What's new for Asset Management: Vancouver Release
nice and clear very good welcome everyone to this now platform Vancouver release and we're going to be talking about the asset management products my name is Adam Smith Kens and I am a senior product and solutions marketing manager um and PE go ahead and introduce yourself hey folks uh PE Patel I'm part of the technical product marketing team here at service now and I primarily cover our item products uh Hardware Asset Management Sam cloud and Enterprise assets very good all right as we get started we have a safe harbor notice uh with forward-looking statements that means that sometimes we might mention something that's coming uh in the future we don't want you to make any of your buying decisions based on those type of uh forward-looking conversations very good and we have just a few housekeeping things you can hit this QR code with the little dinosaur there and um you'll be able to see different interactive events and uh things that are coming up uh me meetups and uh and things like that so very good let's jump in so first of all we're going to be covering three different products and and the technology excellence and then we'll also get to some things in the operational excellence area with Enterprise Asset Management so we're covering four different products but these uh up front we're going to be talking about these three different products now what's interesting is we we get to go through and look at all of the different features that are coming out and then we select the ones that we think are the the the most prevalent the the ones that'll be the most impactful and and then we select those to highlight in this type of thing now in our blog uh We've also included like the secondary features in some of that so make sure you go out to the community on the blog and see those and then there's some tertiary uh improvements enhancements you might want to go see the the documentation for some of those things that have been Advanced but we'll be talking about software Asset Management um there's there's several uh enhanced guided experiences throughout all of these different products and and we'll point to those uh then there are even more examples of how we've used our UI our new UI in the next experience such as workspaces where more of the things you do and the data you need are all in one place and then third there are several examples of how Asset Management products leverage and add to the platform approach that the now platform is known for you'll see examples of Better Together stories between multiple Asset Management products as you'd expect um but you'll also notice that there are better together stories with security as well Advance there we go all right I mentioned that we have success guides and guided experience and you'll notice this crops up in in some of the other products as well but ensuring that all the configurations are well organized and accurate particularly with Microsoft server and SQL Server um we can be it can be challenging and time consuming to address this the business seeks a solution that enables a quick setup and achieves value efficiently leading to an enhanced experience and greater management efficiency the solution provides a step-by-step process guiding users to surface prerequisite configurations perform them swiftly and verify the correctness of those configurations ensuring accurate data across all areas of the business so there's a lot of step-by-step stuff and you'll notice just in this screenshot those success guides which are part of the value Builder tasks um there's two we continue to build out more of those tiles uh in this case when we're releasing success guides for Microsoft um and then and then we have success guides for ilmt from IBM so anyway those will be very important for you to use and and to be able to guide some of your experience so the next one is overlapping usage and you know the CTO and The Architects often face challenges due to insufficient data for rationalizations and plan future applications they need guidance to consolidate drive down costs reduce Tech debt and mitigate risks associated with aging apps the solution lies in integrating software usage data to identify overlaps and optimize software expenditure this approach empowers Enterprise Architects with valuable insights for um application portfolio rationalization and strategic planning for future deployments and it can be used side by side with u products like our um application portfolio management or APM so you'll notice that it also helps with the overlapping not just of software in general but SAS applications and some of the things that we have by looking at what the usage is whether it's high or low usage um and then providing the recl Reclamation suggestions and automated workflows so with that let's let's jump over here now this one which is software bill of materials management this one is really tied into SE Ops and how we do things by understanding not only what the software is but the underlying and the components of the software and often that challenge faced by SE Ops and security teams is that the lack of detailed information about those critical vulnerabilities or those cves um that apply to to the software and the absence of the knowledge that's shared about the software components between applications as a result organizations are unable to act quickly in effectively when faced in security reaches or vulnerabilities in their software environment the solution to this problem involves integrating SE Ops and asset management utilizing software Asset Management visibility to link to the bill of materials of the affected software with this combined solution when a critical vulnerability is detected it can be promptly referenced to the software or its components through the vulnerability response dashboard which is part of the SEC Ops solution the target personas for this uh solution are the SE ops manager the security analyst and the software asset manager and you'll notice that um that you can the ability to understand those components and see those components individually is pretty important and and we'll see a little bit of that very good with that let's do just a a short little uh demo that PCH has