that one will be of particular interest since it will continue on the discussion that promotes going to start for us today and quickly in case you aren't a current privacy customer um I just wanted to go over just a couple highlights on you know why service Now privacy management the main one obviously is it's our platform you know privacy is built on the now platform so it can connect you know the processes and systems across the Enterprise for you um you know privacy and irm is super powerful and you know that way you can connect and collaborate with security data governments risk management compliance so just very um uh strengthens you know the power of the Privacy tool we have um and then for vendors you know connecting privacy and third party risk management will help oversee that um and I can I can let you read the slide I won't read through everything but you know it's easy to configure and uh we have all the the main reasons you would want to um have a privacy tool data mapping and um all of that so let me go ahead and pass it over to promote I don't know if you want to say one final thing here or not but he's going to jump in and show you our new uh features that are excited to share with you today thank you Jenny and thanks for introducing me hello everyone uh glad meeting you all and uh U just being on this screen yes uh privacy is built on the most configurable platform which connects various processes systems uh vendors and also it kind of closely connects with the irm solution which means privacy is not looked from a siloed scenario point but it is looked along with other regulations so when it comes to privacy posture looking at the entire uh compliance uh Arena it comes out naturally together with all the other regulations as well and it enables that uh integration and as well as um collaboration between various teams right so that's where the power of the entire privacy solution would come in on the service platform with a close connect to the irm with that what I'm going to do next is going to go through the next set of um slides where we are going to talk about we are going to talk about the key features of um uh privacy management which are released as part of the Washington release right in the Washington release what we have what we have done is we have released privacy case management solution which is going to help you manage your privacy cases incident and if they have breaches even manage the Privacy breaches right and it comes along with the radar first integration and it has additional features such as uh yeah it has additional features such as uh uh exporting the Privacy case to a PDF record and also managing email communication from the Privacy records itself itself right so if I just go further down on that like I said it we are we are doing a privacy case management GA which was not the earlier case we had it in available as part of our Innovation lib relies now we are moving it out of the Innovation libr relas and making it generally available for everyone we have introduced uh radar first integration as part of [Music] our uh entire privacy case management offering now radar first is a solution which automatically provides risk assessments on the Privacy incidents by uh by validating the Privacy case details or the breach assessment details with various regulations and gets you actionable notifications and obligation within seconds and that's where it will help you not just uh uh collecting the details as a part of reach assessment but it enhances uh the outcome of the breach assessment by giving you actionable notifications in addition to that to quickly go over the list of features we have uh PDF reporting which means you can create multiple templates uh as part of a privacy case which can be either used for internal reporting or it can be used either for external reporting maybe to a regulator maybe to stakeholder um and then share the details with them and also manage your entire privacy case related Communications with the external stakeholders be Regulators or external stakeholders from the Privacy case itself so that you are managing your entire communication and housing them under a single privacy case which is going to help you to refer in in the future with that let's get into the context of privacy case and try to understand how the entire privacy case workflow would look like and then get into the demo here is how the Privacy case uh workflow would look like where you get to see that a privacy cases can be reported from two Avenues one is from the employee Center which is like your inonet portal where any employee can go and Report privacy case and additionally uh privacy cases can also be created created using the apis that we have provided so apis could be um integrated either from existing service now Solutions or even from the third party Solutions where you can using these apis you can create a privacy case once the Privacy case is created it goes through its own investigation workflow uh we provided these investigation workflow steps out of the box however these are highly configurable to um but referring to the outof thebox workflow we have trien investigation phase where the Privacy team will be performing investigations or they can perform reach assessments or can configure additional assessments and perform them to collect the needed details and understand the impact of the particular privacy case right so we don't qualify the Privacy uh case originally as a breach it it goes as part of the entire investigation cycle so as part of investigating the Privacy case um understanding what are the impacted areas what are the policies that got uh that are involved in this or related to this particular privacy case or regulations or it assets and collect the needed evidences to understand if there is a breach associated with it or not if there are fail controls if there are risks associated with it all those investigations can be done as part of the investigation workflow post that a resolution workflow is provide