Enhance your APM with the Enterprise Architecture Workspace

okay we'll go ahead and get started um Welcome to our um Enterprise architectural workspace Meetup today what we want to do is cover what the what the EA workspace does and how you can use it um some of the information we're going to provide towards the end we want to give you a what you might call a flavor of the roadmap the roadmap is very active right now for this so we're we're working on new features um fixing issues that you guys have reported to us those of you that are already using it so anything that that we say and tell you that's forward-looking we you know this is our to our best knowledge at this time so um I'm going to try to save about 10 minutes or so at the end for Q a um if you will there's a q a button on the zoom screen and you can ask questions I have a whole team with me we're really privileged today we got Molly and Scott and Tony and show on are all along with us to help answer questions so we'll answer the questions in Q a and we'll take some of them live at the end so and at the end you will be asked to fill out a short survey if you don't mind filling that out it really helps us it's how we evaluate how well these things are going and it's also um gives you a chance to tell us what you want to see next so um I'm Mark Casto I'm principal product success manager under the Strategic portfolio management product team my specialty is APM although I cover all of the other products um but today we're here about 8 pm so our objectives is to give you insights of what you can do with EA workspace what it where it stands now again it's evolving every three months we're releasing some new functionality in EA workspace it just came out it seems like it's been around for a while but it really just came out in February of this year so this scene is really growing and changing and there's lots to come so we want to you to understand what it is how it's growing and how can you configure it to suit your purposes so we'll talk about it uh what it is then we're going to get into configuration and there's there's lightweight uh what you might call intention um configurations that is serviced by certain functionality out of the box it's actually a little different from some of the other workspaces you ins you see in service now we we've got a way to provide what we call insights and such um but then we'll talk about what's in the future we'll get into EA workspace real quick a survey and Scott or if one of you guys could pop a survey we just want to know where you are with it are you've already installed it are you using it are you thinking about it um that is now there we go just most people look like they're just beginning they haven't started okay we'll give this a couple of minutes thank you for your responses so our curiosity is just to understand that if you've taken it down you know we'd like to know where you're using it um the main point about EA workspace that's going to become the primary UI for APM there will be always the other uis but we want it to be as useful as possible not just for Enterprise Architects although that is probably the key targeted Persona there's other solution Architects I.T owners of your applications um business planners Etc so as we continue growing involve it you know we want to understand how it's being used and what your needs are so um here we see the poll We've Ended it and for the most part nobody is you know there's we have three that indicate that they have it out of the box installed um most everybody is just beginning with it so that's great um we are we are here today to help you see if it can if it can help you out so if you want to install it so that's the poll um Enterprise architecture workspace so as we said um as part of the UI modernization that's going on throughout all of servicenow in the platform we've built this workspace to essentially replace the old APM home which was very useful it gave you a One-Stop shop to get to things but um what we wanted to do is provide a new and modern UI before and after remember the old one basically had the four portfolios we still have concepts of that application business info in the Insight section so we're looking to give a modernized um experience especially things like the insights where we actually drive activities and by the way this is one of the most configurable areas is insights so you can make that work with your processes so the overview tab so what we're looking here is the you know the first and foremost part is insights on and we have it divided up into application business portfolio info and technology and in each section we have out of the box tailored content to tell you things that are happening things that you might need to address these are very configurable we're going to talk about the configuration of them later in the presentation but the idea is that you can drive activities as a solution architect Enterprise architect whatever you come in and you see here are things that I need to pay attention to or care about and we're going to go through the you know the details of that in fact we'll do a little bit of a demo um down below that we have needs attention so if you have some requests out certifications assessments and then there's the new technology portfolio audit this is where you validate the um the heuristic guess the TPM has made at a life cycle is valid or not you can actually have control over what's presented in the risk aspect of TPM next section down and again we're still on the home page we have the portfolio overview and help so this is really counts of things we have filtering I will tell you right now one of the main requests that we've had so far is to enhance the way that this filtering works and that is it's not on the roadmap yet we're still working on how we're going to do it but this filtering will change to be far more flexible right now to add new filters to you have to go into UI Builder and go through really some