Utah Next Experience Analytics - Ask the Experts - Platform Analytics Academy - March 8th, 2023

Import · Mar 24, 2023 · video

[Music] thank you good morning good afternoon good evening wherever you happen to be in the world we really appreciate you joining um platform analytics Academy session once again if you're new welcome if you're uh have been here before welcome back um today we have a really good one where we actually are going to get you as the customer to um ask away ask questions so uh excited about that so let me go ahead and get through some of the early stuff here and we'll get started so as usual these are always for you uh we try to bring fresh ideas and better understanding and practical guidance as much as we can today we're gonna do a lot of q a and um which will be a really good reference point for a lot of um answers to different things that are asked today so uh this is uh being recorded it'll be out in the community uh later on today or first thing tomorrow and it also will be out on our YouTube channel as well so please go back to that the really great thing about these um q a sessions is um I track all of the questions and I'll actually put that as part of a chapter inside of the recording so rather than you having to listen All uh listen to all of it in the YouTube video you can actually find a particular question that you're looking for and go directly to it so uh with that in mind please put your questions in the Q a that's where it's tracked and I'll actually get that report back after the recording is completed so if we can put them all in the Q a it would be greatly appreciated and it also gives the ability for the other panelists to answer questions that maybe doesn't necessarily need to be done live but can be done via types so if you can do that that would be uh really great so Safe Harbor notice I don't know that anything will be discussing today but with it being a q a session it quite quite possibly could be talking about something that is uh in the future in a future release or anything like that so we just asked would just keep the Safe Harbor notice uh in mind and make sure that you don't make any buying decisions or whatnot based off of anything that was uh shared today so as usual my name is Thomas Davis and I do we do have a few panelists some of them you'll see uh pictures here and they'll join at some point and um actually need to promote somebody else that just came in so that's awesome so um again my name is Thomas Davis and Dan Kane is on Adam may come in may not come in but it's always great when he does so expect that he'll be here at some point also we have Tara I don't know if she's joined at this point but I know that she will be and we have Olga and Robert Jean and we also have uh zahi in for forgiven his eye but I forgot to put your picture out here but we know that you are here and he is um a resident Guru on many things as well so uh thank you to everyone that is here and like I said it's going to be a great time to ask some uh questions so and that's exactly what we're going to talk about so we wanted to create a session and this was based off of the session that we had two weeks ago where there was a lot of questions that were asked and we we thought well you know what maybe we need to do a follow-up to that session which was what's new in Utah so we decided we'll just create one that'll be you know new Utah next experience analytics ask the expert so that's why we have all of the experts um on today and don't let them tell you that they're in any less than experts because they all definitely are so with that we're going to get this started um I did actually put in the community event that if there was any questions that anybody asked wanted to ask they could go ahead and put them in there but there were none there so we'll just go ahead and get started what we have in the um the actual q a so um and I would ask the panelists as you see those questions come in if that's one that you want to grab go ahead and select answer live and I'll see your name to it or you can go ahead and type that answer uh if not I'm just going to ask a question and we're going to hope that somebody one of the panelists that we have online is able to take uh that question so again um let's make sure that the questions are around next experience things and if there are other questions related to other things and we can get to those we definitely will do that um as well so with that the first questions that first question we had come in that is are manager rollups currently supported in next experience will there be an updated walkthrough if and when the option becomes available so is there a panelist that feels comfortable taking that one is it for the uh for the breakdown Roll-Ups yeah that's right I was going to say I think I'm going to volunteer Olga but maybe the two of us together he does follow up with an example so he says in the past for example if we had a filter for service offering and a report for something grouped by service offering on a dashboard the filter wouldn't work we sometimes have filters with multi-select available and having filters plus group buys of the same type would be useful is this on the roadmap at all so he clarifies what he's asking yeah though because I think it also may be driven by yeah there's some limitations to the breakdown capabilities in Tokyo and uh that's uh I think some of those are being lifted but yeah go ahead in the Utah we did release the support of the breakdown so any uh PA breakdown which is available can be configured in the um in the next experience dashboard um for this use case uh unless I say like we didn't test this specific use case so maybe we can check it and if we have a way to answer offline um for that we can follow up and just double check this use case but generally any uh performance or anything breakdown will work um if uh we also in the roadmap Safe Harbor on the next release um we are planning to have like similar capabilities like that what we estimate how we had in that classic cascading filters which will kind of work with both PA and Reporting right so you can have a manager which will filter another filter which is like assign 2 or group um and then that the group will be then applied specifically to the data visualizations so that's kind of experience uh so I think if it's directly breakdown it's already available from Utah if it's like this cascading relationship between filters that's something that's going to be planned in the coming releases and he does he does clarify that those were two separate questions so I'm not sure I understand the manager roll-ups is that just because another cascading filter scenario I'm gonna have him come up let's unmute him and maybe he can get in there there we go go ahead Paul I think we can talk now hello thank you sorry to have a doozy for the first one no it's good it's all good everyone's probably curious oh it's a great question oh we I there was a write-up I think in um maybe two or three years ago um that Governor Adam did that said if you want to collect all of the managers in the hierarchy and be able to report off of them so I could see my managers stuff or I could that that manager could select somebody else um it was a walk through through that and that I thought we called it I thought you called it uh manager roll up I could send a link out but it was just is that yeah just hierarchy Roll-Ups really it's because it could be any level could be any but yeah um what it's dependent upon and this is where I got I think I'm going to do a follow-up on it specifically with the Utah