throughout the session because we are really excited to um as much as we can tailor the conversation to those in the audience um but welcome Lisa Jeremy and Nicole um from injo and we're really delighted to have you here to discuss business continuity manag insights so Jeremy if you could go to the first slide and actually go to the third slide that would be great um I just want to mention we're going to get started with um the real robust content that you have to share with us about BCM insights today yeah thank you so much R really appreciate that um thanks everybody for being here we're very excited to share this time with you appreciate you making the uh setting aside the time to join us uh my name is Jeremy Gardner I am one of the managing Partners here at Ajo uh we've been a service now partner for 10 years now pretty exciting um and we've been working with clients helping them solve a lot of problems across from from it through uh a lot of portfolio management uh helping them with business uh strategic decisions uh building out Integrations into their procurement online ordering Amazon so we really helped businesses across a span of different topics which I think really helps inform our the decisions we help people make uh because we do see that the overall business picture that they're trying to uh support with the service now platform um the other thing that really is we're really proud of is we are the actual partner that helps helped develop an architect the original solution that BCM is based off of so uh I would uh I would say that nobody knows BCM better than us uh we've been there from the ground up building it understanding the architecture the design the the business challenges that you're trying to solve with it and so we're uh just really proud of of our history with this product and excited to see it grow and mature uh on the service now platform uh with that I'll turn it over to uh lee awesome um and if you just want to click one slide yep oh thank you there we go no problem hi everyone thank you so much for joining us today my name is Lisa Sutherland I am the senior leader uh for juvo in charge of global sales and marketing um I've been providing Enterprise solutions for the past 20 years and have dedicated my career solely towards service now for the last four years and am excited to be here today and share my my passion for resiliency uh and risk and really hope that you enjoy what we see here today thank you Nicole okay thanks Lisa um I'm Nicole Hoy I do business development here at Ajo I started my risk and resilience career in it about 25 years ago which makes me scared every time I say that but um then I moved into disaster recovery business continuing crisis management and eventually my career um moved me to um creating and developing and rolling out enterprise-wide resiliency programs I'm really passionate about this field super excited for this session thank you so much for everybody that joined um and then I've been also kind of Cru perusing the um the webinar chat with our introduction question um so that we can make sure that we kind of tailor this towards your needs and where your programs are and um I see a lot of people talking about like the ability to print plans some people mentioned Coupe planning playbooks um slas are really important so meeting um management approval based on business um requirements having validated capabilities that's really important to a good program um somebody was talking about cultural adoption I love that because if you don't get um the whole environment and the whole company and employes all thinking in the right way and towards managing risk and resiliency it really unravels F at time of disaster so I I totally agree with that another person mentioned um the importance of global standards I think looking at ISO 22301 and the BS standards um nist etc those are really helpful in helping shape and and formalize your program and giving you specific targets to work towards so really excellent feedback um continue to to share your thoughts and perspectives um in the webinar chat um as RZ mentioned as we're going through the live demo sessions if you want us to focus in on something please put it in the Q&A or if you have a specific question that you would like us to show um Lisa and I will be trying to keep up with those um comments and then anything we can't address here we will try to stick on time um but anything we can't address here we will be following up with you all later separately so as RZ said we really want to keep this interactive we want to cater our demo sessions to meet your needs and what you're looking for so we're going to run a few uh polls throughout the um session um to get your feedback and and then when Jeremy shows you the environment live he can kind of show you what uh you really want to see so I'm going to go ahead and launch our first poll the first poll is going to ask you if you were to rate the maturity of your resiliency program thinking about business continuity disaster recovery and crisis management um where would you say that your program lands would you say um It's relatively non-existent being the lowest level of maturity are you just getting started um is your program newly started and sort of in the early stages or do you feel like you are well established and right now you're working towards building the capabilities required to meet the business needs and I see a lot of people already responding in so you guys can read really fast the last one is if you have a well-established program with repeatable processes capabilities and then you have a governance and life cycle um process wrapped around that all right great um so it looks like um the majority of you are all responding in that level four established and in place still building capabilities that's really commendable it