ServiceNow Federal TechTalk: Full Lifecycle Enterprise Asset Management with One Platform
good afternoon everyone caresoft technology would like to welcome you to our servicenow federal Tech talk full lifecycle Enterprise Asset Management with one platform joining us today from servicenow we have Matt Pickering senior ITX solution sales executive and coled nasora Senior principal product manager Enterprise Asset Management just to tell you a little bit about kerasoft we are a trusted government I.T Solutions provider supporting public sector organizations across federal state and local government agencies including education and Healthcare markets at this time I'd like to hand the floor over to our speakers Matt the floor is all yours thanks Heather appreciate that good afternoon everybody and thank you for joining us today on our April Tech talk Series today my colleague is Heather mentioned my colleague Khaled and I will be taking you through our Enterprise Asset Management solution as Heather mentioned if you have any questions please feel free to put them in the chat Heather and I will be monitoring that chat session and we'll address those questions as soon as possible with that being said let's turn pretty into it as everyone knows organizations rely on their physical assets every day from the front line to the back line asset managers need to ensure equipment is available document documented and working well this afternoon we'll be discussing how servicenow can assist in this always growing and challenging area as part of today's discussion we'll be sharing with many use cases we'll walk you through a demonstration that will illustrate the way many organizations have automated what traditionally is a manual process we will show you how you can take the risk out of your current processes and show your countless how you can save countless hours of manual work up front I'll take you through a couple slides that will show you an overview of our asset management as well as some sample workflows that you can expect from there I'll turn it over to Colette who will be walking you through a demo today he's going to be showing you a couple use cases around vehicle and aircraft Asset Management as well as everything that goes into those areas at the end we will be saving about 10 minutes for questions and answers so again feel free to save so save those questions up or put them in the chat and we'll address them as quickly as possible many of you already are using servicenow today for your asset management or using certain components to reduce cost and risk again everybody knows servicenow managing automating and optimizing through the full life cycle most of you know this for our Hardware Asset Management our software asset management and as agencies start to deploy into the cloud our Cloud Resource Management as of our Tokyo release we have now offered a new offering out there called Enterprise Asset Management you'll also hear Colette and I refer to it as eam to shorten it as everybody looks through our work workflows these are some of the workflows that you can expect through our asset management starting out with planning the important part you know budgeting financing inventory deployment servicing and all the way through decommissioning we have many agencies today that are currently leveraging these tools in different ways we have one agency that's looking at us for construction management we have another one that's for property management we also have a few agencies looking at us to help in their Asset Management around radios cameras all the important stuff that agents and soldiers have out in the field one of the use cases I'd like to take you through that right now is one of our agencies using us for Fleet Management up front they're doing the project management the assets of what they're budgeted for where the financing is coming from who has what types of sourcing available to them and then we roll right into inventory where those Vehicles located is it something we need to buy fresh from a distributor or is this something we may have in a stock room or a warehouse someplace that we can deploy to another area the third one is the key getting these assets into the hands of our agents getting them into the hands of the folks that really need these on the ground so again deploying these getting them out into the field the next two areas servicing we all know vehicle maintenance is a necessity we also you know schedule that on a regular basis oil changes tire rotations and everything that goes into those Vehicles making sure those are serviced and up to date in the last piece decommissioning you know how will we decommission these vehicles the agencies are looking at us for you know end of lease are they going back into the fleet for another person to use or another agent to use in another area of of the agencies so again these are all the areas that Colette's going to be taking you through today in the demo as we start getting into the demo I always like to show this chart because folks look at it and they think yeah we have vehicles we have cameras we have different devices that we want monitored but look at this list these are all the different areas and this is just a limited list of all the different areas that we can help with everything from where we'll be talking today about with vehicles and the tactical gear and the safety gear and everything that'll go into those different types of vehicles as well as aircraft but everything else that can go in here too when you start looking at your warehouses and when you start