foreign [Music] thank you for watching and welcome to my house that's Justin's house in this video it's time for an update on the my forums application from servicenows Innovation lab that's right this one I just had on my channel because it was a new app that came out in the App Store and they've already versioned it it's already got new features one of which I actually had in my comments on my previous video is how do you do Anonymous responses let's take a look at these new features we got templates we've got Anonymous responses and we have multiple submissions so basically a way to quickly create forms and then some options on how to handle responses for those forms so let's go ahead and hop over to my PDI and I've already updated and everything should be ready to go so let's take a look at this create from template is a new button we've got Global templates my templates shared with me so I don't have any templates set up right now how hard is it to make a template well I'm going to go to published let's pull up my previous demo that I did and now we have a new Option here for save as a template under more options as easy as that I'm going to save this template we're going to give it a name we'll call this template example and I'll keep the descriptions the same there just because I'm so creative hit save and now my template is created I even get a confirmation message up there at the top that the template saved successfully so next step I'm going to go back to the dashboard dashboard and try that button again let's go to my templates there it is my template example and what it gives you is kind of like a preview so you can see the template has my previous form in there and I've got some options I can share the template so if I want to share it with a particular user or a particular group I'm assuming that makes it show up in the template shared with me box I'm not going to share it with anybody for this demo but I can choose a different template so I can go back and say nope that wasn't the template I wanted I wanted this one or I can go ahead and delete the templates if I wanted to delete it like I did before recording this because I want to make sure everything worked we're going to use use this template which is just behind my head there so we'll move my head off the screen use this template as what I'm going to use and now I've got the form that you saw in my previous video let's go ahead and change the title of this one instead of copy of we'll call call it template example demo for the U2 there we go nice and creative I'm gonna leave everything else the same except the start date I want to go ahead and set today's start date which will be July 18th 2023 I don't want to bother with any collaborators but I will point out these two new settings Anonymous responses and multiple submissions but we'll get back to those in just a second I just want to go ahead and get this published so I can see let's go ahead and save that I gotta save that change I'm going to go ahead and see what this looks like when I allow Anonymous responses so I need to add recipients I'm going to add recipients and we're going to say for able tutor is the recipient number one and we use Abraham Lincoln in the previous one so there we go Abel tutor Abraham Lincoln and I'm going to click update and now they are um shared there so I'm gonna go ahead and publish this one uh how do I apologize I'm going to scroll down the very bottom and publish there we go uh there's my date looks good I'm gonna publish that now let's go and impersonate able tutor and see you know what I didn't do oh actually I just show up I sent it to him so it should show up in his list of forms I should need a copy of link I didn't do it for everyone so we'll impersonate him here and once able is properly impersonated we'll top over to my forums using the navigation menu and the dashboard and we should see down here pending submission template template example demo for the YouTube uh so everything looks good let's go ahead and put in some information there desired age let's say 17 and let's hit next and we'll say good and we will submit all right so notice when we submit that it's now done then thanks for submitting your response I got a dashboard there's nothing left for him to do he can see what he has submitted but there's nothing else pending submission which is what we expect so let's stop impersonating and go see what that looks like very similar to the last video I did I just want you to kind of reset um in case you're catching this video for the first time and see what that experience is like when someone fills out the form when you send it to them um my forums is what I want to try to talk and type at the same time dashboard is what I was looking for so now I have my published form template example demo for the YouTube and I should be able to see recipients There It Is Able tutor has submitted his so that's the experience it should look like without messing with those other two options and I just use a template so let's go make another one and we're going to turn on Anonymous responses so I'm going to create from the template and we're going to use my templates we're gonna use a template example and I'm going to use this template and we'll give it a name template example we'll just call this one anonymous responses and we need to save that let's put a date in there same thing as today and I will go to actually no scroll down here uh and I want Anonymous responses on this one and then we'll go to recipients we will save that's why I was looking for the save button We'll add recipients just like we did before able tutor and Abraham Lincoln and update now we've got that set so we've got Abraham Lincoln an able tutor it should show up for them when they log into the portal and we've got Anonymous responses turned on so let's go ahead and publish this form and see what that experience looks like so this is our second template example we'll go ahead and close this impersonate able tutor and wait for that impersonation to load all right there we are we're going to open my forms as able tutor now that is impersonation has loaded and we should see now he's got pending submission Anonymous responses due date not available because I didn't fit the end date on there and we've got this nice uh logo or not logo Banner at the Top If your response contains personal or identifiable information it may be traceable and not fully Anonymous alright so that sounds right let's go ahead and complete the form we'll put them in Asset Management we'll set desired age to 18. click next we'll say this is good hit submit hit submit and all kind of looks and feels just like it did before not much different we'll go to the dashboard and it should be no longer showing as pending submission actually it is oh you know what that makes sense uh because it's not tracking that he responded uh well that's interesting okay I just surprised myself all right let's go ahead and unimpersonate and we will check out what that looks like now just like we did with the last version and we'll head over to my forms dashboard and here's the one I have published Anonymous responses and let's see um