shows that you have um leadership Buy in and commitment to making sure that you're managing your risks and then addressing them to close them and then I see still a good amount of people are are just getting started um so hopefully as we are walking through bcn and showing you kind of like this journey you'll be able to glean out some helpful points um so now without further Ado why don't we go ahead and just dive in Jeremy if you can um show us our first demo um section you bet kind of talk us through um the best practices workflow and targets how to approach this General Concept in BCM yep yeah absolutely so you one of the questions we get often is um from from customers is when they're building out well first off you you generally always start with an assessment right so it's it's assessing what is the criticality of your data what is your data depend upon in order to achieve that recoverability targets um and so one of the questions we often get is what do I need to put into my Bia um and so this is where uh if you're if you're working with at a a Bia level where you're looking to assess at a business service uh what are the dependencies that you need to incorporate into your Bia um if you're doing an AIA uh same thing so it's what types of data do you need to have in order to work with those dependencies so uh for example let me bring up here uh the Bia where we're going to talk about uh online ordering so let's say you work at an online B2B type company um where you're wanting where you have an online ordering platform and so at the business service level let's say we want to assess a business service and then at that dependency level uh the questions we often get are what do I want to see in here and so if you're assessing a business service generally what we think of is is really identifying what are the key components that you immediately need to have uh in order to support that business service and so uh you're not looking to necessarily build out everything in here this is not meant excuse me Jeremy just one question somebody is asking if you can zoom in is it possible to expand your screen on the dependency list yeah one sec here let me see and this is also the new UI for those of you that haven't seen this yet is that better George they look better for everybody did that uh I think that I mean that helped me from my screen perspective anyways and he said yes so good thanks okay so uh so one of the the biggest topics we get is you know coming back to this is what do you want to assess and what do you want to identify from from a dependency standpoint so if I'm assessing at a business service level for example um what we like to recommend is that you're going to identify what are the key assets that you need in order to support that recovery um this is not meant to build out your plan here this is really meant to identify what are the items that you need from that that will have um Associated recovery targets with them so you're because what's going to happen is this Bia you're going to fill out the questions and and we'll get to that here in a second but you're going to fill out these questions and you're going to assign a particular recovery time frame to this Bia and then you will need to then make sure that you have identified a what are the critical dependencies that you have and B what are their Associated time frames that you need in order to support that recovery and so what you may see is what what we really like to focus on here is is identifying the dependencies that need an Associated recovery time frame you'll get into the planning next where you will then work with identifying who are the people that support it groups vendors vital documentation um all sorts of other things that you need in order to actually manage the recovery but this is not really you don't need to put everything possible in from a dependency standpoint so that's one of the big things that we we' like to focus on is don't try to build out your entire plan here focus on the assets that support that immediately support the recovery of that assessed item uh and use the plans to get into more of the details of the people the vendors the tasking um those types of areas so it's really about does it need an RTO does it need an RPO um in order to support that so in the Bia coming over here uh I already built one up uh for us just in the interest of time but you can see here on the Bia we've got um you know so stepping back to it it's you know the overview of your approval process big fans of this uh just for the people that aren't working in the Bia qu a lot uh gives them kind of a sense of what the overall process is going to look like uh details on the Bia so what are we assessing uh in this case the online ordering uh who are the who's this assigned to uh my say myself and good old able tutor uh Department business unit uh these are things that uh obviously working with customers that you all will want to tailor the fields that you show here based on uh your your programs how you uh how you report on on uh program maturity on assessment maturity and so that's that's that's what drives what you're going to see here uh as far as an assessment goes uh in this case this is a Bia so we have two assessment areas so we have the RTO assessment area and the dependency assessment area like I was just talking about uh in the RTO assessment now we're digging into what are the different categories that we want to assess across and so in this case we have uh four different categories that we're assessing across so we've got image and brand reput ation consumer impact Financial impact and legal Regulatory and compliance now one of the nice things about uh the Bia is just the flexibility to tailor this towards your specific business needs and how you want to assess in Cate across different categories so