put together for software asset management and some of those those features that we've highlighted launching the guided setup takes you to the setup page for multiple categories with subtasks are listed in step-by-step order under prerequisites casy has completed the installation of the publisher pack heal check and Discovery plug-in requirements once the activity is performed she can mark it as complete before moving on to the next category of Sam configurations she'll have to do the same for all these steps before verifying that those configurations have been completed and Hell check has been performed and at the very end she'll run the reconciliation and have compliance position for Microsoft SQL let's assume that Casey has completed all of these steps she moves over to the success portal and opens the Microsoft trup goal that is in progress and she knows that these success activities have all been completed she'll go through each one of the activities and mark them as Cod complete and by doing this she will have a complete go now the Big Value takeaway for you is efficiency next we're going to move over to the overlapping usage module the purpose of this newest module is to give insights into software use within your organization and identify other areas to optimize spend on overlapping SAS software KC has already set up multiple SAS Integrations as well as single sign on Integrations so she's already getting data by this time she's looking at the highest count of overlapping software as well as the highest spend from overlapping software she drills into the project management category and see these three applications smart sheets monday.com and workfront there is an opportunity here for her to optimize to spend in this category workfront application has fewer subscriptions a high amount of savings and overall usage of only 7% to further validate this she navigates to application feature usage you can see more activities taking place with monday.com and smart sheet but only two activities with workfront on top of that it is only being used by the finance team but you can also see the finance team using monday.com and smartsheet based on the analysis here it may not make sense to maintain the subscription for the workfront product from here Casey can work with her strategic portfolio management team to create demand which allows them to consider different options this action could be to discontinue using this application when the subscription ends discontinue immediately and migrate users to approve products take no action or reclaim all licenses the application rationalization Journey continues on the SPM side but this demonstration shows what you can expect from the software Asset Management side Adam back to you for our next topic hey P before we jump across there what were some of the main takeaways that you would have um I captured a few but I'm curious about what are some the main takeaways from some of these features yeah I it was a quick highlight of just two features right so for me um I'm a big believer in time to Value um what you're starting to see is that we're addressing some of these common challenges that users are facing around setup and configuration for our um some of the complex licensing model like Microsoft SQL and you're doing all that within a single workspace right so users no longer have to Source multiple documents best practice uh guides uh document sites knowledge bases YouTube videos um you know reaching out to service now team or service now partner to Simply set up the basic of setting up the Microsoft SQL with the plugins and and step-by-step process so um you you that to me is the biggest takeaway where we're empowering user base to you know item practitioners um to basically drive this on their own um up up up to a point where they might need some Advanced help but at least being able to do this all on their own um within the single Works Space that was the biggest biggest takeaway for me very good yeah there were a couple things that jumped out one that's not necessarily a new feature in software asset management but is the success portal for software asset management and you pointed that out and we're going to see later that that type of uh success portal has been moved into Hardware Asset Management cor and you mentioned um the workspace and that leads us really to the next one which is cloud cost management and the um the workspace that we're putting in there now many of you uh if you're dealing with finops um and you've you've had our product which is called Cloud insights this is the evolution of cloud insights and so we've renamed it to Cloud cost management we feel like that name is more appropriate and more well recognized in the industry for what it does and um we've added more features and and you'll see as we go through this a number of features which really rounds out and enhances it and makes it an inner in um an Enterprise phop solution not just a phop solution so anyway as we get into this uh particular workspace many finops teams face the challenge of using multiple tools for managing Cloud cost management leading to a lack of data and decision-making information at their fingertips the business need is to have visibility and a quick access to decision-making information regarding Cloud infrastructure optimization Cloud spend and departmental accountability now the solution to address this would be Cloud cost management workspace because you can see everything in one place this workspace offers a top level overview of the cloud infrastructure spend covering both uh infrastructure as a service and platform as a service or is or PAs uh it serves as the centralized Hub providing essential information on cloud spend optimizations budgeting departmental usage and accountability uh such as showb backs and chargebacks the uh Target Persona benefiting from this workspace includes finops teams Office of the CTO members um application owners uh devops and Engineering teams and Cloud Center of excellent teams so there's quite a few that can be impacted by this or use it um for their own impact within this workspace they can access recommendations monitor the state of the cloud cost management and take necessary actions to optimize Cloud spending and