or two minutes past the start time just to let people Trickle and I know you're coming from different meetings just starting your day things like that so we want to be mindful and let everyone join so session we're really excited to chat today we do have a safe harbor notice here just in case we do talk about any forward-looking statements it's based on what we believe right now but knowing that road maps always are changing so just bear that in mind while you're making any purchasing decisions things like that a few housekeeping items we are saving some time at the end for Q a but please use product manager with our it service management product I've been with servicenow for five six years and I'm really excited to chat with you about catalog Builder I'll let kartik introduce themselves as well thanks Sevilla hey everyone nice to meet you all I am Karthik I'm a product manager in ID service management especially looking after service catalog request management and catalog Builder uh looking forward to this session I'll get the demo for today see you soon what do you know thank you so before we get started with all the good things we love to start off with polls to really get an idea of where everyone is so the first question we are going to ask is what is your purpose of using catalog Builder if you're using it or planning on using it so I'm going to launch the poll now um also feel free to use the chat if you have an additional um Insight but are you aiming to let business owners create catalog items themselves make it easier and faster to create catalog items for developers use the catalog builder for requirements or as requirements Gathering tool other or you're not quite sure yet you're still trying to figure out this question might not be applicable to you right now if it's other feel free to throw it in the chat so we can really keep an eye on understanding what people's intentions is with catalog Builder so I'll leave it open for about 20 more seconds to get to more of our participants to answer we only have about 66 participants I'll check out the chat looks like Jake said we want to start with requirements Gathering possibly expanding to business owners depending on how it goes so a little bit of a process and a build up before you just leave it open for business owners awesome okay we only have 72 so I'm just gonna maybe wait 15 more seconds to see if some other answers come in before I end the poll let's see maybe a couple more all right I'll just end the poll there um so if you see the poll results we have about 37 want to make it easier for developers 24 and tend to allow business owners to create catalog items themselves uh 11 said a tool for Gathering requirements and 26 said we're still trying to figure it out or it's not currently applicable I'm checking the chat some people also said we want to look at requirements Gathering to move uh to move to making it easier for developers and then live live the dream of business owners making their own with guardrails yep we want to keep control in the beginning before we open it up to other groups make sense okay next question we have for everyone if you are not using catalog Builder to let your business owners create items themselves through democratization which uh what is the reason why so let me launch that poll some of the responses may be um that you're not using catalog Builder to let business owners create items themselves um because it is still complex for those business owners because they don't you don't want everyone um you don't want to open it up to everyone as it might compromise the quality of catalog items and you want to ensure the process to implement it before you do or you're just not there you do want to let them use and create catalog items or the questions not applicable to you um so go ahead answer that we have about 45 more seconds before I close the poll I see um somebody's hand is raised if you have a question feel free to drop it in the Q a if it's a comment feel free to drop it in the chat right now because we are recording this session we don't want to allow people to come off mute just for the recording at the end if you have more comments you want to say out loud we'll definitely save some time for that as well so I'm gonna give it 10 more seconds and then I'm going to end the poll foreign so let's end the poll here oh my mouse froze I think it died that's okay um so currently we have 49 don't want to open up up to everyone as it might compromise the quality of the catalog items I love for those that answered that to maybe drop a little bit more information in the chat why what are your fears what are the challenges around that why do you think it'll compromise the quality of the catalog items especially if there are those guard rails in which they have to complete the catalog item and you know it's still overlooked by a catalog admin or a developer so if you would throw it in the chat that'll give us more information so we can make sure to tailor the future look and feel and process of the product to keep that in mind that many people are still worried about compromising the quality of the catalog item so take your time to answer that um we'd love to hear a little bit more information additionally 31 said they want to but are not sure the process to implement it yet 16 said catalog Builder is still too complex for business owners and then four percent not applicable at the moment um so again if you want to drop a little bit more information in the chat we'd love to see um and read more I'm not going to read it all out loud but it is something for us to come back to I'm going to stop sharing it we have one last poll question um the question is which of the features would help you most in adopting catalog builder for the purpose of democratizing catalog maintenance so there's technically five answers to this um four five uh