organizations around the world from Financial Services to healthc care providers to government agencies and more all rely on the service now platform because of its unparalleled flexibility and ability to unify experiences across the Enterprise but they need to ensure that the data stored in their service now instances is secure that's where service Dow Vault comes in Vault is a collection of capabilities that helps organization s protect their sensitive data and increase security privacy and compliance across the Enterprise in this video we will focus on privacy and see how service now helps organizations find classify and anonymize sensitive data let's start with how we find the data specifically we want to find publicly identifiable data or pii I we will use the data Discovery feature to find the sensitive data stored in the service now tables these are the data patterns we will use for Discovery including the Expressions used to find the data and if we want to add one we can simply click the new button and we can view which data patterns are active here and if we want to add or remove any we can do so by clicking edit now for the good stuff discovering the data if we wanted to create a new discovery job we'd click new but since we already have a job completed let's take a look at that this was a full scan and we can see that it used all of the data patterns listed in the active data patterns to discover data we can also see the number of rows and tabl scanned as well as how long it took in this demo system but but most importantly it shows us the results of the scan and from here we can classify the data based on our data classes let's select two of the rows and classify them as personally identifiable information it's just that easy let's shift gears a bit and look at the data privacy workspace from here platform and privacy administrators can quickly view how they're doing and classifying their data Additionally the workspace offers valuable resources to learn more about data classification and anonymization looking at classification we can see the data models that already exist and can easily add new ones new data classes can be easily added with the click of a button and subclasses can be added under existing data classes for example personally identifiable information is a subass of confidential and we can see all of the columns that are classified as pii knowing how data is being classified is only half of the solution the other half is data anonymization thanks to service now's commitment to security via separation of privileges we need to elevate the role of this current user now now when we click on anonymization we are presented with information about the existing policies and jobs here we can see the pre-built anonymization techniques included in data privacy as well as any custom techniques that have been created for example the email anonymization technique is custom meaning that when we click on the drop- down menu we have the option to edit or delete it let's edit it to see what's included there are a lot of options at play When creating a custom Technique we can choose characters to exclude what to replace characters with and even where to start the anonymization once we have the technique created it can be Associated to an anonymization policy we can create a new policy or in this case let's view the existing one here we see the basic details like the name which data class it's going to use whether or not to CL the data when we look at assign techniques we can view and assign different anonymization techniques to columns in the table for example the mobile phone column is using the static replace with string technique and the email column is using the email anonymization one we just looked at once the job runs all data that matches the criteria will be anonymized in the column specif class ified by the publicly identifiable information classification using the techniques assigned to them in just a few clicks we've taken a mass of data automatically classified it and then anonymized it as organizations like yours start using service now they want to be sure their data is protected now as we've just seen with the unparalleled ability to find classify and anonymize data precisely to the specifications laid out by your organization service now ensures your data is safe and this is just one example of how companies can accelerate value and Innovation with service now the platform for digital business we make the world work better with prepackaged and configurable solutions for customers employees and your entire ecosystem all built on a common Cloud platform to learn more please visit servicenow.com thank you
