hello and thank you for joining us I'm Deborah McGrath principal product marketing engineer with servicenow and I'll be hosting the webinar during which we'll introduce our new Enterprise architecture workspace and I'm joined today by Greg San who's an advisory solution consultant with servicenow and an SPM and APM specialist Greg has a lot of experience in this space from his work both with service out customers and firsthand as a practitioner and also with us is Lily succumbling senior product marketing manager for SPM with special focus on application portfolio management Greg and Lily are both frequent last Thursday's contributors and we're really fortunate to have both of them here speaking again today and while most of what we'll be discussing and showing are features that are support your business we'll then introduce and provide a demo of our new Enterprise architecture workspace we'll follow that with a chat about our APM strategy and then we'll share a few upcoming events you'll want to have on your radar as well as some valuable APM and Enterprise architecture workspace resources as always we'll have a few minutes at the end for Q a but please feel free to submit your questions during the webinar as well welcome Greg and Lily thanks Debra in today's economy there's a lot of uncertainty and risk that we're hearing in the news there's layoffs and looming recession companies are trying to move forward only with parts of their business that have been demonstrating their ability to add to the bottom line and eliminate non-value ad areas to reduce costs fast decisions need to be made with each economic news part of cost reduction includes reviewing the application to support the business bring value and eliminate wasted spend as fiscal belt tightening increases but it's not just about eliminating applications reduced costs organizations need to know which applications provide value and which support the business in their strategy but it's difficult because there are multiple systems of record and misalignment with the business on which applications to keep retire or replace by removing applications without understanding the why customers are adding risk to the business by eliminating core applications to support the bottom line Greg how do Enterprise Architects make meaningful real-time decisions Billy that's a compelling problem that requires insight into what analysts are saying in combination with some of our insights from our own Enterprise Architects and product management the landscape for Enterprise Architects continue to change quickly doesn't it Greg what are the insights telling us about the critical components and solutions they need to succeed in supporting the business and the rapid pace of change as you can see in this next slide Lily the solutions and capabilities that align to the market trends and what is needed to drive rapid change really help us focus on the critical outcomes in keeping technology boundaries oh wow giving the business the ability to shift quickly as markets aggressively shift for example let's take a look at what's happening with chat GPT and AI openai released its first prototype in November and look how aggressive that market is responding and taking action across various Industries truly amazing great you've had an opportunity to work with our customers over the years what are you hearing lately on what their pain points are and what challenges does the Enterprise architect face what's top of mind for them those are great questions Elia and it's interesting you should ask that question in the past five weeks I've met with eight different customers and their Architects and teams and we're seeing a trend in those conversations the pain points the challenges and the needs to progress and react swiftly to the needs of the business are Broad and wide so in this word cloud you see there's a number of these and some of them are repeated as they're very common however three of them really stand out based against the challenges they're currently facing the center of course being application rationalization where we can definitely leverage application portfolio management to help us transparently with that through the business and then of course reducing technical debt and reducing costs these are really the three that stand out yeah and when I speak to Enterprise Architects they ask me how they can make decisions on their technology landscape how do they know which applications in their environment they need to keep retire or replace glad you asked Lily to make decisions quickly Enterprise Architects need a solution that shows relevant data-driven decisions to analyze and act an application interface that is my home or my go-to that tells me what I need to do what applications are of alignment what decisions I need to make to save the company money reduce risk and align with the business especially with today's market Condition it's critical that I only have those needed applications to support the business architecture and technological footprint so I really can save the company money with that servicenow has released the Enterprise architecture workspace and it's a new interface that allows Enterprise Architects to make decisions quickly on the application portfolio so let's take a live view of that application so with our Enterprise architecture workspace we've released this in our Utah released just very recently and it's again to really help those Enterprise Architects with those insights that they need and that's where we can start our days here with able our Enterprise architect you can see that we are starting with this workspace with those insights that we have available to us we could see ones around the application portfolio relative to certifications for business applications things in the business portfolio focusing on those capabilities maybe some of those orphan business capabilities that we need to maybe take a peek at but also our technology portfolio and we can even leverage our capabilities with our asset management system to help us understand things like software models that might be at risk and we can help to gain more insights from that because of the information that we're receiving from Asset Management as we continue our journey here into the workspace we can see we've got some things that we can need to pay attention to and so some of those that might be a request is around Integrations so with Utah we did come out with new capabilities around digital interfaces and digital Integrations so this is now expanding those capabilities for Enterprise Architects to be able to come in and make additional relationships between those CIS and have the ability to do things like roadmap them or report on them or maybe call them draft and so they have an opportunity to also think about the capabilities from the workflow perspective or business application owners might be asking for a new request such as this and it needs to be approved by Enterprise architecture