five or six answers but first one you can um you can choose multiple by the way so the first one is out of the box approvals and review mechanism using the catalog Builder as requirement Gathering tool adding Advanced capabilities so that developers can use it completely generative AI assistance catalog item creation so that the creation becomes faster and easier something else that you want to add to the chat or no plans to democratize again this is multiple choice so if you want to answer a few of them that is totally fine as well we just want to see the majority you know what your what's most important to you so again I'll leave that open just for a moment here before we end it and keep moving forward awesome so uh 10 more seconds we only have about 50 participated I actually might leave it open for like 30 seconds because it is a little bit more of an extensive question so no worries take your time still have about 50 minutes together so no worries keep answering along let's see in the chat some people said my organization is not sold on AI just yet this I did not select it as a choice we are currently using service Creator tool for businesses to create their own Services need to replace it um our customers want to also be able to build DIY workflows okay um so I'm going to end the poll now it's been about open for two minutes so reading through these results 60 of you said an out of the box approval and review mechanism 48 said adding Advanced capabilities so that developers can use it completely 44 said using the catalog Builder as a requirement Gathering tool 37 said generative AI assisted catalog item creation 15 said they do not have plans to democratize or it's not applicable to them just yet and six percent said other so we will keep an eye on the chat feel free to keep dropping those others in um okay so that's all of our poll questions thank you so much for participating again that really helps us in the future as we are looking at the plans for catalog Builder so with that being said what I want to do quickly is just give an overview of catalog builder for those of you that need a refresher we did go through this in our catalog Builder 101 session which there are um there is a recording of a similar session on our community page if you need a a more extensive overview of catalog Builder because what we're going to go through today is a little bit deeper but before we go deep I do want to talk about an overview catalog Builder so let's talk about the need for democratization so there is this need for creation and maintenance right now as it's mostly centralized and centralized catalog maintenance bottlenecks I.T departments and really slows things down the benefit of it not being democratized and it being centralized is it requires servicenow platform knowledge and it requires experience around catalog creation however there are a few more challenges when it comes to this without having something like catalog Builder and without having it democratized you cannot really visualize an item that's being built so it does make it hard for it to be democratized and to allow service owners um to create something you don't have those you know guard rails to enforce the organization's catalog standards so without that again it's nearly it's a really tall ask to ask service owners to go create something when there's no guard rails they don't know what they're trying to create they only have the requirements they don't know what it takes to create this and what they need to answer and Etc also increasing of bottlenecks we'll kind of go through this in the next slide but essentially everything has to go to the servicenow developer the catalog admin whoever you know whatever you call that role then all of these requests are going to be coming in and really congesting the backlog of items that they have to work on and it's just going to make it slower and slower and slower and it's just going to back it up and back it up and then you can't even do the maintenance on those items as well because you're busy creating new ones or you're trying to do the maintenance so you can't create new ones so it really backs things up um kind of going into the scenario that we're looking at is typically you have a requester who is searching for a product or or request something that they they can't find so they reach out to the business owner or service owner someone for example wants a monitor and there is no catalog item for it they would create a general ticket and that could either get lost or there's just so many that is not handled on time or handled quickly so the other option is to reach out directly to the service owner um because there's no catalog item so the service owner May lack the technical experience and the technical requirements so then they reach out to the catalog admin or the servicenow developer to create the catalog item there are so many service owners reaching out to the very few admins or developers it can get really overwhelming they can lose the request they can be busy it can be backlowned for quite some time time and once that request is made there are then so many back and forth to make sure all the requirements are there so I know a lot of you talked about requirement Gathering as being an issue um we identified that you know back and forth back and forth and that's slowing down the time to make the necessary changes to getting it published and it can take months even weeks months quarters years to get everything fully fleshed out and really deliver that catalog item and by that time something may have changed as well so already you're getting requests from around the organization as a service now developer or an admin and you really don't have enough bandwidth to take care of all the requests that are generally taking a lot of time to deliver each of these catalog items and they then increase so incomes