I'm going to run by the way I'm both the the host and running the polls so please uh bear with me here uh so what else would you like to see uh more of in terms of how to support your uh servicenow and teams in Microsoft 365 adoption Journey please let us know what you think about the current uh about a Content that uh is currently posted whether you uh want to see more high level overview stuff more more technical content um anything else potentially a type of a click through if if that would be useful to you as you're talking to others in your organization about the functionality that you may be able to bring to bear if that's something that you really need please you know let us know here um and if you think what we have is good you know that would be great as well so we'll just let this one run for another couple seconds and then we'll move on what I'm seeing so far though is about 30 percent would like to see more overview content um about 30 percent would also like to see more technical content and 12 need more help selling internally so I'm gonna go ahead and stop this poll and share the results oh and a handful think what's available today is good so so we really appreciate that this will be useful uh letting us know where to focus as we proceed all right um okay so let's get into the meat of our presentation here you know I've got a couple minutes of overview content that really is designed to help understand why we have the integration between servicenow and Microsoft and that really is to help customers um you know we as we've talked to customers one of the common themes that we've heard is that they're really hard-pressed to provide both better experience and more efficiency and many many of our large customers determine this as a mission critical objective and it's it's critical because the proliferation of applications that we've seen recently uh over the past years has has created a common challenge which is to manage multiple experiences today employees and agents are wrestling with multiple different experiences and you know that may be with email or chat portal some other application and and it creates stress as um workers are constantly toggling between applications for information or due to notifications and so this is stressful and it's inefficient uh navigating to these different places for information is just not a good use of time um and sometimes information can just be missed altogether and let's look at some of the implications here you know it's easy to understand why these challenges are so important when you dig into the numbers according to a McKinsey report they estimate 20 of employee time is lost searching for information to complete tasks and workflows hbr reports nine percent of time is lost trying to reorient to a task after visiting a new application and our friends at Gartner report 43 percent of employees miss important information because they have too many applications open you know employees and agents shouldn't have to struggle and they no longer have to this is where the integration between servicenow and Microsoft comes in our integration improves efficiency by seamlessly weaving servicenow and Microsoft experiences together into natural workspaces and with the seamless experience you just get happier employees it doesn't necessarily feel like servicenow or Microsoft it's a single experience uh for for agents and employees to to leverage it increases productivity because the integration between Microsoft 365 and servicenow brings notifications information and action into a single place and finally it optimizes collaboration good things just happen when you take a world-class collaboration software and weave it directly into a world-class workflow software so we'll dig a little bit deeper to see where different stakeholders get their benefit from the integration and we'll start at the top with the CIO um they want to make sure that they're maximizing the Strategic Investments that they've made around efficiency collaboration and experience right we can definitely help with that service owners want to be able to alert employees to outages and quickly bring experts onto a team's bridge for streamline streamlined collaboration to resolve a issue agents want to reach out to employees and experts directly in teams from servicenow and and finally employees don't have to leave their natural workspace be it teams or Outlook or Microsoft 365 app when it comes to requesting service finding answers or providing information uh to resolve an issue this can all be done from their native application all right so let's talk about how we drive efficiency through the uh through the experience and here are five app experiences that would really show off the integration for employees and agents top top of the list here we have employee center right that's the reason we're here today employees can request service review tasks or search knowledge articles directly from where they're working be that in teams Outlook or m365. also virtual agent employees can self-serve right self-serve and and use automated workflows access to knowledge-based articles um Etc all from within teams service operations workspace also helps agents to further reduce the mean time to resolution from an I.T perspective by invoking teams notifications conversations and conferences directly Within servicenow um major Incident Management also helps service owners to get Services up again faster by the automated Communications available through servicenow that leverage teams directly and finally agent to employee chat helps in agents to reach employees directly in teams from servicenow um so there's a lot of value to be leveraged to be found in in this integration between a servicenow and the Microsoft 365 ecosystem um see I'm going to move on here and we're going to speak now more specifically around how to maximize employee center right um this is not so much of a discussion around the benefits and how to use employee Center as much as how to to get