responses I have zero responses section two zero response zero response well that's interesting um because he just submitted it and I have zero responses okay that's not what I was expecting um hmm save it and I can see they were both invited I just don't have any responses and that's weird because we did actually put that in so let's go um I wasn't expecting that to happen and I didn't practice this part so I'm going to impersonate Abraham Lincoln he was the other one that I added as a recipient to that form so let's go ahead and impersonate him and open up the my forms dashboard and have him complete it and see if it tallies the responses that way so let's go here to my forms dashboard scroll down there you go Anonymous responses notice he's also got that template example demo for the YouTube same experience is able tutor there so let's select uh we'll make Abraham Lincoln part of the board of directors and we'll say 118 for Abraham Lincoln I think he's a lot older than that now and we'll say good for the experience hit submit although the experience isn't going so great on this particular one I'll go back to the dashboard and everything's still there okay that looks good that looks like it should so let's unimpersonate and and impersonation and check out what the responses look like this time on crossing my fingers that will actually have some responses I hope enable tutors isn't lost because that was weird I wasn't expecting that go back to the dashboard scroll down to published there's Anonymous responses and oh that wasn't looking good did you see that uh zero responses received due date not available and uh no responses you know I'm suspecting I wonder if that's like a feature that if the form is still active it won't show the responses so let's go ahead and close down this form it's uh 16 16 actually it's 1916 here let's just set this to a minute ago uh can't be in the past okay fine thank you and I will save this we're save uh save is right there and now that form should be go to like a not published anymore so published expiring on July 18th 2023 so I'm just gonna pause for a minute I'll probably fast forward and wait for that time to click by and see if this changes actually just clicked by while I was talking so I'm going to refresh expiring on expiring on still says the same thing I'm gonna give it one more minute just to make sure and I'll fast forward okay I'll let one more minute pass by so let's take a look and refresh see if this looks any different we'll open it up and I'm still seeing Zero responses zero zero even though Abraham Lincoln an able tutor have responded I'm not seeing the responses I'm going to just export this as a CSV let's actually open that up and see if the CSV has the responses in there from okay so it does have two Anonymous responses um but there's no there's no results to the responses all right something weird something's funky with my version of this all right so uh feature number two Anonymous responses is going to get a fail from Justin uh I'm not a you know it just didn't work and you saw me do it twice but let's continue let's do my last example here I wanted to try the multiple submissions so I'm going to create from the template again we'll use this template example and we'll hit use this template and I'm going to call this multiple submissions example and uh pretty much follow the same thing we did before let's go ahead and set a start date on this and we're going to do multiple submissions on this one and then I'm going to add the two recipients that I've been adding all along here we will add Abraham Lincoln and Abel tutor as our two recipients and what we should see based on how I read that feature is that able tutor will just do able tutor instead of doing both of them should be able to submit multiple times so instead of seeing um you know zero responses I will see one two three or whatever so let's uh go ahead and impersonate able tutor and get started on completing that all right impersonation finally came through so let's type in my forums hop over to Able tutors dashboard scroll down here's the multiple submissions example so we'll go ahead and say he's from accounting on this one he wants to be 20 of 201 21 years old next and we'll say excellent and submit and are you sure you want to submit this for this cannot be undone okay submit because I can submit it again um there we go oh look so that looks different thanks for submitting your response submit another response so I can use that button right now to go ahead and submit again so let's do it again let's choose board of directors let's choose 22 years old and let's hit next and we'll say poor and we'll say submit and submit oh actually I just saw something cool right up here all right let's submit another response he can view his previous responses using um this right up here in the right hand corner so let's click on that check that out and okay there's one and two so we can see both of them you can click on it and he can see what his response is he can't change anything but at least he can see it and let's go ahead and view number two I'm feeling this is gonna work compared to the last one okay that was good so he got two submissions in there and let's go back to the dashboard and see if it still shows up under here okay so it doesn't show under pending submission but it does show under submitted so he could um and we've got a little logo there oh wow my head's in the way so let me show that again it doesn't show under pending submission but it does show here under submissions and we've got this little logo looks like two pieces of paper I guess indicating that it's multiple submissions and you should be able to come in here and do it for a third time we'll put them in a different department of different age we'll click next and choose uh let's go back to excellent and submit and submit and all looks good so let's go ahead and end impersonation and go check out what that looks like for the form Creator who set this up for multiple submissions all right here we are we'll go to my forums and the dashboard let's go down here to published and we've got three responses for multiple submissions that's accurate because he did it three different times so let's open that up and take a look at what that looks like we have the recipients here we show the able tutor has submitted if we look at the responses we can see three different departments three different ages and we're section two section two I can see the three different uh well yeah three different one poor response and two excellent responses and uh don't forget I can change that chart type if I want to I still think that's a pretty cool feature and then of course I should be able to export that to CSV as we did before I'll go ahead and pull that up so we can see what that looks like with this multiple submissions and there you go I've got able tutor listed three times with the date and time stamp with his selections his age and the experience of the Forum so two out of three features worked great um that's the 1.0.7 update from my forms application and servicenow store um bringing us new templates Anonymous responses and multiple submissions