catalog Builder so catalog Builder is um the res resolution to the problem is here to resolve the problem so where the catalog admin and service developer has a lot of requests coming in from all over the organization we want to empower and enable the service owner to be able to to create their own catalog items requiring very little servicenow knowledge making sure that there are the guard rails to ensure compliance with policies and to allow them to visualize the item being made with previews and step-by-step guidance 70 to 80 percent of creating a catalog item is defining and refining the description Gathering the necessary information defining fulfillment steps and that last 20 percent may be some implementation complex scripts and logic that needs to be done by the servicenow developer so the catalog Builder is an easy to use what you see is what you get guided guardrail experience for creating and maintaining catalog items so we're going to go through these features at a high level but to answer you know some of the requirements that everyone was talking about is it's the place where service owners I mean admins can create a template so that the service owner is not confused by what they're doing they have a guard rail experience they can put all their requirements in and you can build approval flow so that the admin still does have to check it out before it gets published so there are some um guiding more guidance and more restrictions around catalog item to really address some of those fears and challenges that you all have been discussing but don't take my word for it I'm going to let kartik talk about some deep dive um use cases for catalog Builder all right thank you Isabella for saying that out uh great questions and comments there keep keep them coming we'd love to hear what you think about about caterpillar and what you like to see in in future I see that a lot of you are afraid that democratizing what would mean the quality of the tattoo item might go wrong so what sort of guardrails in addition to what we have today would you like to see in future will that will really help us in in adding that to our backlog and working on that so with that I'll stream and all right let me go to catalog Builder yeah so there are four tea time items that I would like to take you guys to uh the first one is to add a question or a feed on catalog buildup so category as you know uh it has some steps and and each of them will ask some questions now if you want to add a question of your own uh which you might want to ask the uh ask the Creator then they can add that to catalog Builder instant seems to be acting up give it a minute and see that Eric is supposed to need the catalog Builder to provide an effort through Collins since just it has different conference for instance thanks Eric let me open rather I edit an existing one that becomes easier yes now let's say uh when when somebody is defined this catalog icon you have these like item name digital description image and description and so on there are different uh different fields that the Creator uh edits or and gives information if you want more information that is actually present in the catalog item table how do you add that to the Builder so what will is what we will ask that a new question for let's say a meta tags I'll take meta tags as an example uh and and show you how that can be added so I am right now logged in as an admin but to do this you need a role called wizard admin wizard underscore admin so if you have that rule what you can once you have that role what you can do is go to maintain Wizards and this will show you all the Wizards there in your system uh there are four which relates to catalog Builder the create catalog item one the create question create record producer and create UI policy these four belong to catalog Builder so here since we want to edit the catalog item creation flow so we'll click the catalog item because we don't want you to mess around with what we have out of the box and and that might mess up the the product itself so you can't change what is out of the box but you can add to it and the ones that you added you can edit them or delete them later if you if you want to hey just a quick heads up I do think your audio is breaking up just a bit okay yeah uh I I I'll try and change notification but do tell me if that happens again okay all right uh hopefully it should be good now uh anyway yeah moving on so so here we see that uh in the Wizard you have different steps and each of these steps correspond to the steps you see on Builder so if you want to edit any of these uh rather if you want to add any question or section within any of these you can actually go ahead and edit this but before we do that we'll have to edit the record producer that is the backbone of wizard so to do that you click this link called open Associated producer so what that does is opens uh some something called composite record producer which basically is the uh record producer which contains the data of data in the uh that is required for the wizard right in this let's say we want to uh uh add things to or Alexa will directly add to the variable we'll click new variable so what we're trying to do is adding a variable which will map to the metadata in the backend and then we'll add that to the wizard so let's say map this to field let's call it meta data or method so emitter dance and let's add let's map this to meta and you see that all the all the fields of the catalog item table are are here for selection so even if you have any custom Fields you can actually you can actually use and uh and map to that so anything that the the creator of the catalog item will give that will automatically go and be present in this field on the cathode item table so yeah with that I'll submit this and go back to the wizard and now that the the field has been added to