it into Microsoft uh teams in M365 in Outlook um so let's talk about how to enable how to do the enablement right um first you would need to connect teams with servicenow um and we'll talk through this uh and then secondly we'll need to download a servicenow generated manifest file and then take and upload that file directly into Microsoft teams um before I go any further let me just take a little pause here and check in with the our panel guys are there any questions that have come up that we should be addressing before we move on um harsh was working on one in the chat and then we got another question about guides to set up Microsoft teams but I think what you're going to go through now is gonna help that one and then if not um Thomas if you want to write in chat that you know if it doesn't help and we can dig further into what materials might then we should be good all right thanks Sophie appreciate that all right and I'm just looking at the chat here I don't know okay uh the video will be shared and you can share it with others yeah so it'll be a publicly shared link uh further up in the chat where I say today's session will be posted that link I believe it's at the top that is the page where the video will be posted so let's uh proceed with it right so in terms of what roles you need to have to do the integration right this plug-in Microsoft Integrations core is included in multiple different uh applications on the servicenow store or that you might find inside of your instance it would be included in the IT service management integration as well as HR Service delivery integration with Microsoft 365. so you may not see this one directly but it's definitely embedded as one of the dependent plugins from the Microsoft side you're going to need to have both a global administrator role and the teams administrator role for your specific user who's going to do the integration strike that I shouldn't say um I shouldn't say that that's not exactly right a global administrator will be needed for the setup but the person who's going to need to do the integration will need both the teams administrator and application administrator roles sorry about that and then finally on whoops on the servicenow side you'll need somebody who's either the admin which maybe is you or they'll need specifically to have the external app install admin role um I'm gonna go ahead and proceed from there I'm going to step through here briefly uh what step one is going to look like in terms of doing the connection between teams and server uh Microsoft 365 in servicenow so first we'll go and we'll install Azure apps and we'll show this directly we'll find a screen like this click on once you've got all the plugins set up you will see this prompt to do the install from there you'll need to pick an account and log in using your specific administrator account and then after you do that you'll click through a series of uh uh prompts to uh allow the integration to occur and once that is all done you'll see that these items are all installed and specifically around the team's integration the notify connector request based chat are installed and I think for employee Center we really would need to Leverage The SSO in activity notifications so these are all components of the integration together um once that's done we'll need to go in and download a manifest file and to do that we'll log we'll we'll in the filter Navigator uh for servicenow for Microsoft 365. we'll go under application manifest to servicenow for teams we'll create a new manifest file we'll proceed through a series of uh prompts to go through this little workflow here and we'll complete the Manifest file itself this is an area where a lot of customization can be added you can name the application that will be put up into teams you can name it whatever you want there's a couple of different options that are available as you go through you can adjust the coloring and The Branding the icon Etc uh you'll be able to configure your virtual agent through this process as well you'll be able to name your tab so if you are just calling an employee Center then that's great but if you have perhaps another customized uh portal name that you want to leverage this is where you would put that in and it would be reflected in the app s and then we would download the Manifest and that would be placed somewhere on your hard drive and then we would proceed to step three where we would log into the teams admin Center um we'll go in and we'll upload for when you do it the first time you'll upload a new app here under uh teams apps manage apps we'll do this upload a new app uh from there you're going to pick up the file that's in your downloads and uh apply it and then after that we'll want to go into your setup policies and this is pretty generic if your organization has uh either if you're going to do a phase rollout or if your organization has uh restrictions or or an approach to leveraging policies then you may need to do something slightly different than this but this would be an approach to get it sent to your Global organization um and then you can also pin the app which we highly recommend so on the left rail within teams you'll be able to place the application and of course we named it servicenow for teams at least in this screenshot I believe this one needs to be replaced but uh you can place it on the left rail within teams wherever you'd like so here I think it's set at the bottom um and I think that's that so I'm going to take this opportunity now to move into an instance so let me try to do a bit of a live demo here um okay so this is a development instance that I've got and I'm going to step us through this process right and what was it the first part was to go into install as your apps and I've gone ahead so I've used this instance before uh and today I uninstalled my integration so I'm going to see this open blank canvas here right I'm going to go ahead and click install and it's going to prompt me to log in with my admin user