uh step would come into picture where the needed remediation actions can be taken this could be notifying a regulator or could be notifying the clients where we can track tasks within the resolve state to perform the needed actions within the um within the time that Regulators or Regulators have prescribed beyond that we get into the postc case review scenario here is where we performing an entire post case review understanding why such a privacy case has come into picture and what are the causes and consequences what are those issues maybe um modifying the policies maybe um identifying the fail controls or performing risk assessments again uh to understand where exactly uh where exactly the uh primary cause was and then create issues to make sure uh these issues are tracked to the closure so that such kind of privacy cases would never come into picture and as part of this entire workflow you will have to collaborate various uh stakeholders could be it employees HR legal right could be many others such steams that we may have to work with closely as a privacy team and collect the needed details so this is how the entire uh privacy case management workflow would look like so now what we will do is at this point in time we will switch to the demo and try to understand how the ENT privacy case management workflow would come into picture and then as a part of Second Step uh in the demo so I've divided this into three parts one is just showing you an overview of privacy case management workflow then we have a specific workflow for breach assessment alone I'm going to show you that and last we will go to the radar first integration and have a quick sneak peek on how radar first integration is all about uh in this privacy case management right and then see the benefits out of it however we have a dedicated session on the radar first integration uh like um Jenny showed us so would recommend you to attend that to get more details about the radar first and as well as this entire integration with that we'll switch to the product and try to see uh the Privacy case management for cl so I'm switching to the product so privacy case management is available as part of our existing privacy product it is it as a feature available as part of the existing privacy product and all the Privacy cases can be tracked from this particular landing page so we have given a dedicated landing page for the Privacy case management to see uh for the Privacy case management so that privacy case NLS um can go through these reports and then manage their work but to start what I'm going to do going back to my workflow I'll start from where these privacy cases can be reported from the employee center point of view right I'm going to take this as an example I'm going to show you how privacy cases can be reported for that I am switching to the layout so over here I logged in as an employee I I go to my employee Center and on the employee Center what we have provided is that on risk and compliance we have report privacy case as an option right so once you launch it here you have all the details that are needed to be collected from a privacy case point of view and um this there could be many such details that can be configured as well but here is a outof the Box form that we have provided to just show you how this form would look like once it is filled I have saved one of this filled form in the drafts so I'm just going to draft to pull that out and open an existing report privacy case d draft and here is an example on how it looks right so we can provide a title as an employee I can provide the description understand given the understanding with regards to this particular privacy case select the type of the Privacy case multiple case uh sub types were given here these are configurable again and date of occurrence date of discovery along with various other details such as whose data got impacted here what are the number I mean how much is the number that we are talking with respect to the impacted individuals what kind of personal data right again this is a choice list where you can select from the existing choice however if there are missing items you can provide them as part of the next uh option that has been provided and various options such as key stakeholders case origin details along with the attachment right all these details can be uh provided and it can be submitted right once this is submitted it lands with the Privacy case team to start looking into it so if I switch to the Privacy manager View and just refresh this page we get to see that an assigned case has been uh identified here and privacy team can start looking into it by getting into the details of it right so this is how a privacy case can be logged using the employee Center right once the Privacy case is logged and it gets into the investigation it has various other details that uh can be captured so I'm going to open an existing privacy case to show you what those details are for that I'm getting into an investigation related cases to pick one of the Privacy case to get into the details of it here is how privacy case would look when it has been identified with various details as part of the investigation workflow what we provide right there is a specific workflow like I mentioned that we provide and you get to qualify if a particular privacy case has a breach or not so again this is just an option to qualify by default uh the uh these options are not provided which means only when you qualify based on your investigation results such reports show up on your screen you have a timeline with various stones and various options for instance um here you can see that where you are when is the case closure when the case has uh occurred when it was discovered all such details can be seen along with other Milestones uh that we have provided as part of the pro uh solution in addition to that if there are case Ts that you're tracking could be an assessment could be a uh could be an investigation uh and that can have its own workflow so all those