the producer now what I'll do is I'll go ahead and create a new step and we call it meta if you want you can hide this until on the template if you don't hide it then it is visible on the template and you can then use the card reels that is available in in the template to either make this mandatory or make this uh not not uh make it make it read-only and so on Okay so and in case you have a very a custom use case where you want to use a uib microphone you can make this uh check this box for custom step and you can give UAV macro connect here so now in our case it's not a custom step I'll not checking that you can give a description give meta tags and feedback is basically the feedback panel so what you see here on the right is feedback after I add the step I'll take you through the feedback panels but just know that feedback is this is called feedback and you can create your own feedback feedbacks and add it to any of the steps so if you want to change the existing one you can do that if you're creating a new step and you want to add a brand new one you can again go ahead and do that so for now not add anything and right click this and hit save so now we see a new related list has come up to call catalog visit section so I go ahead and create a new section and the section is nothing but this this white box that you see here so you can have multiple section within a step so in this case in case of details there are two different sections we'll add one section here called uh tags and I'll just say that and within sections there are questions so within this section there are multiple questions so the one question that we want to add is submit our question so we'll have to choose the question that we have here these questions that you see here are coming from basically the the the composite record producer that we initially edited go ahead and submit that now that we've created the step the section and we've added the question so we are all set now if I go ahead and refresh this you should see that okay this is a uh there's this mirror tag but now I don't want this to be at the first at the beginning so what I'll do is save that I will go to the widgets Category 2 1 and I'll give this an order of 150. so now that I should appear after details now you see Meta has stepped as the Creator there's a new section and this section is is half because uh in within the uh within the section we actually get with as 50 if we change to 100 you should see that this whole section would now take the entire space and there's one question here so you can add multiple questions so that's how you add a question a step or a section to catalog Builder you can add any question or a section to any of the existing one or you can create a new step like how we showed and when somebody gives any information here this will go and this will this will sit in the in the meta field of the catalog item so similarly any custom field can also be added like this so that is the the first one and if you have any questions regarding this please do put those in Q a uh we we have unreal who's the engineering lead uh catalog Builder he would be answering those as we go along all right the the second feature that I'd like to demo is adding a new Step type to step-based request fulfillment so out of the box there are three stack step types so let's say go to the Fulfillment if I choose flow designer flow and choose the step-based request fulfillment you see that the the service performance steps uh SFS per shot uh appear the the this component appears here and here you have a task custom approval manager approval so these are the basic functions or basic uh steps that you can add but let's say you have uh you have other uh functionality to ad let's say you want to add a notification step or you might want to enhance the task right you don't want the out of the box tasks uh flow that we show here you want to add some something more to it you can you might want to enhance it so if any if any of these uh are a possible use case for you then you can do what I'm going to show now so in order to add a new Step types you basically move three things uh one is a table uh which which will hold the data the other is a record producer which basically you would take the data in this format so so all this question that you see here is basically backed up by adequate producer and and and finally you need a subflow which will actually take that data and do the action perform the action on it in this case for act as it will add the task for approval it will create approval but whatever you want to make that particular stat Drive do you can Define that in the sub flow so what I'll do is I'll create a new Step type for notification so let's say we want to send the notification to requester and that is the step type I want to create and once I as an admin I create that it is available to all the service owners and business owners who are using catalog Builder so I'll uh first go ahead and create a new table go to system definition table and click View let's say SFS notification okay and this must extend the service movement step table so service supplement step table and mind you any any table that extends this uh is uh is except from the table licensing so because because this is an out of the box feature you can you can treat these tables without worrying about the license aspect of creation of the table so let's do that and let's add to a couple of columns here before I do that let me save it as you save it you get some uh some Fields automatically from from this table and on top of this we will add two more themes one for the subject and one for the body of the email so for the subject the type would be string Act next and let's say 100 characters no default values so I'll go ahead and submit this and click and create one more for the body of the email this is again string volume