before it becomes part of the main system in addition we can think about those application certifications that our end users are needing to take and what is it that we are focused on in here are the certifications on those applications to make ensure that the relevant data is correct so we have a chance to take some Peaks at those and we can see that we're leveraging some Assessments in here on this particular product name and we want them to focus on checking often and certifying business criticality data classification Etc so you can get further details into some of the things that are being certified through those certifications and then of course it wouldn't be complete without understanding our assessments that we have as well leveraging application portfolio management for those insights to help us understand how much value is this providing to the business and these assessment instances allow questionnaires to get sent out to our assigned application owners or end-state business users and understand what are some of the questions that we'd like to ask them and so as you can see here as an example one of those questions is how is it likely that you would recommend this application to others this provides additional insights into application owners technology owners to help understand the landscape and making sure that we have the right fit for our business applications across the organization as we continue to scroll further down into our workspace we're getting an Insight more into overview and health of our portfolio and that's going to be across those applications capabilities technical debt as we can see in here as well so this allows us to then either filter these if we need to you know have some additional filtration that we need to apply to this particular lens and we can see that we maybe want to drill into these so which one of these business applications have technical debt let me understand you know what's the reason for that maybe I need to drill into what of these software models that we did see earlier as part of the um software models at risk and these might be some of those contributions that we have as we continue into our portfolio Health we can see we've got this broken up into another different widgets you know maybe business applications without capabilities or we can focus you know on ones that don't have our excuse me architectural artifacts or even ones with digital interfaces so even focusing on you know which ones may or may not have additional data continuing our journey in here into the workspace we can think about our business portfolio and take a look at that business architecture and as you can see in here we're looking at all those different high levels of the hierarchy of the business architecture and you can see that we've got to have a number of sub capabilities in here says we begin to break down those layers and as we begin to break things down even further we can take a look and see what those applications are that aligned to those business capabilities and we can see we have a number of them here we're getting a chance to see some of the scoring that needs to be done against these capabilities overall and of course focused on our scoring models that we give our business applications we get insights to the people in the process and the technology that we have so we're leveraging the human interaction between those assessments that we saw earlier as well as focused on you know technology driven decisions uh to help round out our scoring and then to complete our uh demonstration here the workspace let's finally just get to your classical list view so this allows you to then think about all those components that are important to Enterprise Architects and we can very easily list any of these out to understand you know what are some of these components that we need to look at what are the business processes that are involved what are the business capabilities and even the ability to filter and bring additional column sets in or different visibility into that data and then lastly we'll round that off with the ability to create your own lists so this allows you to either pick an existing list that we offer with the product default or you can even create your own so this is going to allow you to then focus on some of those tailored lists maybe you know you're in your Enterprise because you have so many different business capabilities business applications you may want to have your own list that's focused for you into what you own so that wraps up our demonstration for the Enterprise architecture workspace released in Utah back over to you Lily great thank you Greg that was a great demo I mean I can see how the Enterprise architecture workspace and application portfolio management can help Enterprise Architects with reducing costs minimizing risk and aligning with the business let's take a look at the APM strategy which is exactly in line with what you just demoed the application strategy for Enterprise architecture workspace and application portfolio management is a laser focused on how we can help the Enterprise Architects achieve faster time to value and align and support the business in this changing economy Enterprise Architects will continue to see Improvement on how they can further reduce costs and reduce risk with increased usability and important insights right on the home page without having to drill down and dig into many screens to wrap this up there are three takeaways from the session the first one is one system a record Enterprise architecture workspace and application portfolio management provides one system or record for all of your business application inventory making it the single source of Truth the second is Enterprise architecture workspace and application portfolio management helps companies reduce costs by understanding which applications support the business as it pivots during these Market strategies and the changes that we're reading in the news the third is to eliminate risks by viewing which applications are nearing end of life customers can make a roadmap and have a game plan on how to address applications before they become a risk of the business all of this on the now platform that was a great demo Greg in helping us ensure that the Enterprise Architects can support the business Deborah hubs then navigate to application portfolio management now we're going to turn to our q a Lillian Greg I think we've had some questions coming in that I know you'd like to answer so I'm gonna invite you back to speak let's see um I'll go through a few questions here uh the first one is Greg how does an Enterprise architect get started for instance do they start with inventory analysis or what are the steps to help the Enterprise architect get started with their application portfolio management Journey so one of the things that I've had a chance to talk with customers about is that that's usually stored somewhere whether it's another system of record or maybe it's