employee would actually submit this on our mobile device this is an omni Channel experience and not our employees are not always sitting at their desks and so we wanted to make it as flexible as possible and so we have it on our now mobile app we'll get that shared for us so we're meeting our employee on the now mobile app so our now mobile app um is where our other employee facing applications are um at service now so if you have health and safety Incident Management this would be the same place if you have other um products like HR or legal service delivery or even workplace Service delivery it's going to be that same application for them to use so they're not going to have to get an additional um app for them to download we're meeting our employee here who has the role of JSA reporter um and they need to create that JSA so again they are able to um start quickly filling out this JSA information we can choose our job location if it's not available we can enter it manually and then we can fill out things like the name of the JSA and the job start date and time the only difference between the mobile experience and the experience on the desktop is being able to have um the job templates um on mobile so the employee would just need to go and manually fill out the hazards we'll say that these are the hazards and then these are the controls and they add them to the list here we can then select the employees that have been informed so we'll say Eileen and we can select more than one employee then we'll add off any remarks and any attachments so if I were to click that um camera I could actually take a picture from my mobile phone if I wanted to show um where I was doing the work the environment that I was in for my health and safety team and we'll submit that off last I'll show where our health and safety team members would be able to um would be able to see all of those submitted health and safety um jsas so we'll get that shared and so Shaya is going to cover this a little more in depth when he covers risk assessments our updates within the health and safety workspace um but if you're familiar with our health and safety workspace we have our health and safety Incident Management application um our jsa's our risk assessment and then we' we' also added this settings area which is where um you'll be able to see things like your hazards list your controls list those JSA templates um as well as add those risk matrices so I did want to call those out that this is actually where you would be making those updates and changes if you have those specific roles um to each of those lists we quickly show our JSA list we can see the jsas that have been submitted um and for an actual customer you would have a lot more jsas than three in here um so just wanted to Showcase that you will have visibility after those jsas are submitted you can report on these you can pull um if you needed to do an audit um and then you can see all of the information that the employee has submitted that is everything I've prepared to show for our JSA feature and I'll pass it off to Shaina to cover our health and safety risk assessments thanks Claire okay let me just share my screen okay hopefully everybody can see my screen okay um okay so let's take uh a bit of a look at safety risk assessments so so in this case uh the safety risk assessment is something that will be completed by a risk manager Persona which we provide out of the box in this release and they would be working in the health and safety workspace so this experience sits entirely in the health and safety workspace and our risk assessment features more of a higher level risk assessment of risk tool than the JSA which would which we just saw which would be completed typically at the point of work of an employee working on a a high highrisk task for example um but the risk assessment is a little bit more higher level where we do an assessment of risk um so uh this is where we identify what controls are required to handle these risks as well and then assess the impact that those controls have had in mitigating these risks H and we do that by assessing the risk levels after controls are put in place not just before so this gives a full assessment of the original risk and a way to log the effectiveness of the controls that were identified so the the safety manager can then create and work with custom risk matrices uh which allow them to define the level of granularity that the assessment of risk can use as well as Define what your risk tolerance levels are and you can create as many of these risk matrices as are required and you can choose whether they're 2X two 3x3 um or maybe an asymmetrical risk Matrix of a um 2x4 for example um yeah so I think the next thing to do is jump right into an instance and have a look okay so what we're seeing here is uh risk assessment within the health and safety workspace and we briefly saw the health and safety workspace during Claire's demo um and on the left you can see all of the options that you have in the health and safety workspace so at the top we've got our landing page with the dashboard we've got our Incident Management and now because we've got a unified health and safety workspace once you have the health and safety risk management plug-in installed you will also see the JSA icon the risk assessment icon and the settings icon that will bring you to all of the different aspects of the new health and safety risk management so let's jump into risk assessment um within risk assessment you will see two main lists so you've got the list of risk assessments with the filters below you also have your risk actions so these risk actions are going to be actions that you create as part of a risk assessment so they'll be related to any of the risk assessments that you see here however your risk actions are related to the list of actions that are shown in your Incident Management and your jsas so we have a universal actions list so you can keep track of all of your actions in one place so on the risk assessment list H it's very easy to jump in and and have a quick look at any of the risk assessments that are already logged so you can select the information icon get a nice preview H if you're familiar with service now uh workspaces you'll be familiar with this so you can very quickly jump in update your risk assessment or check the activity on a