let's say it's uh thousand three four what's up with this uh we have created the template sorry the table now we'll go ahead and create a record producer let me click create a new record producer and we need this record processor because we want to take the input the notification choose the table that we just created yes underscore verification and save this and you'll have to give two variables one for the subject and one for the body and what we're doing is we will take the email directly from the requester so here it will be subject let that be a single line text and the other will create an HTML and create HTML and change the order is 200 . submit and give the order for subject as 100 so that would appears first all right and and you would see that they would automatically a variable set would be added this is uh basically this will take care of all other information on other fields that you might want as a step with example conditions and so on and once yeah you had given you extended basic table this will automatically be added so so that is automatically taking care so now that we have created this record producer now the final step is to uh is to link them so what we'll do is we'll go to service loop instead configuration uh sorry before that we have to create a flow designer subflow so let's go to flow designer and in subflows what you have to do is first you will have to clone the subflow called template service requirement steps so you have this flow so it's a flow so open that and do copying subflow application [Music] step copy and in this you will you can retain the requested item and the Fulfillment step data and you have to change the step here you'll have to select reference dot the name of the table that is uh as the best notification that we created so once you do that you have done now let's let's add the logic to send the send the email so let's add and email and the the target record would be to request title to be from the request item they want to send it to the requested first email address we choose the email of the requester if you want you can also add the manager in CC of the requester or you can dot work to the Department of requester and send it to the department head you can they basically you can dot work and you can it could be any use case it's not necessary that you want to only send to requested flow you can send to anyone as long as you can not work on so the subject will get it from the inputs from the table the subject because this is what we had created and so body will get that from the table sorry so you can also uh possibly add things to it let's say uh I uh requester and first name and then antibodies you you have the pro designer with you and you can add any sort of business logic here so let's do this and once you add this we'll have to update the record let's add date record we'll have to uh update the step data record you have to update the state to complete so once this happens that's when uh the the flow knows that this step has been finished and then it will go to the next step so once you do that click done and you click save and it's publish this now let's go back to the service equipment step configurations and as as expected out of the box there are only three so you will see these three but now we want to add one more let's add this let's say notification to request to the title can be this or it can be dynamic you can use different variables to uh to to compute the name right let's not give any short description and in producer what is the producer that we created uh we called it RP for notification in the subflow that we just created we called it notification step and let's give an order of 400 now 400 means that this will this will be shown at the end so this order this order controls the order in which the steps appear in in under this button if you want something to appear at the beginning you can create one with a lower order mind you the order for the existing step that's going to be changed because these three are protected but if you want something to appear before these you can perhaps create with an order of 10 20 and so on so now that this is done Let me refresh the Builder and let's go to the system instead let's choose the step-based increment and you see that the notification requester has come up so from now on anyone who uses catalog Builder can will will actually be able to use this so let's say for my my fulfillment is first I need to ask the manager approval so I'll add the magic rule and once it is done I want to send notification to the requester saying okay uh request uh approved a your request as being approved and and you see that we haven't added the sequence and the condition but if you if you remember the the variable set that automatic get got added that is what is uh getting you these so you can automatically give conditions uh if you want if you want this step to run only on a certain condition you can give that but here we want this to run every time so we'll just and this so you see that the name has been added oops okay there seem to be some issue with this particular instance uh I'm not worried that should happen in your instance anyway so that's how you create a new Step type uh and you as I said the the use cases are are plenty and you if you want to extend any activity out of the box once you can create a new uh new task let's say call it extend the task and then perhaps put that and in the beginning uh one thing you cannot do is hide the out of the box steps uh right now because the the records themselves are not editable they are protected but you can add any any new use cases that we might have all right so that is the second one what the third one the third one is template scope so let's go back to the home page and now now imagine a use case where you have an application or a domain uh let's say no domain an application