so that is this account here and because I've done the installation on this account before it didn't require me to do the click-through approvals but there are for each of these different um applications there are individual approvals that will be required and once those are done this is what you should see let me let me pause here um harsh Rohit guys is there anything else any clarifications you might like to make on any of the language or activities so far in terms of what users would do to get the integration going nothing so for uh Microsoft teams integration I mean for Microsoft teams uh integration like for Microsoft 365 you just need accessor and activity notification you don't you don't require request best chat or notify connector just assessment activity notification is enough for Microsoft 365 integration thanks thanks for clarifying okay um all right I'm gonna truck on here so now we've got the platforms are connected once this is done to get employee Center to show up we're going to need to go in and put together a manifest and so I'm going to click through that and go through a portion of this process here now I am not going to go through the entire process but I'm going to go through part of it um so here folks you can see where you know we could call this something else like Mickey Mouse is a word that you know you could call this thing and um I guess it could Mickey would be a short layer okay uh you can call it whatever you want you you know you need to update your version each time here's where some of the coloring uh and whatnot could be uh modified as well I hope I don't bring something here but I'm going to go ahead and submit this just so we can kind of Step through the process right we're going to go ahead and click next at this point and I'm going to just click on here and click next my virtual agent's already set up so I'm not gonna I'm gonna bypass that part for now here's where you could enable the tabs which you need to do going through here and you can also update this so I'm going to just say employees enter just because but you could name it whatever you actually want to for your organization and then from here uh you get to the point where you would download the Manifest and you can do it either at the bottom or the top of the screen I'm going to stop at this point and um uh move over into so let's say that we have the Manifest downloaded I'm going to go into my team's admin console teams admin Center and to manage apps bear with me while this loads all right okay so here you can upload a new app and if you had a new manifest file you would do that I'm going to go ahead and search for um servicenow and you can see that it's in here already and so if you've done this once or twice as I have this would be where you would actually go and be able and if you wanted to say do an update here's where you would click upload the new file and you would take and upload a new manifest and that would be propagated to teams to update your application and that would be it and from that point it was this you would be able to then go into teams right so I'm logged in now as a as an employee and I'm just going to hit Refresh on oops okay I guess I won't do that but I've got servicenow I had pinned it in fact if we go back in here uh I'm gonna go into setup policies I had skipped this part uh I'm gonna check in global org wide and you can see that my installed application is listed here and what I did when I first came in was I clicked out apps but now it's it's in here right and it's listed in a second and it's called servicenow for Microsoft so this is where it's actually posted when we go into uh the teams application on the web for this user in this organization so I'm going to go ahead and click on it and you can see here we're inside of the chat tab but as is with most teams apps I'm going to go ahead over a couple of tabs and here's where employee centers at let me take a little pause here uh and see if there's any other comments or questions before we we show some of the additional functionality but this I think was really the end goal that we wanted to get to right we've got employee Center posted inside of teams all the functionality that your users will get from the web portal they'll now be able to get directly within teams um any comments things to add uh I just wanted to call out a question if you could talk a little bit about the multi-tenant installation compared to a single tenant okay let me go back into the instance here uh let's see if I can do this so multi-tenident uh basically we we do have uh in before I try to get into this harsh row hit is that something that you guys have any um any comments to add to uh yeah so in the process which we followed right now is multi-tenant uh or now we call it as uh self-configured or pre-configured once so this was the pre-configured process in which uh teams admin or the Microsoft admin is allowing service now to create the apps on their behalf and using those apps all the communications are happening with Microsoft uh so this was military rent only and in single tenant you will create your own apps and when you create the Manifest it will you will provide your app ID and your tenant ID Microsoft account ID and it will create the menu the uh the registry application registry for you and then you can use the Manifest in the same way which uh Jeff just described about uh harsh you want to add anything no right that's that's pretty much okay so the pre-configured pre-published app is a multi-tenant app great guys I can't say much better than that if there's any more clarifications on that question please do enter it and we'll try to speak to it but hopefully that helps um oh I see somebody who wants to enable wants to ask a question bear with me let me see if I can do uh you can see it's you know Rush hang on y'all um I am not sure in the rash that we can actually do this but I'm going to give it a try oh okay naresh are you there yeah thank you so much sir Jeff so the