looking at your different properties your desk lighting hvacs everything else that you you have on a daily basis that you may be processing today in a manual process or passing spreadsheets back and forth to one another to make sure you have everything there or understanding where they may be in a stock room from there Heather I believe we have one polling question before we get into get into the demo so if you could everybody take time and take a look at the question here again it's a pretty basic one how do you manage your your Enterprise assets today you guys already have a tool do you use a spreadsheet or we don't we don't have a need today which I I'm suspecting probably everybody will answer one of the first two but if you could take a minute and answer the whole question all right thank you heather hopefully we we have some responses out there on that and from this point again folks the the objective of today is to better understand how servicenow can help you in this ever-changing and challenging world of asset management with one platform with that said Colette I'm going to turn it over to you now and we'll actually see this solution in action Matt thank you very much um as Matt mentioned before I am Khalid nasura I am the uh product head for Enterprise asset management at servicenow and um as Matt also mentioned Enterprise Asset Management has a full Broad capabilities around many asset types as you can see on on this screen um today's Focus will be around a a set of use cases how you can manage uh and service your Fleet assets with that map could you please stop sharing so I can share my screen okay thanks Claude perfect all right so the level set did the uh demonstration I'm going to go through a couple of slides to show you the use cases and the journey that our asset managers and technicians are going to walk through today so in this journey you can see how the asset manager Can Begin by planning for their assets and the first step in planning for their assets is how do you model them how do you create the blueprints as we call them models for these assets and I will walk you through that in more detail then how do you manage the inventory how do you watch over the stock in in your stock room how do you look after those parts that are about to be get depleted and how do you replenish them how do you create maintenance plans so you can look after the fleet assets you can how you can do schedule those plans how you can do preventative maintenance corrective maintenance plans and how do you then hand that off to the technicians who can now execute the work orders and the work order tile so they can go and perform that work and if that work requires Parts how do we enable them to have visibility into their personal stockrooms meaning their personal uh uh the their the parts on the truck the parts in their back so to speak and if they don't have any of those parts available how do they Source these parts how do they request them and how do they get them and as that work gets completed and and the uh parts that came out of the job how do you hand them over back to the depot so that perhaps they can dispose of these assets or perhaps they need to send them back to the manufacturers for rmas um so this is the complete Journey that perhaps an asset manager and the technicians are going to walk through and today I'm going to walk through some of those parts today so the first part is how do you build those models those reference architectures for the complex assets and and you know an example of that could be a helicopter with all the parts that you can see on on this uh screen and that could be a massive list of parts for today's example I'm going to walk you through a more simplified example uh we're going to take a look at a Humvee and how that Humvee may have many parts for the purposes of this demo you we chose to Define only a limited number of Parts typically the asset managers would Define only the parts the components that are relevant to them in servicing that asset you may not need to represent literally every that on both so that varies from use case to use case from customer to customer the system essentially allows you to have an infinite number of components uh as well as a multi-tier higher key of these components in this example you can see that we have a a uh we have a half shaft in the front in the rear we have disc rotors and we have consumable tires but not only you can define a pre-assembled model which means this is the way you would receive the asset from the manufacturer that's what we mean by pre-assembled but also you we allow you to Define what's called a user assembled model this is essentially the kit that you build from from parts that are in your possession that you can add to a pre-assembled asset so in this example you you received the Humvee from the manufacturer with all the parts are inside it but now you need to make it ready for the field you're you're adding an armor Shield assembly you're adding a a multi-band radio you're adding CMOS okay camera so that is that's what we call a user assembled uh asset or a kit and with that let me walk you through the demo of how that takes place foreign so this is the Enterprise asset workspace that where you arrive is a landing page that provides you a complete view of what's going on in your asset estate this is what I like to call the control tower uh of your of your assets you can see all the activities are taking place around your assets all the requests are coming in for new assets for new parts for recalls for this disposal orders right so I'm gonna