something they would have spreadsheets the last company I used to work for we just literally carried it forward from spreadsheets but we imported it in and we immediately began to send out those certifications to make sure we understand what the data is where my we took some rough guesses of what those might be but we identified those application owners we got some assessments out right out of the gate and we just did them on just like you know csat versus functional fit metrics and that allows us to understand within a matter of weeks based on our business applications we brought in we were able to find out how much value they find it to the business to kind of use as our starting point all right uh second question on the topic of reducing costs what are the keys to keep in mind with application rationalization so think about the technology stack that's behind that right It's always important to understand you know application portfolio management of course is going to leverage some analysis to understand what that looks like but as you begin to understand more what your technology components are on the back side so thinking about all those application services that you have connected the back-end connected technologies that you can have by automatic you know automatically discovering those through it operations management Etc is going to begin to serve us up some of those cost components especially when it comes to Asset Management we talked about the software modeling earlier being able to understand what's the cost of that software to the business how is that contributing to an overall cost from an application perspective so that'll how do we you know think about that and connect those together so we have a complete picture on where we need to reduce that cost and spend so on that topic of complete picture and then you also mentioned Asset Management which is our item application uh there's another question here about compliance so are there any Dimensions to an application related to compliance and maybe we can also add in the integration of APM with GRC yes that's exactly correct um and I believe someone was trying to answer that live but yes GRC really allows us visibility into that we didn't demonstrate that today but you can definitely get a footprint onto our um our risk management capabilities on the platform and even things like secops as well and understanding what type of security components we have that are impacting our business applications okay uh let's see will the digital integration table be available to all users regardless of APM license status like we do with other csdm core tables at this time it is currently part of application portfolio management but I know that is one that has been brought up uh to the organization so I think we're looking at it beyond that for a csdm core table okay and then I have two related questions I'll add the I'll ask the first one and then go on to the second uh the first is is the EA workspace licensed separately from APM it is licensed with APM okay great yeah so uh customers can go into the store as we've shown on the PowerPoint and if you have an APM license you can download the Enterprise architecture workspace through the store and take advantage of that um next one is how aligned do you need to be to take advantage of the Enterprise architecture workspace and what are the dependencies of ham and Sam Pro those are good questions so let's take the first one around uh how do you need to be able to take advantage of it when I say alignment it really is that first starting point to say when I do my assessments it's a great way to find out from the business right away to find out what that looks like so the Enterprise architecture workspace is going to continue to add value as you continue to add some of those components so it really kind of depends on some of your approaches relative to some of those insights understanding you know how have you built out your business application business capability connections to give insights what what's you know what's missing data what's orphaned and then also from the uh ham and Sam Pro the dependencies are really you know thinking about more about those technological components to give you a bigger picture of those business applications so the more that you invest in other areas of service now especially with ham and Sam it's going to begin to automate that for you without having to do any manual data entry or those components so you can naturally you know bring in another system of records servicenow has a lot of integration capabilities for others systems of record to bring that in but ultimately you know having all the data and servicenow is going to give you the highest value that you're looking for yep and then to add on to that question Greg um I'll say something a little bit is that there are a few videos that we have with Enterprise architecture workspace and the csdm version 4 that was released you can also find that in our servicenow community playlist but to ask the question in this call how is the Enterprise architecture workspace grade aligned with the csdm it's very much aligned very much aligned yes so we as you mentioned that video would be a great one to catch up on and we are absolutely taking into account those digital interferations and dental digital Integrations with our common Services data model framework right all right I'll go through two more let's see is there an adoption guide for crawl walk run for the adoption of Enterprise architecture workspace yes there is uh there's some best practices that we commonly will publish and some of those I believe can be found on community I haven't looked for the APM specific ones but our product success group absolutely has those and can definitely uh share those with you and I believe in another servicenow playlist video that we have in our community site there is a qual sorry crawl walk run um maturity guide for our customers for application portfolio management and the same I believe would apply for Enterprise architecture workspace all right last question does servicenow have a standard list of application capabilities to share so typically what we find is the answer is no and the reason for that is because we want to be able to give you the ability to support your business architecture model you'd like to use so an example of that is we know that a common one is apqc that's part of those standards that are out there but some of those are even broken down into very industry specific areas so we don't provide them necessarily out of the box but they're very easily obtainable and there are ways to be able to break that down into capability sub capability and you can model that for like a quick import if that's something that you want to start with so you don't have to necessarily hand type every single one of them there's import capabilities to do that in a couple of different ways all right great uh Deborah I think that concludes the questions that I see