case tasks related to this particular privacy case can be tracked on the overview page as a quick uh reporting option but if we get into the details of it then here is where we get to see that a priv what is the Privacy case all about what subtype it is you can Define the priority for this and um details such as personal information details can be captured here along with other details such as who is the Privacy team that is working on it maybe you have multiple teams and you assigning high priority issues to one particular team and the low priority issues to other team so you can track that along with the watch list and the primary origin related details and here are all the schedule options that we provide you can um you can make use of them and also like I said once the breach has been identified then you have an option to select if the breach is detected or it's a future potential or it is not a breach or by default it will be in the Tob dat mind State along with it you'll be able to capture at the end of the case root causes and as well as overall observations and preventive measures as part of it like I mentioned in the early uh in the earlier part of the demo I'm I'm going to come to the breach assessment in a while but uh as part of the other aspects if I just go through what are all the personal data elements that are associated with this particular privacy case who all key stakeholders right and the action tasks and here is where we get to perform various type of action task could be an investigation task could be an assessment that you wanted to trigger um all right so that you collect all these details and based on the investigations that you have done we get to map what regulations are impacted right and based on your assessment you can say whether by regulation let's say the individuals data spans across multiple regions then you get to specify by region whether uh it needs to be reported if yes what is the lunman date associated with it all that can be tracked as part of the Privacy case itself in addition to the regulations you can also have uh impacted areas such as in this case could be an entity or it could be other aspects such as for instance um it could be an entity or location user or company details can be config can can can be mapped as part of impacted areas and this is again a configuration list where in case you wanted to add additional impacted areas that can that is configurable moving ahead in addition to the impacted areas you can also map related areas where we are saying these are related to a specific policy what are all the controls related or the citations related so that by mapping these things we identify why such privacy cases has occurred even though when there are controls and policies in place maybe there's a fail control maybe there's a policy correction that needs to be done so you can identify the relevant aspects related to this particular privacy case and then track the issues against the related items or the impacted items and you can track those issues to the closure so that on the related impacted items uh we would be able to correct them so that such kind of privacy cases would never come into picture lastly causes and consequences again this is another option where to understand why something has happened um in in in first place so we get to identify what are the causes uh whole bunch of causes were provided again these causes can be configured um these are the outof the Box given causes right what are the consequences and the observations that that can be tracked as part of this entire solution moving back once we have done with all the entire entire investigation we can also perform like for instance we can export this entire privacy case to a PDF record and we can configure multiple templates by default we have provided one template but multiple privacy uh uh case management templates can be configured so that one you may want to have it for the sending it to regulator one you you want to send it for the um leadership team or the executives so that uh accordingly the content can be extracted from the Privacy case to be sent it to the Right audience right and once we send it and and we select it and say export automatically a particular attachment will be provided right here and clicking on that you get to go to the entire privacy case report where you get to see the configured data coming into the entire U PDF document right here additionally from the Privacy case you can also compose emails so once you go here um you can send you can have multiple email templates configured and from here you can trigger an email for instance here I have an email configured for the purpose of the demo so I can insert the content uh from the template and then provide the needed details so that there's a standardized approach to send um uh any specific regulatory inquiries or reporting from this email itself so that um we can uh capture this email uh within the Privacy case which means if I go back to my privacy case as part of my emails uh tab here all the emails that have been sent out kind of uh will be seen here and also the emails that you receive and comes over here in this particular place where you get to uh track any communication outside the system related to this particular case in in one single Cas as such so that's how an entire privacy case workflow would look like so someone can report a privacy case going back um going back to my presentation someone can report a privacy case uh from an employee Center and it goes through entire work work flow right and once the Privacy case are in as part of the landing page you get to see various reports for instance how many cases are in investigation new or resol resolve across various States uh how many of these cases have been detected with breaches or not and from a case priority point of view you get to see the details also uh from a case uh Trends point of view these cases are coming from which location is it marketing HR right by business unit and by location you