[Music] thank you hey everyone it's Justin thank you for watching and welcome to my house that's Justin's house in this video I want to talk to you about a new innovation lab offering from servicenows Innovation lab called my forms that's right you've got it right here behind me my forms a no code tool to empower anyone to create secure forms and use platform data that servicenow platform data I discovered this in the May 4th 2023 store release you can see some details there I went ahead and installed this in my personal developer instance so yes you can get this in your PDI there's an installation guide make sure you follow this I did go ahead and Grant myself all three roles that were available so there's an admin a user and something else I can't remember the third one so I gave myself all three and when I say myself that was my admin account the other thing that I did is I went and added these tables to the configurations let me show you that here real quick on the application so when I came in here for reference tables there was a bunch of sys IDs I got rid of those and added user Department location and group per the installation instructions gave myself all the roles logged out logged back in um and did I do anything else I think that was it I had to log out and log back in twice because I did it before I gave myself the rules um so I'm ready to show this to you I haven't actually looked at this yet I do know there's a dashboard and that's pretty much where this stuff happened so let's go to the dashboard and check this out together here's the myforbs dashboard all right so we got looks like a portal page uh to me and up here we have a little welcome message to create forms let's go ahead and click on learn more and uh well that's a fail there's no attachment found that has learn more so maybe that's something I can configure let's just go back to that configuration and see if there is a attachment for that need help I don't see anything and I don't see anything in the menu there for it okay so maybe that's just not built yet let's roll with that uh down below I have on the forums you have not created any forums yet click on create new form to create a form from scratch or choose from the templates listed provided well let's try the templates up well okay uh template functionality coming soon um okay come on service now just don't give me the button if I can't click on it and do something um that's the kind of a tease um okay so let's create a new form uh we'll go ahead and create oh this looks pretty uh General title description collaborate collaborators and banner so we'll go ahead and put a demo for the YouTube is my title and Forum description this is my first form in the new my forms application hip hip hooray I'll just leave out that in the exclamation point okay start date is gonna be we'll start it today's Sunday the 21st so we'll do it all week long till Saturday the 27th collaborators oh I gotta pick Abraham Lincoln let's see if we can get some George Washington in here uh there he is Mr George Washington Banner customization you can choose your top Banner of your form change the banner color text color and banner image um I don't have an image ready to go so I'm going to choose colors and your Tucker the colorblind guys so I don't have much options anyways um let's do this blue purple color and the title that looks weird so let's make it white oh that looks better and description will make it um shoot white okay this is why I'm not good at this kind of stuff uh let's change the title color again yeah that okay so I'll leave it at that got different colors and save as draft okay so I've done the general let's be a good Steward of using a computer and save as draft all right now I can I can preview my form okay before I go down there I'm gonna go and preview okay that's cool demo for the YouTube that looks nice all right let's go to add some questions all right enter section title my first section because I am not very creative so it looks like I have more than one form section all right section two is the jam and uh we'll just stick with two sections here and I guess I can go back and forth between the sections now I can get rid of them with this little X and I can add a new section using that button um but we got that title let's go ahead and add a question now um let's say number enter a question um uh what is your desired age I don't know what I mean by that will require that and what else oh what's this I can move it I can attach a picture I can delete my question I can copy it and I can move it okay cool um and I can set the help text oh that's cool um if you could be any age today which age would you pick all right that's my question and uh that's a we'll let's add a different question we'll do uh let's do a reference since I added those tables like pick uh Department group user location let's pick departments and we'll select the name as the display field it's a pretty nice experience I'm not oh reference qualifier I can pick um hmm I would pick active is true but let's just do I don't do want to do a qualifier let's just look at all the Departments but that's good to know I can actually filter this into a qualifier select your current Department and we'll make this required and let's just see yeah okay so that little button means I can drag this up and make it question number one so let's test that out question number one oh nope uh try it again let's go up here question okay let's um try harder let me put it all the way above nope nope there okay so you drag it on top of the thing all right now I got selector department and what's your desired age all right I'm Gonna Save there stop there and uh section two I guess I should add something uh a rating let's do a rating and uh rate your uh experience with this new form and we'll select a type of rating agree disagree custom and satisfaction scale that's what I want Perfect all right um and when I get required and okay so that's that uh that's the sections that's a question