question I have is what if uh the customer has only one team's uh instance like you know we have Dev test and prod but the customer may have only one team's instance so if you have to test this in Dev we configure this in Dev again uninstall and test this and again reconnect with teams and test instance again we uninstall and do that in prod or what do you recommend did you get my question yeah I do understand the question um I'm hearing there's a single uh teams I would say teams tenant on the Microsoft the biggest most of the customers don't have Dev or um you know stop broad instances for teams right they only run prod okay uh uh harsh Rohit yeah yeah so just to confirm the question you have single uh teams tenant you are using in uh pre-production environment now you want to use same in production so you're asking if I have to implement this so we do usually start from there right so I connect or I install the app um I do it I connect with Dev I connect teams with Dev right once everything is work is working we again uninstall and have to connect test with teams again uh yes yes because if you are using multi-tenant or pre-published setup uh then you your tenant is connected to one servicenow instance and now if you want to use or connect the same tenant to the other instance you need to uninstall from the previous one so there is history behind it earlier we had the override option uh so you need not to uninstall from the previous you can directly go to the new instance and you can click on override confirm through your admin account and it will be connected but then we got some issues from some of the customers there were some confusions like because of multiple teams they were overriding and previous teams were not sure why it is not working in the previous instance so because to solve that problem we made it uh mandatory that please go to your previous instance uninstall it and then only go to the next one so that it will be clear that what all instances are connected to the tenant so in that case any any service now in teams integration will be done three times right do you have any other other um recommendations like is it is it that everyone has to do three times like once in Dev do everything and then test it and test and then fraud uh I mean uh there are two two process one is pre-published and one self-configured in case of pre-published there is one-to-one mapping only one servicenow instance will be mapped to one Microsoft tenant uh as opposed to that self-configured apps like where you'll be creating your application on the Azure side that's something like you can create multiple applications on the Microsoft tenant and one application will be used to connect can be used to connect to one servicenow instance so it is kind of a one tenant can be connected to multiple uh servicenow instances to render the employee Center or in the teams or that makes sense and um going back to my previous question um so if I have to only implement the chat initiating a chart from the incident form and you know uh assume we are not really ready to uh start the virtual agent like you know to be able to chat with the chatbot from the teams like what what would be the steps I only want to initiate the chats from the incident form but I don't really want um the now virtual agent to be pinned to Ms teams uh to be able to chat with the chatbot or with the virtual agent yeah so uh if if I am uh uh getting it correct you you just want uh on your incident you you want some some communication to be important companies communication to be started from your chat so for that uh we have uh you can see the request best chat application here in this page Jeff can you just say yeah this one so you you need to connect to the tenant and you can install this request this chat application or you can do the same with the self-configured bot also the other approach and then I'm sorry to cut you and what if I have to also show the approvals in the for the teams okay so for approvals in the teams you must you must configure virtual agent without a virtual yet you you can't get the approach notifications and virtual agent again requires um training those models and working with this conversations right it might take some time okay good I understand thank you bye thank you so much you bet and um I would just add in that we we recently came out with an integration between um our new sidebar feature and Microsoft teams so agents could actually leverage sidebar which is different than request based chat where they'd be able to communicate through teams so there's a couple of options now uh in that regard I hope that makes sense that's not really our subject matter for today but I really appreciate the question rush and um thanks for the answers here uh Rohit thank you thank you all right okay so just a little bit more uh showing and telling here so we've got uh you know employee Center uh showing up in teams one of the one aspect I really wanted to be able to share with the audience is that now with that same process that we just did you'll actually see uh in your your servicenow application inside of the Microsoft 365 app so basically you can access all the M365 apps uh in this uh same same window and uh here you know you can see uh Microsoft teams just the same uh similarly I believe you can get you know your organization could post you know have these in the left rail in different ways but you can actually get to PowerPoint and Excel um uh word and everything else uh here you can also get into Outlook and I'm just going to come in here and in a similar fashion we'll see that surface now for team shows up our servicenow for Microsoft 365 shows up here so if you can imagine yourself say you're in a position where you're just responding to a lot of email you're doing a lot of your work in Outlook still and if you need to go through and execute some workflow or have some request without having to actually leave your workspace you would be able to get straight into uh employee Center