zoom in to the Model Management that I was referencing earlier and here you can see all the model and asset classes that we have available out of the box so yesterday we're going to focus on uh Fleet assets but the system is capable of managing a variety type of types of assets from construction to facility to Medical industrial and so on so in in this example that we've talked about the Humvee the Humvee is a pre-assembled asset so if we open up that record this is the model this is the blueprint the reference for the assets that you will be creating here you can see that this is the the type has been defined the model number that we have from the manufacturers is entered uh but also you can enter a variety of relevant attributes on that model from from risk values to other attributes such as Dimensions um you can Define what the engine type is the the what the uh the engine size is and and so on now moving on to from the pre-assembled model I mentioned that we can also Define a a uh a user assemble model that's the kit that you build from assets that you have in your stock and and in this example we've got this Humvee kit over here that includes these additional components these are components that you are going to build on site so in this case we have the Humvee itself but also we have the camera we have the radio and we have the armor Shield if I need to build an asset based on this blueprint all I need to do is now go create new and it's going to walk me through uh the process of how I can build it so let's give it a asset tag and the serial number now you can see that I have the ability to assemble this asset and what that means the I have now my blueprint over here these are all the models that make up this asset and now for every model I can go and look up what assets I have available in my stock already that I can choose to build this asset and you can see not only the uh the model number but you you can also see the serial number and the quantity that I have available uh on the shelf and from here I can go and build that asset and um when I'm done you will see that all the child assets have been created so this is a a user assembled asset that has the the main component which was the pre-assembled asset plus all the add-ons so this is one level of that hierarchy if I drill down now on that pre-assembled Humvee and I can see how it arrived from the manufacturer and I can see that all the other seven uh components that make up that Humvee so and you can tier that to to the nth level to the level that you need to manage in this case we have a three level hierarchy that defines that asset so let me now go back and walk you through the uh the rest of that journey and now that we have built the models I'm going to skip managing the inventory we'll come back to that I'm going to show you how we can create a maintenance plan around that Humvee and where perhaps we can set a a monthly inspection uh for the breaks and and we can see what work is going to come out of that maintenance plan and how we can assign that to the technician who will execute the work thank you so let's go back to my instance here and there is a Work Management module within the Enterprise asset workspace where as the asset manager here I've got a complete view of all the work that's taking place all the parts are being requested for that work uh all the work orders the work order task I can see if there's anything that's been new uh or overdue and making sure I will make sure that everything is assigned and being progressing forward according to uh to schedule so with that let's go to the maintenance plans and show your maintenance plan that I have created already this monthly home to be break inspection and this plan has two matching records that I have previously selected um here and you can see that there is one schedule associated with that plan you could have one or more schedules in this case uh this plan has a breaking inspection schedule and if we drill down on that you can see that it's based on a duration trigger the trigger can be of many types it could be based on the duration it could be based on a meter so that perhaps could be the mileage uh uh meter on on that vehicle so if it had exceeded perhaps 10 000 miles we're going to bring it back for service it could be based on the condition or a script or any combination of those in this example we have it based on a duration it's a monthly uh uh trigger and we have it set for the 22nd of the month and and we have a lead time a few days meaning this plan will run two days ahead of the 22nd uh the 22nd day of the month is going to run on the 20th of the month which is today so this plan also has a workloaded template associated with it so when the plan is is going to run is going to create work based on this template and this template has been previously created uh and let me go and show you what that template looks like and if we go to the templates and we go to that inspection plan and view that so of course you can create as many templates as you can you can associate multiple templates uh with a single maintenance plan um in this in this case we have two tasks that I have created for the purposes of this demo the first task is to inspect the brakes and that is actually associated with a checklist that I will demonstrate to you uh uh in a few minutes and the second task is to replace the disk rotor and I also uh here included some parts that might be needed when that work is done so you can include as many parts and quantities that you need to do that work so let's close that and come back to um