risk assessment by adding you know you can add your own comments check the comments that are already in there H same with work notes that are private to the people assigned to that risk assessment and you can also see the attachments and any other changes on that risk assessment so let's have a look quickly at the warehouse risk assessment here for a location in Indiana Avenue so in this risk assessment we can see uh the the main details of the risk assessment are on the the first tab so you've got your unique identifier a short description and then we have a state field so you can keep the state updated um to to highlight whether it's work in progress or if it's uh Obsolete and finished um we've got an approval State as well so if something is in review you're going to want to put it in review as we see here um and once it's approved or if it's been rejected that reviewer or approver will go in and change uh that value in that field so we can choose a location we can choose a risk Matrix so we mentioned the risk matrices you can have multiple matrices and you can choose that risk Matrix to help you decide how you want to define or assess the risk on this uh risk assessment and we'll have a look at how to create those risk matrices after this part of the demo and one thing that you need to do as part of your risk assessment is identify who is at risk so we give you an entry field to uh describe who's at risk uh from any of the risks identified and then you want to identify who are the people that are responsible for controlling this risk so when we jump into risks and controls we're going to be identifying some controls and these are the groups of people that will be responsible for implementing those controls in this Rel release we we've left it open-ended so you're not restricted to using or finding people who are already in the system or in groups you can type in whatever you need to in Bolt of these boxes we then have a watch list a description to describe the scope of the risk assessment and then we can associate who we want to review or a an approver that we want to assign to if we need to have a reviewer and an approver on this risk assessment so let's jump into the main part of it that's where we're going to be identifying risks and their related controls so on this we have a list and let's have a look at some of the existing risks and controls that I applied to this uh risk assessment so we're talking about Warehouse uh aare Warehouse risk assessment so you could have something like falling stock from racking so let's take a look at this um and we've selected this predefined Hazard um if a hazard doesn't exist you can add it to your hazard register um but this gives you access to the entire Hazard register where you can select various different hazards for your risk assessment and before we do anything before we put any controls in place uh we can assess what the I I guess the the raw severity and likelihood is of that Hazard before any controls have been put in place and this is where the the chosen risk Matrix comes in so you have predefined severities that will populate this drop- down box and you have predefined likelihoods that will populate this box too um we can also describe what the effect is of that Hazard so what would happen if this Hazard was to impact somebody so we can see here injury could be caused by falling stock from shelves so then you need to put in some control measures that would mitigate this effect so we've put in guard rails Steel C boots in case something falls on somebody's feet um and a course of work management additionally we've identified that some training needs to happen uh we didn't have uh the control measure for training in there but we have a a free text entry field for adding any additional controls that might apply where they can put them in there these can be reviewed afterwards and added to the control register so once you've put in your controls you can then assess your severity and your likelihood after those controls have been put in place so this is where you would log how effective those controls are at mitigating that risk um all of these risks and controls have the standard composing activity section so we can put in some notes we can add some attachments as we see here okay so once you've added uh all of your risks and controls you could have many or you could have a few like we have here you're also going to want to put some actions in place to prevent uh these kind of things from happening in future so we can add preventive or corrective uh actions um that would exist on this list here so we can see here that um maybe the the warehouse was a bit too dark so we've put in a corrective action to install some new bulbs and we've also put in an action here to make sure that somebody from the safety team reviews the additional controls and adds them to our control register so if you're familiar with our health and safety uh Incident Management the actions form is very very similar to what we see on health and safety incident management also with the compos and activity and attachments in the contextual cyer Okay so we've mentioned a risk matrices on this uh risk assessment form which you choose from here um once you have an admin role or the risk manager role you will have access to the risk settings page where you can jump in and you can manage all of your risk uh matrices so you can have many MK risk matrices you may have one per location uh you may have one per uh different building that you have um but you can create as many of those as you need and choose them on your risk assessments so let's jump into a basic 3x3 that I created earlier um you can give it a description maybe for a very specific type of job or a regional um regulatory thing that you need to you need to create a specific risk Matrix for that region and this is where you would Define your likelihood and severity so on this basic one we just have High medium and low you may have very specific names that you give your high medium and low in your company we can also choose here how many uh uh likelihoods and severities we have on our Matrix grid and then below here we can Define what your company needs as its risk tolerance so we can choose the range and we can decide whether it's a high medium or low and this is how your risk is assessed overall in a risk assessment and