um these are all configurable uh can be configurable based on the Bia based on the AIA uh based on your organization based on the types of time frames that align with your particular recovery tiers so uh in the interest of time I just already filled this one out but you can see as you're going through choosing the responses is really easy to you just click in the field and select it and as you build out this Bia then you'll see the progress gets updated on the left for uh for completing the rtos now as I change these values here you'll see that this score is automatically calculated so if I were to uh as as people update this Bia and complete the the RTO then you see here back on the details now we get an overall time frame associated with this Bia saying this particular Business Service needs to be up and running within four hours and if I come back to the details you can see that I also have a tier that got associated with that time frame and so this is a mission critical recovery tier for the organization now one more thing on the assessment piece is coming back here is on those assessments so we talked about what do you want to assess against but jumping in here one of the nice things about the Bia being a part of the service now platform is really it's it's integration with your cmdb so if you have the data in your cmdb and you have the relationships in your cmdb then the viia can automatically leverage that that data in those relationships and and automatically pull that in here so in this case uh what I do is just coming into the Bia is click this update cdb dependencies and it will go out and walk the dependency tree and you see here it's now found three different business applications that this business service depends upon so in this case we depend upon a digital payment platform and then uh also we depend upon a mobile ordering on both iPhones and Androids uh down here you see also um we've identified some vendors and so uh these vendors one of the one of the great things about the new version is not only is it going to walk your cmdb tree but it's also going to look at who are the vendors assigned on those CIS and pull those in as well so Microsoft Google Apple were listed as the vendors on these business applications so pulled those in um now to my earlier Point vendors may or may not be important to you as far as from a dependency standpoint here but vendors can be uh something that you want to make sure that there is a time frame associated with them as well if they need to be on site if they need to support a particular activity so uh having them in here and being able to assign uh a particular time frame to them can be helpful uh when when it comes to recovery so in this case I can go through I can say okay this vendor needs to be immediate uh this vendor maybe I know can come uh later on in the afternoon so I don't need to give them the same type of time frame so this this really is useful for building out and associating uh specific time frames relative to supporting what your overall RTO is uh in this particular Bia uh you'll notice also it it pulled in the dependencies um it pulled in employees so um again I I would say the employees are not necessarily keep critical or maybe you put a time frame on them um but either way it is very nice because this pulls off of the other types of user related fields off the bi off the CIS as well so pulling in those owned by managed by people um what's great about this then is as you'll see is this then will drive um the automation throughout the rest of BCM so as we get into plans and we get into exercises the the data that you do have here you don't have to keep adding it again and again uh when you get into the planning side it will pull in for you as well so uh one quick thing then over on a um on an AIA so looking at the AIA here so we have a digital payment platform and we can see same thing so we have a similar view from an assessment standpoint um on an AIA we tend to also want to focus on data and so in addition to this recovery time assessment we also have a recovery Point assessment and so you can see here as an example of the configuration is I have I can have different categories uh I can have different questions uh I can have one question I can have 10 questions you're not limited and you're it's a configurable based on your particular programs so uh fill in this out you can see we have different question uh they don't all have to be ranges as far as low medium high you can see here we've got a question that's like the a yes no um so you can tailor the responses based on the type of question and the type of information you're looking to gather to make that that critical assessment so um and then same thing on the the dependency over here you can see when I come into this one and I get the data out of the cmdb it's going to go and walk the relationship tree and find data centers and find some windows servers so uh that's a a quick run view run through of the uh the Bia and and really some guidance on what to put in there from a dependency standpoint so great thanks Nicole um thank you that was very helpful um and thanks everyone for your participation in the Q&A and the chat um we do have some questions that we'll talk more about later on when we get to the dependency part in the meantime um another poll is just wondering if the audience here what your primary focus is is it business continuity like thinking more about the business process and that side or is your focus primarily on the it side thinking about disaster recovery and assets and Hardware um or if you have an entirely different Focus you can choose three um for um other and you can add your other commentary into the chat if you would like okay great lots of comments coming in looks like um Jeremy the majority of the folks here well let's give it