this work order template and you can see there's two records that have been created based on those two assets that were associated with that maintenance plan all right hey coach hey Colette we have uh one question in uh in the chat that kind of goes along with this is what is the script trigger for maintenance task the the script is basically you can go and write any uh uh any code that you think would be needed to generate a plan so if it's if anything is going to be uh custom configured Beyond a duration Beyond uh Beyond a uh a meter right Beyond a condition that you you can manually set you can write that script to automate that process of how a maintenance plan can get triggered so it basically gives you kind of a wide open method to create those maintenance plans yeah thanks Glenn I think if we got a follow-on question from Todd on that I think you may have just answered it it's is all or some of the data auto populated or does the user manually input it so uh for models and assets when you are initially uh implementing em there are various ways of how you can bring your data if that data already exists in another system or maybe in spreadsheets there are easy methods on our platform to ingest that data you can import it and transform it into into our tables for some connected assets and you may have some of those even on vehicles right so maybe if you have um anything that's iot enabled and is connected that can also be discovered and those assets can come in automatically through that method into our tables okay so let's go back to the uh maintenance plan I showed you how a maintenance plan is created and just to recap a maintenance plan is essentially defining which assets will be covered by that plan and here you can Define the condition that will include these assets let me let me go through that I'm going to create a new maintenance plan uh oops we need to do that let me create a new maintenance plan and we're going to select Transportation assets and here you can set the condition and this essentially can be anything that you would like to choose you could decide that I'm going to run the maintenance plan on all the assets that are based on a specific model so I'm going to say this is going to run on all my uh these models and I can then say I'm going to set another condition and perhaps I'm going to do it based on a location so I'm going to do a location and and you can set that so all those all these three assets happen to be in Fort Brag so that did not change the result but essentially you can you have almost infinite capabilities of how you can configure your maintenance plan uh and how you can decide which assets will participate in this maintenance plan once the maintenance plan is created the next step is for you to Define that schedule that we that we went through and the schedule will have a template associated with it so the work can then be created automatically when that schedule is run so now we're going to go to those work orders tasks that have uh been run from that plan uh I've I've read it ahead of this demo so we have all these work orders and work order tasks that have been created uh over here and you can see that there is a work order over here that was generated against this Humvee with this asset tag and there are two work orders associated with it and the first work order is the inspection and if I open that task you can see that it has been previously assigned based on rules to this assignment group and to this technician and that's also true for the second task it has also been assigned to this Tech group and to this technician so I'm now gonna impersonate this Arnold attack and I'm gonna go to my tasks and perform that work so let me now log in here as Arnold attack and this will take a couple seconds let me refresh my my login and I'm going to impersonate Arnold and from here I'm going to go to the Enterprise asset workspace and I'm going to log into my work management module and I have as a technician I have a slightly different view than the asset manager here now I can see any parts that I should be requesting uh that are associated with my task I can see how many of those assets are ready for me to pick up I can see how many tasks have not been assigned and perhaps I should go review that list and self-assign some of that task in that's in my region in my assignment groups I can go and assign them to myself and I can begin to work on them in this case we've I can see that there's 28 tasks that have been previously assigned to me and now it's really I'm gonna go in and I'm going to uh look at those tasks and I'm going to go and begin working on them so you can see this is the uh this the vehicle uh with that same asset tag that the asset manager assigned to me now I'm looking at it in my view so I can open up that work order and in this work or I can see that there are two tasks and I'm going to begin with the first task which is the uh the inspection of the brakes and the tires and as I look at that task I can review it I can see with acid it's uh it's attached to I can see that there is a a checklist that I have to perform so now I'm going to go review that checklist I'm going to perform the work and let me start my work when I start my work the clock by the way is sticking so now we can also track the time that's taking Arnold to perform his work so now I'm going to check the tire pressure I'm going to check the brake pads I'm going to check check the rotors and for the purpose of this demo I'm going to say that the rotor needs replacement and I'm going to close complete this task hey