can uh you can see the reports along with the primary cause what is that one primary cause or what is the most common primary cause which is causing this kind of privacy cases can be seen here as well so that with this information the needed actions can be planned along with that you get to see an entire Trend report depending on open and closed uh uh privacy cases and the issues as well where the issues created out of privacy cases can be tracked to understand their closure and the workflow aspects of it so that's on the uh privacy case management high level workflow what we have not touched yet is on the breach assessment uh so I'm going to talk about breach assessment with a a specific example here right so if I go back to my privacy case and open this one here what you see a breach assessment tab right so what we have done is you can trigger a breach assessment from the Privacy case which is a dedicated assessment to get a lot more details um from related to a particular privacy case right so for instance if I go back to one of an existing privacy case where the breach assessment has not been triggered you can initiate a breach assessment by clicking this option right it basically uh brings in a task to understand what is the priority of it uh details of this particular breach dis assessment or provide due dates and schedules associated with this right so once this um and once this is sent lot more options would come as part of breach assessment which I'm going to show you in in in a minute but the whole idea is this breach assessment is filled so that you collect the needed details as part of this breach assessment and understand how uh the Privacy case uh or at what risk the Privacy case is and then take the necessary actions so one approach is to trigger a breach assessment from the Privacy case which you just saw here using this button but uh there is another approach as well where without even a privacy case you can trigger a breach assessment and out of a breach assessment you can create privacy cases as well what I'm going to do is in the demo I wanted to show you that option so that how you initiate a breach assessment um from using an API and out of that breach assessment how privacy cases can be created and can be managed I'm going to show you that workflow to show that workflow would like to set the context once again uh with an example so what I'm going to show you right now is just just uh uh one of the scenario and this is not provided as part of the outof thebox functionality but just wanted to show you a scenario um or take an example and show you how breach assessments can come in handy so let's assume um security ins response is one of the product within the service now and it it helps security team to manage any kind of security breaches maybe if there is if there is a system which got exposed um where where the data got exposed then security analyst will go through his own uh workflow maybe quarantining the server and eradicating blocking the respective IPS uh or malicious IPS and he has his own workflow in this scenario where uh a security analyst would be resolving it but at some point in time as part of this particular analysis if security team identifies that the data which got exposed has has personal data within it they can submit a breach assessment without even having to create a privacy case which means we can trigger a breach assessment to a security analyst and when they submit this breach assessment privacy team can review the breach assessment and then create a privacy case and go through the entire uh workflow to resolve the uh privacy case as such right so we're going to see the scenario like I mentioned this is not provided as outof the Box integration between these two solutions but just to show you the art of possibility I'm going to take an example and show you this ire scenario which was configured only for the purpose of the demo so I'm switching to the product what I'm going to do is I'm going to go to security incident Works uh incident response workspace and here I'm acting as a security analyst where I got uh security incident and as part of my workflow I identified as a security analyst that this particular security incident has personal data involved in it so for the purpose of demo what we have done is when you select this particular category and click this save a breach assessment is triggered to the Privacy um to the security analyst so again like I said this is just done for the purpose of the demo not as a detailed integration just to show the out of possibility so that uh in a security incident or in any other product could be an IT incident or could be a third party solution based on various conditions uh we can identify if we identify that it has a privacy impact we can trigger a breach assessment to that particular team automatically where privacy team here is not directly involved but we are sending a breach assessment in advance right uh and privacy team will get to know out of this particular assessment response so the moment uh security analyst clicks on it it takes them to the breach assessment where it has various details so for instance it come the moment we trigger breach assessment as part of the entire configuration we can set the due date um we can set a default due date and many other aspects but in this case this was assigned to the user uh who is security analyst and they can accept the work and start working on it right U by adding the pi artifacts on what kind of artifacts this entire solution I mean the breach assessment has meaning defining that regions let's say in this case it's in the Americas and the category is electronic which means the data is related to in this case uh related to American individuals and as well as um the category belongs to electronic or it could be verbal or it could be paper all of those aspects can be filled and uh and once we create we get into the next level of details of filling this particular breach assessment so what I'm going to do instead of filling