another second because they're changing rapidly uh 63% of our folks are business continuity focused so as we step into the next um demos if we could highlight aspects around business continuity um we do have a good group of it Disaster Recovery um and many people are spanning across both areas so um they have responded other so I think maybe if we start with the um BC side and then if we have a little time maybe you can show the the Dr side too all right sure thing thanks all right back to my screen you see everything okay yeah looks good okay um let me real quick so about uh one one point to finish out on the the Bia side here is um I want to make sure once I've completed this uh these Bas in order to leverage the benefit of importing the data throughout your plans and exercises is I do want to approve them so let me come back in here and uh approve this Bia just real quick so that when we pull this data back over into the plan it works well for us so I'm going to submit for this oops I haven't completed my dependency assessment so let me Mark that complete now I can approve this viia okay so over here on the plan side um what we want to talk about is to show you just the building up of plans so in this case um let me start with a uh a Dr plan so I'm going to what we like to do is um we actually one of the things we we really like is to have a template plan that may have some some data kickstarted for us and so uh in the BCM with the plans you do have templates uh the templates will identify things like the documentation and so here you see when you're when you're putting out a plan um that you can have documentation that talks about gives you guidance on filling out the plan activating a plan uh the scope of a plan some of the different strategies that you may want to include in here so uh templates are great for that um what templates don't include in there our tasks and so uh what we like to do is actually build out a plan from that template that includes some of the additional data that you may want to Kickstart plans with so one of the things we often see our customers want to have uh pre-built tasks to guide the the folks filling that out and so uh we start with the plan here so I'm going to in this case I'm going to copy this one and I'm going to make a I'm going to do a digital ordering Dr plan so we're going to create this one I'm going to come back to my list and refresh it get the Dr plan okay so now I'm in the plan you see that the sco the documentation the guidance around this plan came in uh I'm going to from a scope standpoint the scope is really about identifying what do I want to recover and so in this case I'm going to come in and I'm going to say this plan is focused on the digital platform um digital ordering platform digital sorry digital payment platform so I'm gonna pull that one in and because I had the assets excuse me uh because I had the Assets in my Bia when I come here I can see those assets are automatically pulled into to this related asset tab so um it's great because it will it it leverages those dependencies so the dependencies flow from your cmdb into the Bia and now from the Bia into the Dr plan and you can see over here uh I also have tasks that have come in uh from that original plan that we copied from um if you don't like the field here uh obviously you can come in and one of the nice things is edit columns so let's say I want to make sure these tasks are all assigned to the right group so I can quickly change my list and up this so I can say oh these are assigned to this group maybe I don't want um that task assigned to that particular group whoa went too far um so I can come into a task and edit it and I could say maybe I want to assign this particular task to a different group so it's it's really easy as you're um I'm just picking a group here sorry but uh you can see just as you're working through the plan it's really easy to move the data over as you copy plans over update it um make changes to your tasks so um Dr plan identifying you know we tend to see these focused on identifying what are the assets I need uh what are the tasks that need to be assigned out to people uh often in a Dr plan customers might have um your your Dr teams tend to have more detailed run books um and so sometimes depending on what the level of detail is you can bring that in from a task standpoint um or you could also refer out to that runbook if that happens to be uh located somewhere else so uh real quick over to a BC plan so same thing I'm going to uh open up my template I'm going to copy that I'm going to create an online ordering I'm going to come back to this online order ing one now I see here uh online ordering now I have different documentation here so this is uh this is guidance that's really focused at the BC level so it's really at your business uh Business Service level um so I'm going to come in and scope and identify a business service so I'm going to bring that online ordering service in here and you see that um not only do we have the related assets that came from that plan are from that Bia but if I come over to related plans you can see I might have some other plans in here as well um depending on what I already had else in the system so um in this case the uh if I now this is only going to pull from approv plans so I hadn't yet approved my Dr plan so it didn't show up here um one of the things though from a BC standpoint that I think kind of differs on the Beyond just the documentation is is really this idea of loss scenarios and Recovery strategies and so one of the things we often see and and this is more I think at the at the BC level is is really on the loss scenarios you can certainly identify your assets what are the important key components to supporting recovery here on this related assets but the LW scenarios allow you to take it