Colette one of the questions that came in I don't know if you have it in this demo or not but they were asking can you show us a document being placed in this order in indeed yes so here you can attach any document that's related to a task you can browse and attach that document okay um but maybe this question has also triggered another uh thing in my mind that it did not cover that the work order template uh could also have a predefined knowledge material so these are could have been instructions around how to do that inspection how to replace uh the rotor uh those could be created by the asset manager uh ahead of time as part of that template that I showed you before and then every time that work order is created every time that workloaded task is created it will also have an attached list of knowledge materials okay and I'll show you a real quick if I go back to I go back to the asset manager View and we looked at the uh templates and if we open up this template yeah you can see that we could have attached here uh any number of knowledge materials that could have been used by the uh by the technician okay all right so now we we uh completed task one which was an inspection we closed it that we need to replace that rotor I've got another task ready for me over here uh to replace that water so I'm going to open up that task and you I can see that there's some potentially two parts that I could use on during this job okay I could place an order for these parts if I don't have them in my possession and I can request these parts if I Source these parts that request gets submitted to the asset manager uh and that asset manager then makes a decision on how to fulfill them okay I'm I'm going to demonstrate you how the asset manager does that um in a subsequent part of this demo but to move keep this flow moving um uh I'm gonna go directly up to and perform that work because uh as a technician as Arnold the tech I already have this part in my possession although I requested it um I did not need to do that in this particular case because I already had it in my bag I had it in my personal stock so I did not need to request it I did not need to pick up I can now go ahead and directly do that swap so here you can perform that swap so we're going to select the rotor that's part of this asset right this is USA US Army one zero zero two and this is the uh uh the sub part number or asset tag for the rotor that I'm going to swap out this is the bad part and now I can select one from my back so I only have one in my bag if I had more uh I can see that I have multiple choices to to pick from okay um I'm gonna show you something here I'm gonna pick a different part that I'm going to replace so let's say I'm going to replace this um the half shaft and you can see that I'm I cannot proceed forward because I don't have a part in my possession that's based on that same model so the system does do the checking to make sure the part that you are swapping in that you are replacing with the part that you're swapping out do match and they're based on the same model or based on a substitute model that you have defined right so the system does that error tracking to make sure that you are not uh creating bad data as you perform the work okay so let's go back to this rotor and I'm going to select the one that I have in my possession and I'm going to perform that Swap and as you can see here once I perform that Swap this is the part that was originally uh in that pre-assembled asset this is the the brake rotor that was part of the US Army 1002 this part now is been decoupled from the parent asset it is now in my purse personal stock Rule and it's in a sub state of pending repair which now I can either send it to the stock room to the central stock room where they can do an evaluation on it they can put it through an RMA or perhaps they can dispose of that asset and you can see this is the part that was in my bag in my possession now it has been installed and it is part of this asset and it's now back in use so if I click on this asset record you can see that it has been updated It's associated with this parent asset which is the pre-assembled asset you can see the date of when it was installed okay and if I go to the parent asset now you can see uh all the children of that asset and you can see that this part that I just swapped is uh it's right here is that second one okay it has a slightly different um uh serial number from the other parts that came from the manufacturer okay so with that we have completed uh the work the inspection work and the replacement of the part and now we're gonna go back to the uh asset manager and and see how he can now review do an evaluation on these parts how he can perform perhaps um an RMA return or perhaps he can do a disposal of these parts Okay so let's go back and this is now the workspace for the asset manager and if I go to my inventory and you can see here that I have my stock rooms and this is the stock room where um uh I have my vehicles and parts and I can see that I have an arm a order that has or RMA order line that has been created for the uh for this part and now I can put it through that RMA process which means I can call the the uh uh the vendor or the manufacturer that that uh we have a service contract with and we could decide whether we're going to bring the vendor on site to do that repair or since this is probably a small Park we can ship it uh off-site and send it to them so they can do that repair and if I select off-site no and we're going to attach the RMA number that we received from the vendor and close