Achieve greater efficiency and the cool thing about this solution is again it is more of an Enterprise finops solution because of the platform and you can not only see things which other applications will do and give you visibility into a lot of different data um but this one allows you to attach it to remediations and other um workflows to be able to remediates anything that you want um that's associated with the recommendations and optimizations so it's kind of cool helps you um take action so cloud storage and database optimization um there are really three different areas that you can optimize you can optimize compute which we've done very well with the cloud insights uh product which is now Cloud cost management and like I mentioned we've rounded things so we're now optimizing cloud storage and Cloud database optimization so um there's often a lack of visibility into specific Cloud spend categories such as these particularly storage and databases which hinders the maturation of fop's processes and the ability to perform showb backs and chargebacks the business needs are to gain visibility reduce overall spend and lower the development and running costs of cloud-based Solutions the solution to to address these needs is to optimize things through Cloud cost management and providing a comprehensive view of the major Cloud spend and actionable uh recommendations for finops teams it optimizes all three top Cloud infrastructure cost that that cloud compute the storage and the databases uh with two of those being addressed in this release uh this solution benefits fops teams Cloud architects Cloud Center of Excellence teams and the office of the CTO supporting major areas of cloud spend optimization for both IAS and PAs one thing to mention about the the cloud cost management is another change that we made is the licensing of it and in the past you had to license it through um the software Asset Management Enterprise um package in this case it's now being licensed separately because we're having enough company come to us and saying we need this and we don't necessarily have a a large on Prem um presence and so uh that is another change that's gone on with the cloud cost management so uh we mentioned guided experiences the same is true here we've added some guided experiences um many times the challenge lies in the difficulty of setting up these uh complex configurations and the Integrations and the need for external research to troubleshoot setups and so the business needs are to to get the the time of value I think you mentioned that PE and uh a more confident approach to start seeing results the solution to address these challenges is the admin Center so they've created an admin center with several different things in it and one of these things is this guided experience to help you set things up uh it helps organizations and Ops teams configure setup and optimize their Cloud spend and budgeting uh efficiently the admin Center offers stepbystep processes for activating plugins configuring Integrations and and setting preferences additionally it provides learning resources to further educate and motivate teams in managing Cloud spin effectively the target personas um in this case would be benefiting from this are the finops teams and the asset manager managers who can utilize the admin Center to streamline the configurations and confidently achieve those Cloud cost optimization goals very good I think we have another demo that uh PE has put together for us on cloud cost management many organizations are embracing cloud computing for skillability and cost Effectiveness our journey begins with Ravi a cloud finance and operations manager responsible for managing Cloud spending at his company Ry starts with Cloud cost management workspace the workspace serves as the centralized sub for information on cloud spend optimizations budgeting departmental usage and accountability the workspace shows his monthly spending so far the forecast for the current month and how it compares to last month total allocated budget compared to spending Trends and potential savings opportunities from cloud resour es and usage the monthly spend breakdown chart provides them visibility to spend across multicloud environments like AWS Azure and Google it is possible to further narrow the results by selecting a specific period from the drop-down selection alternatively the data can be grouped in different ways for example by service category to see monthly spending on Computing Network and storage after spending analysis rvi moves over to top savings opportunities area he can narrow this recommendation based on specific use cases such as terminating unused databases and even schedule a change record directly from here further down the page RI can track top spending Trends Group by categories Services cost center and so on this allows them to show back to the cost center manager responsible for the respective spend with just a few clicks RI can track Cloud spending and drive cost optimization measures without relying on other groups or updates from multiple systems under the budget module he's able to see total budget allocated to all the teams as well as their spending Trend here both Innovations and gen AI teams are overrunning their Cloud budget he can now use this detail information to alert budget owners and prevent further budget shortfalls the spend dashboard is where Ry can catch any anomalies that might be happening across different teams for example on this particular day in the month there is an increase in spending on a specific service he can detect that here and take corrective action without relying on thirdparty reporting further down these are some of the highly used reports he can share with specific teams as a showback interface different teams can visualize their spend split by cost center breakdown by business application and even spend by region the operation module lets him View and manage different recommendations the savings by recommendation chart breaks down the biggest area of potential savings and the action he needs to take to control these recommendations are grouped by their state there have been new recommendations scheduled by the system but some areas have failed and other recommendations are