this video is an overview of the subscription management application if you're an administrator or user with the usage admin role you can use subscription management to review and manage how purchased subscriptions are allocated on your instances in the application you can add recommended groups to subscriptions monitor subscription allocations and update subscriptions as needed then you Define a threshold for subscriptions that are near capacity so you know when a subscription is approaching full allocation finally you Monitor and adjust subscriptions to stay in compliance let's look at a typical subscription life cycle first you purchase subscriptions and allocate them to groups and map custom tables and applications to these subscriptions next you define thresholds to alert you to the status of your subscriptions and finally you Monitor and adjust the subscriptions for compliance when you purchase new subscriptions from the service no store they're delivered to your production instance where you can view them in subscription management depending on the type of subscription either you allocate the subscription manually or subscription management allocates it automatically for example you allocate rights-based user subscriptions by adding recommended groups to subscriptions whereas capacity subscriptions are Auto allocated based on transaction counts or resources used if a subscription comes with custom table entitlements map your custom tables to the subscription a custom table is any non-service now provided table that you create on the now platform if you create custom applications map them to a subscription as well for example if you create an application using App engine Studio you must map that application and any tables you create as part of the application to a product subscription next by defining the threshold for subscriptions you can see at a glance which subscriptions are at risk for over allocation green indicates a subscription is in compliance which means the current all allocation total is below the threshold you set yellow indicates a subscription is either near capacity meaning the allocation is above the threshold or it's at 100% red indicates the subscription is overallocated and usage has exceeded 100% and finally you should monitor and adjust the allocations of your subscriptions to ensure you're within compliance here's what to look for watch for the over allocation of users on a subscription using the color-coded status you can see which subscriptions are approaching or at capacity and act accordingly to stain compliance to manage an overallocated subscription you can remove a group from the subscription remove a role from a group remove users from a group or purchase more subscriptions review your subscription usage over time to help you make informed decisions on future purchases for example you'll want to look at subscription details to view subscription allocation history custom table and application availability and usage patterns over time to learn more watch our video for getting started with subscription management for more information see our product documentation or knowledge base or ask a question in the service now community