where we saw that list of risks and controls the overall risk assessed will be the the highest level of risk from that list of risks and controls so that is basically it for uh health and safety risk management if you do have any questions be sure to add them to the chat and uh we will do our best to answer those questions at the end thank you very much I'll hand it over to Allison great thank you Shaina um so next what I'm going to cover are are the um enhancements that were in that December patch release that Claire described a little bit earlier so let me get my screen shared and I can show those quickly um and while I'm doing that one thing that I want to highlight about the items that were in this patch release they were 100% customer-driven in fact some of the customers who requested these enhancements may even be on this call or um listening back to the recording so I just want to highlight that um our entire team is listening to customers and feedback and I know we've even gotten some feedback in the chat today so I want to encourage everyone to just keep um submitting those ideas and um acknowledge that we are listening to those and trying our best to prioritize accordingly so the first thing that I want to show is what Claire mentioned earlier around um how we're handling the uh facility or location address information for um hospitals so what we're looking at here in this instance is an injury record and we can see this healthc care section we have um checked the box that treatment has been administered offsite and the thing that um I want to point out here is that these are now free text or string Fields you no longer have to populate your location data in your common location or cmn location table obviously the feedback that we had received is that it's not realistic for you to store those more permanently in that table and it's easier to be able to ad hoc enter that as you're entering in the entry details so that's that enhancement around the facility um address the next quick thing that I want to show that was customer driven and was really um in that smaller enhancement release is the ability to um disable our Playbook experience so I just navigated to our um kind of properties or Administration section for health and safety we've had this page but the new thing here as of that December release is this bottom um property around disabling that Playbook and um this again was customer-driven and I'll add a little bit of context so the Playbook is very nice it is is you know it guides you through the steps of an incident and some customers prefer that however some customers don't feel the need to have kind of that guided experience and they also needed to retain flexibility around the um uh ability to have kind of this relationship between an injury and an illness and an incident you may not always have an injury or illness or you may have multiple and so for now um the ability to turn off that Playbook retains that flexibility um and under Safe Harbor coming in May um that same flexibility will be mirrored in the Playbook experience so those were the very quick um enhancements that were in that patch just wanted to show them quickly in the instance as always if there are any questions around um these please feel free to put that in the chat and I will stop sharing I know now we wanted to talk through um Q&A and I know we've received some live questions in both the chat and the Q&A panel so I think we can take a pause and kind of go through some of those live and just go back and pull up some of the questions I know um one of the first questions that we received from Paul was around um if we have delivered Hazard and controls that we're shipping um as a part of what Shaina released so um I know we kind of answered that Paul in the chat um we'll definitely follow up with you offline with an email um thanks for that suggestion we do have a couple of example um demo data items that populate there but it's certainly not comprehensive so we can chat more with you about this idea and how we can help um offline so thanks for putting that in the uh the chat and then I know we also received some um workplace Service delivery questions in the chat and we answered those around some enhancements that are coming so Raj will follow up with you also offline to discuss those in detail um and I'm just looking back at the chat um to see what else has come in live we do have one from Paul on road map um so because the session's recorded Paul we won't be talking about road map on this one but when we schedule that call and when we when I email you we can discuss more in depth what our plans for road map looks like and I do have some stage questions too Allison um just some frequently asked questions that we've been getting I thought would be good to cover here um the first question is can we use both irm and health and safety risk management yes absolutely we built that in mind um for our customers that are exploring irm or already own irm um health and safety risk management can either be Standalone or work um with the Enterprise resolution um it is not a it would not replace it um but we did build health and safety risk management for the specific um health and safety Persona and then the next question that we get um asked frequently um and I know Allison is just a reminder can we add multiple injuries to an incident once the Playbook is disabled yes absolutely you can add multiple injuries to um that incident if the Playbook is turned on current functionality is um you can only add one incident to one injury or one injury to one incident um per the data model we'll see if there are any other questions um coming through the chat CH will um hang on for a bit to answer any of those and as people are thinking um I'll share another slide of resources that we have um so if you are interested in learning more about our February release um we release every quarter um with our release a community uh on our community page a Blog so be sure to check out the blog this is a little bit different than our documents page um docs are more Technical and this lays out um with screenshots of the product the full endtoend um process of whatever we're releasing so whether it's submitting a JSA configuring the JSA um the roles that are associated with this uh we like to just send out a summary essentially for our customers