in pending state that needs to be reviewed this is huge because he can prioritize his savings by getting Engineers to action rather than passing it on to another team to do something the admin module is where the administrator starts their Cloud cost Journey they can start with the pro product tool which guides them through the entire application from here they can activate or update application plugins right from the interface creating Integrations with Cloud providers is easily done through a guided setup what steps do they need to take and are there any prerequisites for setting up this application these are some of the most common questions users are consistently asking and the third section is the preference settings where modifications to how the application should behave applied this is a GameChanger for administrators because they no longer have to Source multiple documents and setup guides to stand up the application with this friendly user interface integrated cost reporting and ability to optimize resource usage combined with easy configuration setup Cloud cost management empowers finops practitioners to take action while realizing faster business value very good there are a couple of takeaways uh again I want to reemphasize that this is an Enterprise finops solution we were we recently did a webinar with um with a partner of ours and when we were first introducing them to Cloud cost management and some of the changes uh there were some light bulbs that went on for them because they were looking at uh it's not easy to normalize all of that data across different um vendors such as Azure or AWS or Google cloud and we just have a history of good normalization um algorithms and other things that we use in order to do that and so they were looking at that but they again they were looking at the actions that we can take because of the platform to to be able to remediate a lot of things and so those those two things make it really an Enterprise finop solution um PE are there any takeaways that as you were going through Cloud cost management that stood out to you um again I'm staying with the uh Team of um getting the uh the the product up and working in you know time to Value right so you saw a little bit on the towards the end is the admin module um building building that functionality within the workspace and that's a common you you you're going to start seeing that across all the item products is um you know guiding users within the workspace on how to set up the application the configurations the plugins prerequisites connections and getting you up up to the uh you know the Integrations or or getting the data so that to me stood out um a lot that's a common question in in the field um this is all great but I'm I'm having hard time getting this up and going so so that's to me that was the the key takeaway very good yes all right I'm mentioned uh Hardware Asset Management in the success portal um so just like the software Asset Management success portal there are there are areas where you know many Asset Management teams face challenges and demonstrating the accomplishments that they have to their management and tracking that progress over time and consolidating savings data for multiple tools um the the business needs to uh show a return on investment and track the asset management program and the savings and have visibility into goals and achievements uh the target persona for this is the hardware asset manager who benefits from dedicated success portal within the hardware Asset Management workspace and this portal also allows them to enter goals track progress and provide visibility to stakeholders and daily asset managers this feature aims to improve um the achievement monitoring and identify areas for improvement and and to celebrate Asset Management successes and there's there's one thing I want to note on this is that a lot of this visualization that that's created here with the success portal can also be put into the um executive dashboard so it can be leveled up that information so that the management does see how how you're uh achieving your goals and achieving the the business goals as well zero touch refresh we've had many of these components we've done different things but we've enhanced it further and so in this case when companies face the challenge with Hardware request fulfillment um sometimes their bottlenecks and excessive human involvement in in the asset refresh Cycles um they needed a turnkey solution to deliver Hardware to employees without that human intervention and and they're aiming to digitally transform the Fulfillment of those processes and they want to minimize unnecessary human touches with additional environmental and energy data added this can also improve the user's Choice when it comes to time to replace their Hardware now the feature targets um Hardware asset managers and directors of it operations and endpoint Computing um offering Advanced buil-in provisioning processes for delivering Hardware to remote distributed or temporary employees it results in the faster fulfillment times reduced employee effort and an overall an enhanced experience seamless integration with the hardware vendors and Distributors makes implementation more accessible as many providers offer straight forward connectivity options the integration with the hardware providers who encourage automated provision delivery and tracking is crucial for Success service now has deployed a similar solution to this and has already demonstrated the substantial cost savings uh with service now uh we were seeing about 152 um, in Savings in operational efficiency by reducing the asset setup Time by 45 minutes per asset and that was a couple years ago as we were doing this and so I think those numbers would even shift a little bit more um now asset inventory and distribution you'll see this as part of Hardware asset management but we'll also touch on it as part of Enterprise Asset Management too um com companies often struggle with controlling stock rooms and asset locations um leading to poor visibility into during asset movements and difficulties in planning for incoming inventory to overcome these challenges a solution offering real-time asset tracking and efficient asset delivery is crucial this