and you want your business users to create catalog items or record producers only in that particular application right you do or scope so you don't want them to create in the global scope but the service level business and business owners do not have access to this group selector so they they actually cannot change the scope and hence by default anything that they create would automatically be created in the global scope but but if you have if you want them to create in one particular application you can use something called template scope selector so what I'll do is uh I'll first change this scope to oops sorry to the application scope to something else and I let's take agent workspace just as an example so I'll choose engine workspace as the application so because this is the application that I want my business owners to create the catalog items and record producers in so once I choose that I'll go and create a template so let that be a standard template uh templates for agent workspace and you see the checkbox here use template scope for creating reports I will check this box so I'll go ahead and give additional information for any user but you can control this using user criteria who should this template be accessible to let's go to detail details this will be provided in the item so you don't want to change similarly with Meta Meta since we added that it automatically got added to template then location uh I don't want to add and questions right now I don't want to add any questions yet settings Let It Be access it's okay fulfillment and do not change in overwrites now uh overwrites is where you actually can provide guardrails some available uh obviously uh they are they scope for improvement which we have seen in in the pools uh we'll try and add more but as of now there are some arteries that you can so you can specify which of the options can be can the catalog item Creator edit so you can quick browse and on the left you see all the information if you want you can select them all and give access that is the most open template ever but if you only want them to let's say change the description and image and let's say the item name and what else uh uh perhaps the catalogs and categories right uh or if you if you don't want if you want them to select be able to select the flow uh change the flow they can select if you don't want if you want to fix that to service certain its apps or the set based request Implement you will not you can actually unselect this and that would mean whatever use in it as part of the template would be the one which uh which will be there in the item so and you can also see that the metadatics available here so anything that you add to Builder will automatically be here so you can use you can then add cartels around that as well so and short description okay this is about it so I want to add only give the option to edit only these rest of them should be as defined in the template so you can mustaphise if you want to make something mandatory so let's say in your organization you want you definitely want someone to create to add an image so you can make image mandatory our item name is is definitely something that you might want to make mandatory uh you can perhaps make the shortest computer in description directory but it is up to you and my new only you'll only see that whatever you have given the edit access are available here because the others are not editable hence it cannot be mandatory same the selection and this strictly selection is uh is specially useful for a list for example uh if there is if there are catalogs and let's say categories there are a bunch of categories but you only want your creators to be able to select from five or six so a limited set of them then you can actually use this option so you have to select that in the template the 506 that you want them to select from and and use this option then the creators can only choose from those five or six and they'll not be shown the entire list of categories so for now I'll let it be and I'll go ahead and submit and just a heads up sorry just a heads up we have about nine minutes thank you so I'll be I'll be able to finish this this particular one before that okay uh I understand that so we it's reminder we did uh select the uh template uh the template scope checkbox so we'll see how uh that is going to be used so let's now go back to our Global scope because this is the scope that a business owner would be or catalog Builder editor would be same now assume that I'm a catalog Builder editor so I'll go ahead and create a new item I'll click continue and I'll select this template that we just created called template access template version workspace and in the preview you can see that the check box has been checked so I'll use this template and I'll say okay uh I would say cook test or agent workspace and you see that the the item name is mandatory because that's not the health defined rests are not mandatory but they are editable because we we gave them that access then go to meta we did not make this editable hence it is not uh similar location is also not editable questions we didn't add any question sets so uh so it's blank uh for now let's leave it we don't want to add any questions and all these none of these were were editable and you can't edit them access was also not in fulfillment because we made this uh editable so let's say we want to use the service catalog request and let's go ahead and submit this it's a very simple catalog item does not have any questions but when we when you do that let's go to the maintain items View and open the uh boom yeah scope test for agent workspace and you open that you see that the application is again workspace even though while I was creating my application scope was global so that's how you use the checkbox so whatever scope or application the template was created in