the entire breach assessment right now I'm going to show you a fully filled breach assessment so we'll go back to the Privacy case where we have not seen the breach assessment details so there we are going to see the breach assessment details in full extent so I'm going back to my uh privacy case going to the list view opening an existing privacy case go to the breach assessment and see how it looks like so once the breach assessment is submitted for review here is how it would look where uh we get to see the details so this is a quick summary attached on uh and this particular reach assessment tab is available on the Privacy case itself where privacy team can see the summary of it they can see the impacted regions jurisdictions and all the uh additional information as a fix summary but if they want to get into the details they can go further here and then start filling into it right so breach assessment can be a standalone like I mentioned uh it comes as a review and from there we can create privacy cases as well so in this scenario I'm just showing a a case where I already created a privacy case out of the breach assessment and that's what you're seeing here so this is how a breach assessment would look like when it comes to the Privacy team where they're getting into the details trying to understand what are all those Pi artifacts right in this case the data related to this particular privacy case is spanning across various regions and if we get into one of it let's say if we get into the emia region then we get to see what what are those uh details related to this particular Pi artifact right uh the RO Ro of the organization the category nature of the incident recipient details and are there any risk mitigations that has been taken what kind of personal data uh that got uh impact as part of this particular U privacy I mean as part of this particular incident and also jurisdictions right uh by by particular region right we get to see in this case the individuals are related to the German region and how many of them impacted and all those details can be captured as part of the breach assessment itself we just go to again see Amer region it's going to be very similar just that we can add additional jurisdictions in this case California was added which means by California law or by Germany privacy laws all of those aspects can be seen um and can be assessed by the Privacy team to understand what is the impact across Global regulations uh looking at this particular Bach assessment right so in here I've just showed the California example but we can add multiple other options as well maybe in the Utah and many other Virginia those all those jurisdictions can be captured as part of the breach assessment response which will give us more additional St but once the breach assessment is kind of uh submitted here is how the details would look uh the SEC and this can provide a summary in this case as an example which I've showed you but this and then privacy team can take their own observations and see overall details about this particular breach assessment once the breach assessment is fully filled what would what would happen is here you will see an additional button called create privacy case out of it uh you right now you're not seeing because I've already created it but if the breach assessment is coming in as a standard loan then you will see an additional button to to say create a privacy case so that privacy team can review the breach assessment understand if it needs a privacy case if yes they can create a privacy case through which you get into the details of the Privacy case as such right so now what we have seen is the breach assessment aspects of the Privacy case where we have we have a privacy case to manage the entire workflow related uh to understand what regulations are impacting what uh uh what are the action tasks that we need to perform to manage this entire privacy case but to get to the details uh of this particular privacy case we have a breach assessment in place now that uh we have discussed about the breach assessment we will get into the next or the third part of the demo that is the radar first integration which primary takes the details of a breach assessment and provides additional understanding about regulatory obligations on the notifications Sprint so if I just go back to my uh workflow as part of the entire workflow what we have seen data first integration comes exactly at the investigation resolution state where for a breach assessment when we trigger radar first integration first automatically provide the risk assessments related with the clearer actionable notification aspects from various regulations within seconds right and the entire scenario of radar first integration would look like this right where service now is giving an entire workflow to manage your privacy cases and breach assessments as a workl solution however radar first is performing automated risk assessments to give you high uh to give you actionable items out of this particular uh privacy case knowing uh notifications has needs to be uh notification to The Regulators needs to be uh sent within few hours this particular integration would help in provide in getting the actionable item actionable uh decisions within uh within seconds again radar first integration is uh uh I mean radar first Services needs to be brought separate uh bought separately it is not part of privacy package it's a where the integration plugin is available for you if you have privacy case management with that uh if I switch to the product and show you how this demo would look like I'm going to this particular breach assessment and it is integrated to the breach assessment the entire radar first integration is with the breach assessment if I open this one here we have an option to initiate the radar first analysis right the moment I initiate it it um it just take a few seconds and uh we get to refresh the page to see the entire details related to the radar first integration as you may see here all