and leverage all of the goodness Available to You employee Center from here so um a lot more functionality I think for employees who may be working outside of teams to still be able to leverage the same thing and so from a deployment perspective this is relatively TurnKey um so I'm going to go ahead and move back to the deck at this point and a couple of things to share on this so we talk about putting employees Center and Outlook in M365 uploading the Manifest should get that done but Microsoft 365 is still going through its targeted release that started earlier this year and so there could be uh some problems where it wouldn't show up and so here we've got a couple slides that really speak to what to do alternatively when you click on the app launcher this set of nine buttons here at the top left of your screen it will typically take you to microsoft365.com instead of that navigate to to this alternative URL that is microsoft3605.com M365 apps it will take you to a a different URL that'll have I believe what's the language around this it is an uninstalled application that you'll be able to then see here and typically you'll be able to see servicenow for Microsoft 365 or whatever you named your application that you created from here um guys please clarify your uh if I haven't spoken to that correctly all right and then uh there's one other step that you may need to take and it is in admin.microsoft.com uh in the Microsoft 365 admin Center you need to get into your settings go into your org settings over into this organization profile Tab and then into release preferences this is where I said it's not uh fully generally available yet it is still in its targeted release this selection right here would enable everybody in your organization to access M365 to be able to see employee Center in M365 if you wanted it to be for select users you could do that as well with the selection below that also please realize that this might not be an immediate update it may take a little bit of time to show up in your organization's actual application for your user um but I think that's it so pretty cool functionality here and glad to have some additional um Clarity in terms of how to get it uh to show up if you if it doesn't work right off the bat um got a handful of best practices here in terms of driving the integration if you yourself are a servicenow administrator or work with your servicenow administrator this may be really good in terms of how to drive may be helpful for you in terms of how to drive the integration and make sure it gets done as cleanly as possible the guidance is really just to communicate and communicate some more and communicate again we need to make sure that your um your servicenow owner and the Microsoft owner are really uh synced up and understand what we're trying to do here you know obviously these are two heavyweight platforms and they have a lot of security and a lot of things tied to them uh so so this you know should have some a good look from across your organization before it gets implemented right so you'll need to make sure that you get the teams that are going to be impacted uh all on the same page so that they understand what you're going to do what access you might need um and what activities may be happening uh that sort of thing what the security protocols might be around the integration and then once that's done uh let folks get their um uh questions answered and um just continue to follow up what we're really talking you know uh recommend in terms of driving alignment is to get a team's discussion started get people together and drive this like a project one tool that we have that may be useful is just a draft message that could help uh you or the person in your organization who would be tasked with driving the project uh to to go in and be able to share uh uh to get people on the same page um see here and this brings us to our last poll question so I'm going to roll that now and the question is after going through today's event I feel well equipped to try the integration in a sub-prod environment please let us know if you think if you would agree with this or or not um oh lovely I'm seeing several yeses that's great and if your response is actually no please do let us know either in the chat or in your uh post event survey what we could do to make it better or if you have any other specific questions please make sure that they're logged um so I'll let this run for a couple minutes or for another minute here see if we can get a few more people to respond and while we're waiting for that um are there any other questions from the panel that we should be that you guys are seeing that we should speak to Sophie harsh Rohit you guys seen anything uh looks like we've answered most of them um one more just came in about not being able to access the Microsoft Integrations core in their production instance right um I just went ahead and animated the poll here we had about half of the people respond and uh we uh of that 88 said that they'd be able to try the integration in subprods so that's nice um thanks folks and again if you don't feel confident please you know continue to work with us so we can try to help you get where you need to be uh to give it a try um I'm going to flash up some resources here these will be in the deck when they get posted we just posted a new article uh that speaks to getting uh Outlook employee Center posted and outlooking M365 so it takes you in into some details on the material that we just went through you want to see what's new in in terms of what's new in Services now for M365 or what came out in August for employee Center uh please you know check these out and we've got a handful of community articles and uh that speak to how to do the integration as well as some security items we've also got our product docs and guys if you if you have any issues please do not hesitate to open up a case and check out uh and ask for help from support this last link is a link to create a case and support if