development type efforts to make that happen so we're working on that and that's I think an important note for today portfolio health so overview that's counts this that and the other thing portfolio health is more about the portfolio in other words the health of the records business applications without capabilities without app Services Etc and this is a driver for the APM admin team the ones that are owning the process and driving the process these scores help you go in and understand you know is everybody doing their job maintaining their records do we have the right structures this is a supplement to data certification scripted and desired State audits those are other ways that we use to drive this but this this just gives you the counts and the numbers so that you can see how things are going basically it's a gauge of your APM program and again highly configurable you can put what you want what you need in these these visualizations and by the way these are visualizations here we're just seeing scores but you could configure uh Donuts whatever visualizations are available in the new um performance analytics and Reporting UI Builder style dashboard visualizations so dashboards tab we give you an out of the box dashboard and what this is doing is really taking some of the old reporting we had the landscape report um the trend analysis all of those things and we're putting these into this dashboard um so that you know so that you have again deeper details on various aspects one of the things we're going to talk about is how to add your own dashboards you'll notice this little down arrow you can actually add your own dashboard so if you've developed dashboards you could have two or three here on the same dashboards area we'll talk about that later today there's more on the dashboards just examples of what we have in there um you can see that now with our latest release we've Incorporated more TPM and trm into this so that we're just getting a better picture of overall of what APM is doing and how what the program is doing business capability hired so the old hierarchy map was nice it's one of the difficult things to do in a user interface is Express a hierarchy we've come up with a nice and very clean way of course not only presenting the hierarchy but allowing you to manage it one of the things that was really hard um and it's not the hardest thing in the world but it was let's say it was very aggravating is to use the old relationship formatters to assign a business application to a capability if you've ever used that functionality it was it was prone to errors it was clunky and and you know it's it's time was was passed so now you just got a nice simple little menu item assigned business application you click it go pick the business application and it's done that CI relationship the correct one in the correct direction nation has been created for you you don't have to worry about did I create them backwards which is something we see happening all the time you don't have to worry about did I picked the wrong one did I not pick provided by provides or did I you know I pick something else those kinds of things are isolated from you because really at this level you don't care you need the proper structure set up and there you go we give it to you if you need to create us some capability we give you a way to manage the hierarchy so other things we can manage we can create new capabilities we cannot manage the hierarchies you click on something be it an application or capability you're going to get the fly out at the bottom you can click on full details so that you could drill into the full detail of whatever it is we're showing you the scores and these are the standard capability scores you have the overall of course and people process technology we also have ownership business unit and those sort of things displayed in here again it's configurable you have the little gear so there's other elements that you can add to the list portfolio list is the next section um this section is really you know there are times when nothing beats a good old list view so we have used them for years within service now and in order to manage and work with and accommodate all the use cases for usage and information gathering sometimes you just need to be able to get the list you need to be able to export it filter it add attributes Etc and here we are we can here are the out of the box lists with my list you can go in and build add your own list they could point at any table that you have privilege to look at so this can be very powerful for getting that right information out these lists here the configured ones are covering all of the elements of of APM so that you can see them you can manage them another thing that was added in the uh August release released first of this month is we've added a bunch of those setup tables app categories category groups at families indicators scoring profiles trm phases categories information data domains architectural artifacts so you don't have to go back to the old nav side of things and it's all still there but you can actually work with these things and stay within the workspace so this is another area where we'll probably see more growth as APM continues to advance and as well as we get feedback from you our customers on what needs to be here to make things easier so to activate the Enterprise architecture workspace it is a store plug-in you go out to the servicenow store search for Enterprise architecture workspace and you request it once you request it that gets approved and your administrator will find the plugin in the plugins list and you just install the plugin it will as now as of May and in the August release it is also going to install the new TPM plug-in so um in a previous Meetup we've talked about new TPM it's new functionality is a rewrite of the old technology portfolio management um with that includes Automation and it's actually that in the technology portfolio insights that's where we're exposing