this task and you can see it's the second task has been created which is to ship that part to the vendor and we're going to send it via UPS I'm going to ship it today and we're going to put the number right here and close this task and now that the part has been received by the vendor the vendor is going to give us their decision potentially they could say this is not repairable it's not covered by the warranty or service contract they can reject it they can say it's not repairable but it is covered and we're going to replace it and we're going to send you a new part or they can say we we are able to repair it and by doing that we're going to close that task and the next step is for us to receive it back from the vendor and that will bring it back into the stock room uh an in-stock and available part instead of being a pending repair parts so now we're going to close that tasks and that's going to confirm the receipt of that asset and if I we if we go back to that asset record that we should that we ship to the vendor and we received you can see that now that it's in an in stock available State you can see that it has a maintenance plan record associated with it it also has an RMA record associated with it and um if we open up the RMA this brings us back to that RMA uh a line with all the tasks that we have performed so you've got basically you go back to the asset and you've got a complete history of what has been performed on that asset so uh you can see the work orders and the maintenance plans you can see the rmas if there has been a recall against that part obviously you will see a recall tab with all the activities around that recall all right so let's we we just went through an RMA process I'm going to quickly go through a disposal process so um at the end of all these activities uh that are being performed in the field many of these parks are going to come back to the depot and many of them are going to be then repairable and they're going to be disposed especially if they're consumable type uh assets let's say these are tires that were swapped out right they're not going to be sent for an RMA they're not going to be repaired we're going to be redisposing of them so I've got a disposal order already over here I've got uh these Goodyear tires that are included in this disposal order and I've got a number of tasks that I have previously uh initiated and completed so you can see how the disposal process is a very uh prescriptive very systematic process of how you can disclose of assets properly so you can have a full record keeping including the documentation that you're going to receive from the disposal under so we after we verify the assets we scheduled a pickup with the vendor who's going to pick them up when that vendor arrives to pick them up we confirm uh their departure and if these are serialized assets I could use my mobile app to scan the serial numbers or the asset tags to to confirm that those assets have departed my facility and when the vendor sent us a confirmation email that they have disposed of these assets on their end then we can this task will will be closed and then finally as they send us the this uh disposal certificate uh we can now perform the last task over here which is to attach that disposal certificate so I'm going to say we received that and I'm going to attach a disposal certificate and by doing so now I can confirm that the what's on that certificate matches my records so I'm going to select those assets and say yes they have been disposed okay and I can close that task okay uh so that confirmed that those assets were disposed of properly so if we go back to this asset record by the way you can see that the state and substate of of the asset has been changed to retired and and disposed so you've got a complete record of that uh you can see the order number the disposal vendor uh the date that it was disposed of and by the way if the this was uh uh a disposal of some assets where we can recover salvage value through that disposal process and the vendor is paying us back for that disposal we can capture that value during that disposal process and that value would be captured against every asset record just a quick question right there we have one of the and this is in relation to that one of the questions that came up in the chat was around can we connect back into an agency's Financial system or into their Billing System POS things of that nature and I think that's uh that's an important point that you just pointed out there from the disposal piece but also on the front end of when folks are budgeting and financing and you know tying it back into that you know acquisition piece the answer is is yes and you uh and I'm going to walk through in the last few minutes I'm going to walk through uh since we don't have time uh I left that part out and the park was requested by Arnold attack I said I'm uh he already had the part in his back so I continued that work through the part that I previously had but should I have not had a park uh that work that part that was requested comes to the asset manager to Source it right I'm gonna go through this process this is this process would be similar if I any user within your environment requested a part not just a technician or if you ordered parts in bulk to replenish the stock in in your inventory um so I'm gonna go through that and I'm gonna address the integration uh uh uh question with the erps as well okay so this is the part request that came in from Arnold and I can see that there's two parts that were requested over here um uh the there's no approval