you're not already equipped to do that um so hopefully these are helpful and for the balance of time that we have let's go through any other questions and answers and I'm going to take a minute here and try to look through it myself uh Sophie is there anything else um to speak to at the moment uh yep we got a question asking if you could you couldn't registry but that was created when you set up the link I'm not sure if you have that available um yeah sorry I was responding show which so what was that again please uh the content yeah um so that would have been in um so just that's on the Microsoft side isn't it uh yeah so we do create we do have application registry for this uh but Thomas uh so the message which you see the red message missing application registry uh that is for self-configured process uh because in that process you provide your application ID and rent ID separately while creating the Manifest uh but what Jeff described just now it was multi-tenant or pre-published process so there the connection was already there so all the applicant Registries are already created uh using it uh because of the tenant connection so that resistor would be different from what uh you are using you must be using as per your question I see you must be using uh the self-configured process and does that answer your question maybe you can type in the comments and questions come on I I hope so let's see if we can get that person to respond um in the chat uh Paul I see your question about seeing when a plugin is updated and I know harsh is sending typing up a response I believe but we update the servicenow for Microsoft 365 plugins on a quarterly basis typically and so each uh uh we just did it in August well there's an update scheduled for November then we would do February we do the month before our family releases right so we have a family release coming out in September we did the um store release in August right which is our Cadence um so they happen four times a year and then the one after the February release would happen in May so February May August uh in November would typically be the time frame what I was trying to get to here was um if you go to a system applications um in your in system applications all if I can actually do this and you can look up the servicenow for Microsoft 365 applications uh in there you can see if there's a an update so I hope that helps and guys please clarify if you have anything else but I'm just going to kind of show what I would normally do uh so I'm just going to go down I know down at the bottom here we've got our bundle and uh each of these I guess I can see that I've got the latest but you know what it looks like if you need to do an update it would look something like this uh I hope that answers the question um okay um see here is there any I'm seeing that we're done on a q a is there anything else on chat Sophie and team uh I don't think there's any outstanding questions see a hand raised by Thomas and I'm gonna take you off new Thomas can you talk to us if you'd like hi Jeff can you hear me yes sir hello yes can hear you please go ahead sorry am I Audible yes sir yeah Thomas we can hear you okay perfect sorry for some reason I hate you um so I'm not trying to create my own I'm literally trying to do Click by click and it might be that we have a corrupted sub instance um but as I I follow the exact steps you did I'm getting this error that's Mohit sorry um sorry who was responding earlier was suggesting almost it looks like I'm trying to make my own but I'm not okay so yeah where where we said it was a self-configured bot but you're saying you're doing pre-published and you're you're hitting some issue oh I guess Thomas might not be able to hear us shoot oh you know what wait a sec um may have you may have muted yourself here again Thomas so you know what man I'm I'm afraid we maybe we should take this one offline I'll I'll take you off mute one more time um or ask you to unmute sorry just oh my gosh yes sir yeah so yeah so um what I was trying to say was um I'm not trying to create my own application um and to follow the exact steps you did but for whatever reason uh is giving me an error saying that there's a an app there's a application registry not being generated so it might just be in an issue on our instance indeed I I would encourage creating a support case I'll I do want to defer to harshin and Rohit to see if that's something you may be familiar with but if not that sounds like a good good thing to take to support yeah we have done already uh but also I think they're coming up blank for the moment okay uh yeah we we can try to escalate that one guys do you have any comment on what Thomas just described oh yeah I think it is specific to instance uh so we need to get more details uh harsh anything no I I don't think I mean I don't have anything we need to get more details definitely so the process to go through then would what to ask Thomas to um Escalade his case or Thomas maybe you can escalate your case and ask for some engineering sport yeah I can do that I think that would be the step if you've tried it and and are getting anywhere let's let's try something else thank you yes sir okay I'm not seeing are there any other questions usually Microsoft integration core gets installed with it service management plugin from insurance okay um looks like there may have been I'm not sure I'm seeing this statement from an attendee that uh looks like a statement and not a question so yeah so it was my answer so the original question was that they are not getting uh Microsoft integration core plugged in on their production instance it is available on dev but not on production uh so usually it is part of this bundle uh ID service management integration with Microsoft 365 or HR Service delivery integration with 365 so if they install that plugin then it will also install integration core automatically but they are saying it is not folks thanks again we're going to go ahead and end it there thank you so much