feature provides a centralized Command Center for stock rooms presenting a unified view of inventory and distribution activities the capabilities en ensures uh transparenting into stock stock levels and tracks various stock asset uh processes flows and and tasks a timeline view AIDS in planning stock room team efforts optimizing supply chain Logistics and managing incoming shipments with reporting on delays and discrepancies seamless integration with major uh shipping carrier apis allows effective shipping tracking uh this feature benefits Hardware asset managers and operations managers empowering them with a holistic overview of the stock room status this can also be combined with inter rise Asset Management where all your assets uh asset inventory can be found on the same view um so one of the interesting things about this is also um you can combine different uh store rooms kind of into a a composite one for like a campus so if you have many different buildings that are close together you can kind combine those stock rooms into one space you can divide things out and and move things around and you know exactly where all of your assets are even in transit and and it's and you can track those um using many different um carrier providers and through their apis and connecting those so we have a little demo um from PE and let's look at Hardware asset management for this demo we will kick off this process as an asset manager ordering a laptop refresh for herself through the service catalog Casey selects Apple MacBook Pro that is available for zero touch refresh based on her selection it will show models eligible for replacement in this case it's being refreshed with another MacBook Pro notice user information is automatically populated we're going to go ahead and submit this request and note a new zero touch refresh task has been created she can then go over to the asset operations module to see the details of a request an asset manager will typically need to approve this request in this case Casey is an asset manager and so it's already approved the next step is a confirmation request from the vendor so in a separate dashboard the provider will be able to fulfill the request the provider is then required to enter the tracking number and the carrier information as mandatory in shipment details and the workflow continues from there but the key takeaway is that any employee can request an asset refresh with the provider directly through our outof thebox workflow and asset managers like casc have complete visibility into zero touch refresh requests from their view giving them total control back to you Adam for our next agenda item all right H so before we get away from Hardware Asset Management uh what was your favorite what was your favorite feature yeah I mean we we're we're adding quite a bit to the um the hardware Asset Management uh product and you touched on this little bit earlier um as well and you know to me it's the success portal uh is my favorite built on that same uh Sam success portal Foundation um it IT addresses that operational challenges you know how can I show my management the ROI from what is being accomplished with my ham program right um what do my overall cost saving look like um and and you know without having to depend on multiple tools um or reports you know and by the time I get it the data is already outdated so the success portal um kind of removes a lot of that manual work and assumptions and it helps um it help with the product options and the U it surfaces the overall health of the uh the ham um asset you know from Acquisitions from uh slas uh where they are within their life cycles all at all at the fingertip so to me that's the key is the success portal and and you'll continue to see U that feature um capability kind of built on um in a future releases as well that's great yeah there's it's important to be be able to align uh goals of the organization and we have other products like strategic portfolio management which applies to to creating goals at the higher end but then being able to align those goals with with individuals who are managing uh things like Hardware asset man Hardware assets and software assets across the board it'll be important to um to to create a more holistic solution and t a lot of the the uh practices that people have around asset management in general so love totally yeah um now so we move into operational excellence and so this is where our Enterprise Asset Management shines and there are a few different features here and you'll see some similarities to some of the things you've seen with Hardware asset management and others um but there's some unique ones too that are just specific to Enterprise Asset Management um so uh these new features include management for linear uh assets that's kind of the unique one and Enterprise asset onboarding as well as a workflow for moving those assets between locations so it is not easy to to efficiently track and connect linear assets including their segments or sections and it is tough to track these assets um then it's even worse um to do the maintenance or try to plan all the maintenance of where those those different assets intersect uh the business need is to empower asset manager asset managers in creating and monitoring linear asset geometries types and relationships including discrete assets along linear routes this new capability is designed to track various linear assets like roadways pipelines utilities even Trailways enable in efficient management of individual segments and their Associated assets this includes connecting multiple assets or linear assets to parent assets such as roads with traffic lights signs sidewalks and utility lines running parallel to the main roadway it can be seamlessly integrated with fielded service Management Solutions for Effective maintenance planning and the roles that would use this are the Enterprise asset managers directors of operations utility managers and uh municipality operations managers or planners and so there's some pretty interesting things this is a fun one to watch on the demo as well the Enterprise asset onboarding is a way for uh asset managers to make sure that assets they're bringing aboard have all the information um included and the complexity