and showing the new TPM functionality we're going to take a look at this all live in a moment but essentially it's really simple go out go to the store request it when it comes in install it there is a important note here in the August release um servicenow at the platform level has created something we call unified map this is to replace that old dependency viewer that's part of the relationship formatter that dependency viewer I mean it's not gone but it's going away so we have a new modern one we call it unified map and it's meant to give us that map view that dependency of entities or nodes and the relationships as lines between them so unified map is now part of EA workspace but to make sure that you get it you need to go in and you'll also do this up on the story make sure that the cmdb works place 4-0 plug-in is installed and updated I think that is going to require Utah so that might be a prerequisite check with your administrator check with the store on the versioning to find out the details on that um if you don't install it it's not the end of the world EA workspace everything works it's up for the view map button so um just to kind of get into this really quick about configuration typical areas of configuration are insights portfolio overview portfolio Health um I call these EA cards or EA configurations we're going to look in detail at that and then there's the dashboard there are other possibilities you can go into UI Builder and you could radically change this thing we would not recommend that you're crossing over into customization land so you probably don't want to go there you might consider building your own workspace for that but we should talk about it if you feel the need for it let us know why you need certain functionality what's missing because we really are interested in how do we make this thing the best possible facility for all of our users so the inside portfolio review and health configurations that's those little cards there's actually a and you have to go to the all menu um but the APM EA configurations and this is all of them here they're here listed here's the name if you need to turn one off you can activate them deactivate them there's two types there's a visualization and that's the way you do those is use the platform uh visualization Builder it's called platform analytics workspace and you just go build a visualization and save it you can then create one of these EA configurations and you just reference the visualization and tell it where you want it to stay the section tells us where it is is it in the overview area is it in the health area is it in insights technology portfolio is it in inside it's uh application portfolio so you can control where those things go if we go back to the view here remember that each section here you have insights but then you have four sections on their insights there is no configuration right now for needs attention it it is what it is but insights here this is Port this is overview this is Health down here at the bottom so that's the key areas that you can do things and of course these visualizations if you build them you could add them to this dashboard I think I would advise that you probably just go create your own dashboard so the scripted ones in each case the the scripted ones they're returning a Json object and if you're not a developer you may not know what it is that is a JavaScript um set of text think of it as a a structure and this we call it an object JavaScript object and it just has certain information so in the insights section there's a title so you give it the title and you can tell it has two lines three lines what size is the font how big is it um you could tell them a count that's going to be displayed is the count so you're going to dynamically via scripted code populate this information the description you can set in labels button label button tool tip colors um Etc you can play with these things there is a little bit of documentation up on docs that talks about this but um Our intention is is we're planning to do a community article to demonstrate some of these things then in the portfolio Health the Json is a little bit different it's a little uh shorter and more concise and this is this is what it looks like so one of the things all of these um inside portfolio Health they have a utility a script uh script include that it uses to generate the information probably I wouldn't recommend that you make any changes with the utility but you can certainly examine the utility and we call them out back here on this list we have the APM eaw health utils is is one of them and and you can use that as a pattern for how you develop this so here's an example of what it looks like again here's the order that'll specify placement in the list of insights um here's the section where it goes so that's the placement on the page here's the ordering within um the others that are in that section what type is it it's a script and most importantly or equally importantly you can control access so by a particular user or a particular group you can Target certain insights to show and not show so if you want to this is part of how you go about tailoring the EA workspace to maybe accommodate portfolios of of information maybe each solution architect Enterprise architect has their own portfolio you would create a portfolio group and they would have their own sets of insights per portfolio that'd be a way of going about it so the visualizations those are developed again in platform analytics workspace you go out develop the visualizations somewhat like what you did with the old reporting except this UI Builder there's lots of YouTube videos and training information on using UI Builder to do this and we'll see if we can't take a quick look at it but you see an analytics Center data visualizations you just go create a new one set up set up the data source and configure it and then you go back and you can add it to the EA configuration dashboards so to do dashboards