one level further uh where you can say I'm going to have not only do I have loss of um let's say I have loss of location I can now have different strategies to support that um that different loss scenario so I may have a strategy for example that might be if I have loss of work loss of location I might say um work from home right and so I create that strategy and now I can have specific tasks that aren't just at the plan level but are really at that strategy level and so when it comes time to in in an actual event I can build out the tasks and I can say oh I only want to activate this tasks associated with my work from home strategy and so that's where having building out a plan and having at that business continuity level having multiple scenarios and strategies uh prepared for and tasks uh created for can be really uh beneficial there so Qui question from the chat Jeremy from um uh Peter he's wondering how do the loss scenarios relate to the recovery tasks so they are all tasks so for example if I come in here to loss of um location and I in this strategy work from home and so I might say uh might say um initiate um notification on this particular strategy if you come over here to back to the plan and you see here on my recovery tasks now I have all my tasks so I have uh recovery tasks that aren't part of a particular strategy and so this is um you know tasks that came in from the the plan that we copied from and now I have also tasks that came from uh my particular strategy the guidance we like to give customers on this is these the recovery tasks that that you're creating at this level so you come here and you click new are really meant for to be the overall plan task so it's how do we it's the task to set up the plan uh identify what are the next steps for activating the plan um it's really kind of the guidance of the overall uh activation and uh operation of the plan the particular strategies can then come into play based on uh different scenarios that you might be uh trying to prepare for so like say if it's a work from home versus work from alternate location um and even on the Dr side sometimes we see like do you want to have a failover to backup data center versus build from the ground up um and so those are ways where the different strategies can come in play they're all tasks they're all on the same task table it's just a a different grouping of are you providing guidance overall around the plan or are you trying to manage to a particular scenario strategy awesome thank you so much that answered his question Cool you bet uh with that Nicole I think I turn it uh over to you correct yeah so with that thank you very much Jeremy um we will go ahead and move to our next poll we're curious about which components um your organization is using within the business conty management solution are they using that Bia and AIA part that Jeremy was just show showing and you can select multiple answers um the planning part exercise exercises and events are you using crisis Maps does anyone use the everbridge integration or are you just in the very early stages of implementing the product and you're not quite there yet okay all right we'll just give it another couple seconds here jery okay um so it looks like a lot of people are using uh a number of the of the aspects of BCM which is really encouraging and nice to see um you know historically it feels like a lot of uh programs are just focused on writing the plans and maybe they don't quite make it to the exercising part or maybe they haven't done the the assessments up front they just kind of know what is critical to the company and so they dive right into plans but it does look like a lot of the audience here is using Bia or aias depending on your focus um the planning as well as exercises and we have at least a few people that are also using the everbridge integration um so with that in mind what we were thinking is would be a good um question for us to understand and we've been getting a lot of questions around data um so if we go to our next poll um we'd like to get an understanding from you and then we're going to spend a little bit of time talking about um the level of maturity on platform um for your for your environment so the first one is oh let me see a second let me open this and launch it okay so thinking about data for your company in service now um what level of maturity would you say that your company is at um you you're wondering if you even you didn't even know you had data you know as like a very entry level um you just are starting to build and mature your cmdb um you do have like a road map ahead of you that you're going to be um working towards um do you just have only the bare minimum Basics um but that you're able to get by with what you have on platform by using BCM and actually somebody else asked in the in the questions about um data outside or in another table um so Jeremy maybe when you talk about data in the next demo piece you can talk about that a little bit too how BCM can handle external data or multiple lists of data that they're trying to get to in BCM um all right so overall 50% of the people are saying that they are getting there from a data perspective and maturity but they have a ways to go so now um Jeremy if you want to take it over again and and dive into um the data components and how this is used and leveraged in BCM and then if you don't have good data how are companies getting around that issue sure all right so let me turn back okay so um one of the things obvious well not obvious um so one of the things in that's in BCM that's really you know kind of a foundational core element is setting up what type of data do you want to bring into service into BCM so in BCM this comes from your element definition table and so you can see here this is where you define you can pick any table you want uh