the details related to the breach assessment like California Germany and other regions that were captured as part of the breach assessment were sent to the radar first and radar first has analyzed the risk associated with various regions and it has given a quick summary right so this is a quick summary from the radar first shown on the Privacy case management solution within service now but if you wanted to see a detailed report of radar first you can always click this report go to the radar first uh uh page and see a detailed um incident report right here so this is the incident which was created on the radar first side and if we go to the assessment here you get to see an entire actionable uh assessment details across various regions like in the Europe uh United States and as well as Asia where all the details that were captured um are kind of take can buy the radar first analyzed and then they provide uh uh needed guidance uh recommendations what needs to be done and also um wherever there are date constraints from notification point of view they highlight by when you need to report such a uh privacy case to the respective regulator so we will get into the details of radar first integration how it works uh the entire integration aspects of it and more details about uh the capabilities of radar first in the dedicated demo uh what we have planned as part of uh our webinar Series so we we're going to touch upon this in detail uh with the radar first team so would highly recommend you to join that session to understand rer first offerings in detail however moving back uh like I mentioned uh these are the three key aspects so if I go back to my uh presentation so the three key aspects of this particular solution which we have released as part of Washington is the under privacy case management is that we have a G8 product with radar first integration along with other capabilities such as exporting the Privacy case to a PDF uh for sharing the details to external stakeholders Regulators or um um or the leadership and we have email Communications also tracked from the Privacy case record so that any communication that is happening from the Privacy case can be documented within the Privacy case for future references as well uh with that I will pause for a minute and see uh yeah few questions asking here uh just looking at few questions one of the question ISS that privacy case looks quite similar to compliance case what are the additional values that privacy case brings in absolutely so uh the breach assessment what you have seen uh which is specific to uh privacy case is only available as part of the Privacy case and also uh there are additional functionalities such as matching information objects and also um uh templates related to privacy case all those things are available only as part of privacy case as such right so so it comes with a dedicated breach assessment uh which is specific to privacy and um um like I said even the radar first integration it is only available in the Privacy case since this is in the context of privacy case so all such capabilities only comes with the Privacy case management yeah uh will the Privacy case management and other and other new features be available within Vancouver yes uh these features not only in the Wasing but also these are available along with the radar first integration they are available on the vanc itself so uh those are the two questions uh and there is any other questions this is a great time to ask yeah I think there's one more are we automatically entitled to privacy case management if we licensed to privacy management yes you are automatically entitled to privacy case management because privacy case management is part of privacy management as an entire offering with that I will go back to the demo to show quickly how the configurations come together with regards to privacy case management so switching to the product um logging in and as an administrator so we provide three specific roles privacy case uh manager privacy case Analyst and privacy case admin to man to manage all the Privacy case related um all the Privacy case related functionality and also privacy case business user to report uh privacy cases as such right so you can um make use of these rules for uh by giving to an existing privacy team or if you have dedicated team only looking at privacy uh cases you can assign to them but coming back to the Privacy case configurations once we look into the Privacy case here we get to see details such as U is a private privacy case what workflow it has it has two workflows one for um one for the uh privacy case and the action task workflow as well so that you can configure these workflows within the Privacy case and uh um if there are assessment templates you can if you want to configure additional assessment templates that can be configured here and this is the template document template configuration like I mention you can have multiple document templates using this you'll be able to extract PDF documents out of the Privacy case and you can configure multiple um sub types along with with view rules meaning you want you wanted to control the form view with show height Fields with various conditions that is a possibility along with assignment rules which means U you can have specific rules talking about which privacy cases needs to be assigned to which group in case you have multiple groups then you can assign these based on various conditions to specific groups as such along with this uh you can configure causes and consequen again these are out of the box given list however you you'll be able to configure these things with the given configurations and like I said State model assessment templates and document templates can also be configured with regards to the breach assessment uh we provided an entire guided setup for it so you will be able to make use of the guided setup to configure the breach assessment uh that we have provided again these are all specific to privacy case management these things are not a