the dashboards are also UI Builder based dashboards they're not the traditional old dashboards so you're going to use the performance analytics workspace to develop it but the way to add your dashboard there's a set of steps and I'm just going to describe them here real quick you have to do a little bit of configuration in UI Builder so you change scope to Enterprise architecture workspace you open UI Builder and select Enterprise architecture workspace and open it then you're going to edit and if we go back you'll see hopefully you can see it's a bit small right here at the top we see landing page that's kind of that main page so you're going to click editor or you can click on home default here to open the home page when you're in the home page you want to make sure you've picked it you've selected the top level and you'll see the overview tab in the dashboards tab so you just click the dashboards tab at the top and you'll when you come into the dashboards tab configuration if you select the dashboard right here this not the dashboard Flex container but the dashboard itself it'll say you don't have any dashboards but you have a configuration for this dashboard UI widget and these the the EA dashboard see there's the default one Enterprise architecture dashboard so it's been added as the default that's how it actually shows up if you didn't want to use our Enterprise architecture dashboard and all you would create your own and replace this right here at the bottom with your own that would be one way of changing the dashboard functionality another way here you see disabled dashboard creation is selected deselect this and you'll see save light up so you you save it and then at that point when you come back to the dashboard itself and we'll look at this in a moment you'll see that create new dashboard is now enabled and you create a dashboard put your stuff in it and you'll be able to select it from this drop down so it gives you a way to add your dashboards and you could do one you could do two you could do three you could add your dashboards to the architecture workspace with a simple little reconfiguration so before we go to roadmap I want to bring up a system and let's take a look sorry one moment having that re-log in here okay so hopefully everybody can see this well here we are at the Enterprise architecture workspace again we see that we have now four icons the home Landing business portfolio the list View and that setup view as we're discussing here's our Insight section app portfolio these would be things that apply to the applique business application records could be anything um most of our customers have uh additional Concepts besides some of the out of the box so you might have things about data classification whatever makes sense to show here business portfolio these will be things related to probably business capabilities info portfolio these are related things to information portfolio and for me most interesting technology portfolio with technology portfolio again this is using the new TPM analysis it's an automated job there's no longer do you have to go mainly do a lot of clicking we can do Discovery using service mapping Discovery in Sam Pro all working together we can discover basically consume the content that those facilities provide and gather our our life cycle risks so here I can say I'm planning 12 months what do I need to do a year for now so I can establish next year's budget for upgrades and plans and I see where things are at risk I can look at it from a server level it's very granular or at the software product level or at the hardware level I can also look at it at the application service level or more logically since we're an APM I can look at it from the business application Level there at the business applications I see the records that are causing a problem and I can expand on it and say look here I have into support dates these are what's driving the risk and here's the product that's driving it as a part of it I also see the details on product version Etc but this has given me a quick and very actionable view on that technology technology risk again I can group it by one of these you know how far out it is goes out as far as 18 months on here needs attention we talked about this any requests that you have targeted for you I'm in here assist admin so here's a couple of requests that I've got certifications I can review the certifications and help drive that process any assessments that are out I would see those assessments and then again as we do that technology portfolio analysis these are asking us to verify the phase start the life cycle information that was provided by our integration with Sam Pro you can choose to reject it that will take it off the risk list portfolio overview these are just lists of things that you have again we have a set of filters and one important Point here is we're looking to improve how this filtration works here right now you're limited to these seven filters you could go into UI Builder and do the work you have to create a new filter you have to associate it to the containers the the hold these visualizations in order to get it to work so there's a bit of configuration if you will advance configuration to make that work so we're looking to improve this facility that's one of our one of our our you know again it's not on the backlog so we don't have exactly what we're going to do but we know we have to improve it and then here these are health indicators you can what's what's happening with just APM and my my APM program where are things that need to have attention I need to get people working maybe I need an email campaign or something to help drive this business portfolio [Music] this is our new capabilities View and the least for me it's so much cleaner and it's and it's much easier to work with here we see our hierarchies I can add new capabilities I can assign a business application and now with August release I can create a demand Associated to the