add recipients share the form with other oh save my chains okay that oh oh see did it save it okay it did save it I thought I lost it there all right let's hit save um okay let's go add recipients share the formula you haven't add any recipients yet click on ADD recipients to add and uh we can do specific users I can search from the user table I can search from the group table I can say everyone and copy a link to them well that's cool now you guys see my instance name and I can import recipients use a CSV file with the emails that had our first column and email ID is values email IDs should exist in the system all right look at that guys so this is going to go well obviously it's hosted on service now so you have to log in to fill out the form Justin come on all right so I can add recipients I'm going to do everyone and uh update that so now it's available to everyone and then configure emails configure emails invites and reminders you can select or deselect the ones you want to send to your recipients um this form notification will send out an email with the form invitation asking recipients to respond with their responses alright so I can put a subject and a body in there and then I can remind them to do it and that looks like it okay so those are cool I'm going to uncheck those because uh I don't think email is enabled on my PDI and more options copy form delete form copy shareable form link and save as a template oh is that how I can get templates all right let's uh I'm getting ahead of myself let's save first let's publish Forum configuration issues start date cannot be empty closing edit all right I thought I specified the start and end dates didn't you guys see me do that the 21st through the 27th that was strange all right publish publish Forum yes there's my start and end date so you could have just done that before publish all right now it's up there it's published expiring on May 27th and uh I can go click on it and uh I can preview it and it'll show me that let's go to preview here there's my department Baby Care thank God Justin and baby care uh what is your desired age I don't know 25 sounds like a good age you know to pick uh section two is the jam uh excellent good I was gonna go with excellent so far experience is excellent and that's a good preview all right so um that's cool I can save that let's try the save as a template uh save as a template enter template name this is my first template the best template oh I can't type because you're watching the best template is always the first template that's not true that's interesting my save button is a little bit smaller than my cancel button but I'm gonna click it anyways save all right so that's that and let's go back to how I go back to the home page okay so can I create from a template yes okay so that the this is wrong template functionality isn't coming soon it's actually here I was able to do it so you can create templates Justin just discovered uh while he's messing with this the last thing I want to do is I um oh I don't have anybody set up to actually do the Forum so let's go to my sys user table and let's make old Abraham Lincoln um the let's give him the role of user so is it Abraham I think his name to Abraham there he is um actually this would be good because you can see how to Grant these roles that I did earlier off screen so SM underscore my forms and we'll make him a forum user so that's the other role I couldn't remember template admin is the other role but we're just gonna make Abe the another user I'm gonna close that other window and then we're gonna impersonate Abraham Lincoln and see what this looks like for him so not the person that actually created The Forum but someone coming in to fill it out and I think that'll make a good conclusion to our video all right finally refreshed I'll cut out the middle stuff there and we'll just go to my forums go to the dashboard and see what Abraham sees uh published would be okay so there's what it looks like responses received zero zero let's click on it oh well that's strange I want babe to fill it out how does he fill out the form that's not what I was expecting own forms draft published forms received submitted pending submission oh so this must be how do we get to the forums let's go look at the instructions by default by default all users with that role will have access to the app however you want to open up for all users you can specify in order to attach the questions in Banner make sure application access so I just don't know how he gets to the forums so there's dashboards forums created by Me Maybe it's on employee Center let's check out employee Center uh employee Center let's go there sometimes Innovation lab does stuff with the employee Center so it's very well could be that Abraham Lincoln will see that form maybe on his home page so let's see if we see it anywhere no tasks assigned to him I don't see a forms widget or anything I don't think he knew on the employee Center um I can know my impersonation I can go to my requests my tasks there's my annual goal update okay so it's not here um I don't know that's really strange that it would give him the edit access to the forums even though he didn't create it because can you see that it actually would let me it's not taking me to the responses and he's letting him see the responses but he's the person who's supposed to be completing it okay yeah this is weird maybe I can impersonate I don't know um but yeah okay so um let me get out of let me just end here on this page um that is the new my forms application I give it like a c right now because that was a weird experience with Abraham Lincoln but it's new it's from The Innovation lab um it's not supported and um you can't get support for it from servicenow has no warranties so your mileage you know you're up to you what to do with it and I'm excited to see more Innovation and stuff happening and this seems like one of those things I hope you found this video helpful if you did please like Please Subscribe