required based on the price point of these parts that were requested that's something that's configurable you could set that if they exceed a certain price point then you could require uh approvals so now the next job for me is to Source these parts that have been requested and sourcing means not necessarily purchasing right sourcing is how do I fulfill these parts so the parts that were requested were this uh one tire and one rotor break okay I could see that uh I don't have them in my local stock uh I can also see that I have them in another stock room and I can initiate a a transfer okay or I could purchase new okay actually let me I do want to go through the purchase this one is doesn't have a vendor information configured for it so let me go through another one where I can show you how we can fulfill that request um I'm gonna go through this uh other one that should have a vendor defined of this one doesn't have vendor okay um foreign for that one I apologize so I'm gonna speak to you about the procurement process and the sourcing process so when I clicked on that screen right and I went to Source uh these parts uh I could potentially have a stock available locally and that would be ideally the best uh option to fulfill that request because that's local to the requester to the and the tech and the technician in this case or if I don't have them locally I could have them in other stock rooms and and I can initiate a transfer into my local stock room a makeup available to to my users or I could purchase new if I purchase new I will be generating a purchase order and that purchase order can be bi-directionally integrated with the erps of the world with the uh saps the Rebels the Coopers of the world um that uh po will be then completed in uh let's say sap when it's completed will come back to us to receive that asset so I can now create that asset record I could create a serial number an asset tag for that asset and that becomes part of my possession so there's that integration during the procurement process that could take place and to the question earlier you could also have integration at uh between the asset records and the erps of if we're going to any asset record over here that we uh looking at previously and I look at this rotor all this information in this asset record could be configured to integrate with the Erp because if you think about it that the Erp only has knowledge of that asset when it was procured once it's procured they lose track of that asset they don't know who has it they don't know that asset is still in use they don't know if that asset should be uh depreciated or not we can do better tracking of that and feed it back to the Erp so you to do better accounting of of of the assets so we can work well together with the RPS because we we know where the asset is we know its current state is it in stock is it in use is it disposed and and we can feed all that information back uh to the Erp so hopefully that did answer the question and I'm going to bring it back to you Matt um uh since we at that time 10 minutes uh before the end of the session so we can um open up for more general questions yeah thanks glad and and folks remember too he took you through one use case around Fleet Management this can also be used in multiple different assets that are out there we had some great questions in the chat session again consider you know everything you know one of our you know one of our you know one of our agencies using this for self-service for their agents you know simple things is ordering boots Vass gloves helmets you know every uh everyday items that an agent may need so keep that in mind also when you're looking at this and even when it goes into Property Management you know as far as the desk and the lights and everything else so very similar workflows that Khaled showed you can work for other areas also for that big list that I showed you earlier in the slides and one last thing we'll leave you before we open it up for Q a is this is all built on one platform most of you are familiar deal with serviced now in the way the platform Works think of this tying into multiple different modules of servicenow everything from the procurement system that Colette showed you earlier into you know HR the employee workflows as far as getting those desks or getting things shipped out to employees that they're going to need in the office all the way into security and then also you know the important part how are these getting serviced in the field that's where it pulls in our field service management and again this is all built on one platform one single data data model that you can utilize throughout your entire Enterprise with that said I know we've got about 10 minutes left Heather I don't know if we can open up the lines or people can come off unmute for any additional questions that they may have for caledonide yes so um all the out of the box workflows that are available with em and there's loads of them by the way that are available uh already all of them can be configured by the customers to to be tweaked to your specific process or to your specific use case um and then many of our customers use our workflows as kind of the the Baseline the starting point uh because it takes a lot of effort and uh off there uh they're played by leveraging these out of the box workflows great thanks Colette we also have one from Lynn Lynn if you want to come off here uh her question would be are there any limits or difficulties with nested asset records sub components or kits or parts and we have done testing with um uh at least four