selecting capability here I can do it for applications as well I can remove that application so instead of having to go to the relationship formatter I can do this stuff really quickly and you see the information we can gather here I can add other information app category this is information from actually app category family Etc that's information from the associated applications it wouldn't apply to the capabilities but where we have the apps you can get a little more information about the application begins to make this view more powerful more useful um each of these capability lists you can understand what's going on with them quick link into something like capabilities have not been assessed here's our list views all of the various lists that are partnered to APM and then here's our utility configuration so one of the things I wanted to do here while we were looking at this this thing's taking a while to render rather than wait on that I want to go to platform analytics workspace and make sure that you've seen it in real life so this is the new place with with the next experience in service now this is where you go to build dashboards and data visualizations data visualizations are really an equivalent of what we of the old reports I can create a variety of them and you can see there's all kinds in here business application here's the ones that are being used over in in apmea workspace we see some others here probably in one of the cmdb health dashboards CI overview vertical bars single scores those so when you if you were creating a dashboard or you're creating uh visualization based cards over in EA you would go create a new visualization here set it up save it and then you can go back and add it over in the EA workspace so back to our EA workspace go back to home want to look at the dashboards in this system I've already done that configuration that we were talking about so I'll let it render so I can edit this dashboard right here I'm directly this as an admin there's um you have to have the admin or I think it is I'm sorry the uh the actual role escapes me but you with proper permission you can edit this dashboard uh I think it's PA Builder UI Builder we'll get that information for you um I can edit this dashboard but more importantly I can add more dashboards here so with this configuration that we're showing in the PowerPoint I add I enabled create new dashboards so when I do create new dashboard um I can use the inline Editor to go and create it I can go into the technical editor and um you know do some more advanced uh scripting data binding that sort of thing um this is really just dragging and dropping components so so now I just add new elements I can create some or I can go from the library and I'm just going to pick things those were all demands but they were quick and easy so I just want to show you how it happens I save it exit editing mode and now I can see I have my EA dashboard and I have my new dashboard so I've just built a dashboard because I had some saved visualizations so the process might be develop your design and develop your visualizations and then you can add them to your own dashboards um Once you turn this on anybody with you know the privilege level to edit dashboards is going to be able to create one so that is um the bulk of the com content I have for current state I want to go back and talk about the roadmap real quick and then we'll have a little q a so again Safe Harbor but what we're planning is out rationalization in the EA workspace that's the bubble chart and the idea there is to make it as flexible as possible we're really looking at uh in previous years there were certain attributes and aspects out of APM in your inventory that you couldn't get to show up in the bubble chart we want to make sure it's super flexible and and will service well the whole idea being to subdivide your portfolio by category capabilities Etc that will still be there and we'll still support that but we want to have more uh flexible and Powerful filtering in that application total cost of ownership this is introducing cost into a rationalization process previously a few years ago we did have i t Financial modeling that we worked with and you could take general ledger lines process them you threw a series of scripts and assignments and and generate modeled costs on your applications it was hugely complex and that I.T Financial modeling module is no longer available we have excuse me we have Partners such as proven Optics Nikes even aptio Integrations would would provide that sort of functionality what we're seeking to provide is a simple way to if you have your cost information and have it broken up either by you could have a single just cost per application or maybe you have it across various Towers like software Hardware costs labor costs facilities costs Etc you can create that breakdown if you will of cost and you can assign it to the application so it's going to give us a way to put costs back into rationalization and have that visibility into cost generating the cost will come from somewhere else from another system TPM trm Gantt views again the the old uh Gantt view where you see the the support uh life cycle lines and then the usage life cycles that are excuse me part of trm we're going to have those probably looking at second half of 24. this is by no means all there's lots of little things like the filtering there are bigger things like gin ai ai assistance that will have its place in uh EA workspace these are just some of the key ones so and here's some mock-ups of what it looks like the new bubble chart um and ways to configure you know what you're looking in the bubble chart analysis um total cost of ownership here's some mock-ups on the kind of outputs we expect for that so some really powerful outputs here in TCO and then here's that Gantt you that we're talking about with TPM so everybody thank you so much for joining today thank you for your input and your questions and we look forward to