to pull data from to bring into your Bas your plans and your events um the whole why this is really great is is because sometimes when you're in a uh in your environment you don't have a lot of mature data you might have a lot of noise in your cmdb and so the people that are you're you're assigning Bas to complete the people that are filling out the plans they might get a little overwhelmed trying to find and locate the the critical um assets CIS that you want to bring in and so the element definition is a is a key component to be BCM where not only do you identify what is the data I want to bring in but can also Define what is um some additional filters here so maybe I only want to bring in data that is um you know operational right I don't want to bring in Dr I don't want to bring in non-operational or retired assets and so that's where the element definition piece can be key um the fact also that the element definition is pointing to any table also does give you some flexibility in terms of the data you want to pull in um I will say you know this is one of the things Nicole's favorite saying that I have is that we find BCM being the tail that Wags The Dog and so what happens is uh often BCM because it's really the the one of the few disciplines in the platform that looks over your entire business right it's not focused on it specific it's not focused on HR um it really is something that's there it's the discipline that's really there to protect the entire business and so often you all need more data than any one particular group working within service now and so BCM really becomes that application that pushes those cmdb maturity um conversations that really says hey this is to protect a business um this is really um you know we're the the last wall of defense and so it really highlights heightens um some of the gaps on your cmdb uh journey and so um you can work with data if you don't have data in the cmtp you can certainly create um you know we find bcdr program where they create their own set of data and tables uh to bring in the data and manage it themselves um that is kind of the the least preferred way but if you get that data into the platform at least it's there and it's easy to uh as your cmdb journey aligns and matures um it becomes easy to uh you know to leverage that data and move it over into the you know proper location in the cdb ultimately um one last quick thing here in the we have left just want to complete that that visual Journey on how the data flows from Bia to plans to events so I'm going to create a crisis event here real quick so let's say my online ordering is down and I'm gonna create a quick crisis event uh so I'm going to come in first thing I want to do is I want to say hey my online ordering service is down I need to figure out what plans I want to activate what are the supporting assets and CIS that that are there to help for my recovery so I've identify my online ordering you can see it immediately pulls in all the other dependencies that I had that came from my Bia that came in from my plan here so you can see it's pulled in the people it's pulled in the supporting vendors uh into my plan right away uh I can then come into my particular business service and say you know what I want to go figure out what else I need to get here so what other plans I depend upon uh what other assets that might be uh supporting this particular uh business service so that's going to run in the background and you can see um as I come in I might have some more let me just refresh this real quick uh I'm gonna have some more I'm G have some more data in here uh I'm GNA have some more plans that show up as well so now not only do I have my online ordering plan but it went out and found oh you have asset sets that support this that are also in all these other plans so I can decide which plans here do I want to activate so I might say I want to activate my online ordering plan I might want to activate my digital ordering plan and so um I can just say Okay I want to uh activate these two plans I forgot I got to start the event before I can do anything so let me click that magical start event button all right so now um we can see it's going to activate these plans now I can say if I want I don't I may want to cancel some of these plans because they're not part of what I need as far as this recovery goes but you can see it's still um working in the background to pull in the rest of the data here uh as I come into tasks you can see now it's pulled in the tasks from all those plans as well so you know in my case I have my store offline plan that I built out um you can see here I've got the task that came in ordered uh if I again if I want to change the columns so that I maybe I care about the assignment group I think that's always a big one to have here so let me add the assignment group to my list move it around and so now I can then manage who these tasks are assigned to uh I can just from this list I can say oh this wasn't assigned to a particular person so I can go and assign uh look at all my list of groups within service now and uh pick the people I want to assign it to uh this can Drive notifications Um this can drive automation that that comes in here as well so uh definitely a big fan especially of this new version of the UI um the ability to manage everything from a single pain uh as you progress through your particular event or exercise um I think with that I'll turn it back over I think I turn it back over to you Raz right actually Lisa are there questions that have come in that answered or I think all of the questions have been answered um Devin if you had any more questions that you want answered about the loss scenarios and tasks and evoking the plans um feel free to add that into the Q&A if we don't get to it during this session then we'll follow up with you