of setting up new assets with various details and parameters uh sometimes makes that hard and sometimes leads to skip steps or missing information so the business need is to simplify the process making it easier to set up assets and ensure more accurate asset data the new capability um offers a step-by-step approach to streamline the onboarding of Enterprise assets this guided experience helps track service contracts warranty information cost center uh assignments and risk factors leading to improved data management throughout the asset life cycle this capability is specifically designed for Enterprise asset managers uh enabling them to efficiently handle all aspects of asset onboarding and management leading to improved data accuracy and more streamlined asset life cycle and also there are some other things that you can assign as they come up like assigning the ownership and the accountability the accounting methods that you might use for individual assets the Enterprise asset move workflow um is handling the logistics of moving these assets between different locations or stock rooms can be quite challenging the business need um the business needs a solution for efficient Logistics to support a dynamic organization this capability offers a prescriptive workflow to track asset moves from one location to another this workflow allows asset managers to plan and execute moves whether they are between local or remote uh sites and asset managers or end user um end users can initiate the move requests from a service catalog and the uh prescriptive workflow guides them through the necessary tasks if the move is remote a shipping task is added to facilitate the shipping uh the asset to its destination this process ensures the assets are moved to the right location on time making asset U management more streamlined and effective for Enterprise asset managers and um it can also detect different things where let's say that um the asset hasn't been moved for a certain period of time it can show that there's a stale um shipping thing there and so it can help you go investigate those things or or eliminate those because something has been delayed um it's also integrated into the different carriers so there's an integration that's been added here uh with the different carriers and the apis so you can see all of uh the ways that those things are um shipping and where they are in the shipment process and if the shipment has already been completed it's contextual so it won't even say a button it'll remove a button that says track this asset because if it's already been moved it's been moved move so anyway with that let's jump into our little demo from PE what you are seeing here is a single platform for Asset Management with few examples of Enterprise assets on the right hand side this could be Frontline assets back office equipment facilities buildings and so on we're going to look at linear Asset Management a great new feature in Vancouver we'll start with an price asset State and you'll notice there are two new tabs first is a linear asset types these are roads pipelines cables and things that are quite lengthy suppose you have a use case to track and manage linear assets for analysis and maintenance in order to manage linear assets and service now you first have to create new linear assets let's call this access road for new location with asset type of roadway this linear asset is in San Francisco and for the dimensions we'll say this is a 100 ft wide Road and 7 miles long one key piece of information when you're talking about the linear asset is coordinates specifically tied to geolocation basis we're going to save this record and you'll notice Act access to asset has been created and both start marker and end marker have been updated along with the applicable coordinates we just demonstrated how linear Asset Management helps am users efficiently track and manage their linear assets for analysis and maintenance pretty short clip there yeah a short Cliff uh which is which is interesting because p i I think of all the different uh uh features and capabilities that came out with this release this was the one that was most intriguing to me and and actually the demonstration that was given by um our our product manager was quite lengthy in all the different things that they could do with linear assets and uh in fact you you T you you know copied and pasted those coordinates in there I think you can go in and actually you know go along a roadway and actually uh draw a line and say Here's Where the segment is um and there's a lot of depth to it so it can track all of those parent you know the parent child relationships between like what a roadway and the sewer lines the utilities the pipes the uh you know the cables that are above and below and um anything that intersects with that section and then you can tie that in with the maintenance that you can do with uh FSM and things like that so this feature alone you could have a good 45 minutes one hour demo uh because it's such a unique use case for the utility companies for constructions for Department of transportations and you when you start seeing that like you know when I'm driving I see some of those people working like right away I can see them on a roll of papers with uh you know uh uh lines and dimensions underground uh making sure they don't cut something accidentally it they're looking at a system of records uh today it could be a paper based or you know construction papers or something in the system um so this is just the beginning of beginning of that right and being able to do imagine where we started with the simple computers and servers and storage equipment to something um physical assets and now you want expanding that use case to something called linear assets um it's just mindboggling right so um you know there there will be a much deeper ER dive um demos of some of the features obviously we can't cover every single features that is being released um due to timing U but the idea is to kind of showcase some some highlights and then you'll see some deeper dive maybe end to end demo covering a lot of these um lot of these features on the community and YouTube you know following on to watch that space yeah and you mentioned it um again go out and