levels uh but the platform um really should support that you know almost to the nth degree uh the I would be interested to hear uh if any customers have the need to Nest it below four levels which we've tested for all the conversations with with our customers so far are that three and four levels uh here here's the question right now Khalid is there a problem handling all four sites is there a problem handling all four sites I didn't get the question about yeah Dale or is there uh four sites that you're referring to are those four different locations that you may be speaking of or four different modules uh in four different locations to collect yeah so there's uh no limit on our platform to how many locations you can have um and uh if it is a campus by the way uh so we didn't speak about that capability in in uh in the EM you could Nest your locations just like you can Nest assets a campus could have a building a building could have a floor a floor uh could have a a location within it right it was an office area cubicle what have you right and then you can manage those assets based on their granular location so uh there's actually great features coming up uh uh around that to allow you to visualize them on a map as well not only you can track that location hierarchy but you can see them on a floor map within uh within the um Within servicenow great thanks Cole that uh we've got to know back from Lynn that answered her question so we're good on that piece and Dale said okay also and I can expand on that also because we did talk about inventory of stock rooms each stock room could have um uh multiple um uh uh each each location each campus each building could also have multiple stock groups that can support it and then you can Define that relationship between a stock room and and a location a campus a building a floor so it can service it uh properly he glad to follow up on that also when when an asset is removed from say a location or a campus that gets Auto populated into the dashboard so you see that asset has been removed and it's being put in use in another location so that was one of the other questions earlier I think we addressed you you bet yes and it was removed by a technician in the field and the first step in that removal goes as I showed you in the demo uh it goes into his personal stock room uh that's essentially a personal stock room it's his bag it's his truck his uh his van right uh or it could be if you're within the same building you could send it back directly to the uh a primary Depot as well or if it's a technician he could then at the end of the day empty his personal stock into that into that ebook and the asset manager has visibility into all of that he knows where those parts are he knows that they are in in this or the personal stock room so he's got complete visibility into where those assets are located for sure include with Collette I think we have one last question from Dale he says how about life cycle information for our assets I'm assuming that's uh you know information on you know different parts going into life or things of that nature that can all be stored within the system also correct yes indeed and maybe I will uh answer that question by uh going here and uh I'll go to this model and I'm still sharing my screen uh Matt right yes you are yes so uh you could manage the life cycle of uh of every model those can can come predefined from a Content Library that we can ship to you or you could create those uh to Define is this part uh generally available is this part end of service is it uh an uh end of life so you could certainly Define that for for a model and therefore all the assets that are based on that model will inherit that life cycle data absolutely there's kind of a uh sophisticated set of tracking of of model life cycle information here thanks Colette and I think that's right we're right at the top of the hour here I don't see any other additional questions in either the Q a or the chat as we speak right now but I would want to thank uh actually we got a couple other ones uh here real quick uh one of the ones coming up Colette is there an approval process for work orders yes the technician uh the asset manager uh uh first has to review that work order I I skipped those steps to so I can make sure I'm moving quickly through that process he has to uh uh uh make that work order ready for work that's essentially approving it and once you make it ready for work he's gonna assign it to the technician or the technician can sell uh assign it if it has not been assigned to him individually so the answer is yes okay collect we have a couple last minute questions that popped up here in the chat section also uh one from Allison Howard changes modifications augmentation to asset records and visible via the asset management lifecycle module record visible via the asset management module so I think that's really kind of Colette on the on the side if there are changes made or modification is there an audit Trail is there a way to track any changes that have been made with an order of for sure for sure so if I go back to the asset record you can see that right here every time that there's a change to the asset record there's a complete uh uh audit Trail for every field that has been changed or modified um who changed it I've logged in here as assistant administrator but it could be the will be the username what was the old value and the new value of that field so this is complete uh audit trail of that information on every not only the asset record but every record in in service now all right Colette I do