release but what it's dependent upon is the the uh creation of a field either at the user record or in the manager record that populates a a Glide list of the entire manager hierarchy starting from the user from that one user record you know that they'll have a Glide list that'll be my manager or my manager's manager my managers managers manager and so forth all the way and then we do a breakdown where we say look for the records where a given manager appears anywhere in that Glide list so that's what you're talking about there I assume right uh right Paul correct yes yeah so so and that's the specific use case I I know because breakdowns themselves had very limited support in Tokyo I know that wasn't there yet but um I have to yeah I I will follow up on that specific use case because that's that's one that's near and dear to my heart so uh I'll make sure we get that yeah and I will share the link as well we might as well first of all we've got Paul off me you answer the rest of his questions too did you want to answer this simple dashboard Advanced dashboard question Thomas do you want us to uh whoever wants to answer can definitely answer it it's not possible right I knew that that was the future but we which though we want to be very clear that we strongly encourage you to do most of your development within the dashboard inline editor that was shared with you a couple academies ago um do is the only time you should go into the advance which is usually utilizing the uib um is if you have something that cannot absolutely cannot be accomplished and you cannot live without it because one's meant to be super technical for developers this admins kind of you know let's let's create something and it requires scripting and and a lot more bells and whistles versus the out of the box experience which we're calling um the inline editor is more more uh more in line with what you the experience you had in our classic environment before we had the next experience and so we do encourage you to stick with that route unless you absolutely have to to go the other route um because you have to you would have to rebuild in either scenario um they don't they aren't compatible hopefully Paul that that answered that question for you it did thank you great thank you we get a lot of requests to visualized data from an indicator scores and breakdowns in ways that are not supported by the older widgets uh for example sorting and filtering and indicator scorecards and otherwise customizing what is available there how much flexibility is is planned in this area for next experience and Olga you decided to answer that yeah uh so generally already in Utah release we have um some more interactions right the uh like on the Sorting during the runtime you can already sort um The Columns in your indicator scorecard um we are now trying to to fulfill the most known use cases if there's a specific use cases which you think um like a mission in the classic I think that's what is best to share separately because our goal is to fulfill all the whatever customer needs so like this and especially with the new visualizations we are trying to get if there's any gaps if technically that data can do it uh we want to know what customer wants and add this uh in the comment we'll get this add more capabilities that you can really uh cover all your needs so I guess would be curious maybe if you can share your use cases you can reach out to me share through the email or in any other way that's uh would be really nice to hear did you say that you wanted to hear from Brian live yeah I'm not sure if it's like a lot of if it's if it's short just cases we can maybe Brian uh you can share it now or if it's like more broad questions you can share it also offline um whatever works for you well we'll allow Brian to talk and and we'll see what he has hey Brian you should be able to talk go ahead hi there yeah so um one so one example is that there were some indicators uh some breakdowns which were sometimes which shows zero values and we got it somebody's saying well you know if it's zero I don't want to see it in the educated scorecard at all so can't you filter it out you know that that's the kind of thing uh for example there's some other things that I don't have available with me right now but I can send you an email but yeah filtering is another big one sorting with sorting is good it's great that you're not sorting now but filtering was another big one yeah oh yeah if there's specific filters we can um it should be pretty easy uh I guess I mean relatively right so it's there's no technical limitation on this kind of sorting filter out empty values so it's just if it's common things customers need that will be happy to add those kind of competencies great Olga do you want me to share your email address just put yeah if you put my email address to the chat so sure if anybody wants to share stuff please so um Olga only because I know that you are the the direct Guru on this I think the next question is probably for you as well so um how can reports shared with users with the report group will be restricted from being from being edited by them if the user only has report User it's fine the user cannot edit the report but report group users can edit any report shared with them um yeah in the classic report in uh it's indeed there was no good way to uh to control uh view versus um edit per report uh and there's really no way no good way or actually no way in the in the classic reporting to do it we did address it in the next experience in the visualization we had them like drastic improvements in the way how permissions work because we have simplified it uh you just share with user groups roles and upon sharing you decide if it's edit of your rights so it's very similar how dashboard sharing was working in the classic so it will be in the next experience way way easier and you can have full control over how edit but in the classic there's no no way to uh to do that all right so this next question is I think it's it's it's a really broad one and it sounds like to me about actual ACL um creation or editing or all that um is if that's going to be removed or expanded from not just Security app without asking anyone I don't know if anybody knows the answer to this are there any plans to provide a better view for individuals into the various ACLS required for stakeholders to access certain data or will this remain a security admin responsibility um and that may be sort of outside of our scope of what we do but does anybody have any insight on whether or not that's going to change or be opened up to different personas or whatnot yeah and I'm trying I haven't I haven't heard anything like of any plants on the ux of that to bring up the visibility yeah I agree I mean I think that that one is probably something that would be pretty big from uh coming out from a release perspective so I I haven't heard anything around this uh but Clayton what I'll do is I'm gonna I'm gonna look around and see um a person that I could direct this to or get the answer from you or for you so um and Clayton I'll be able to get your email address from uh the attendee list after the the call is completed so I'll get you an answer uh or direct you to someone and I'll email you with that information so and the next one I really wish that we had Marta on but it it's it's as I read it let me read it first and then we can have some discussion around it so with the homepage deprecation tool we have set it up in tests we ran it retired homepages in the test environment and the next day our original numbers more than doubled once we set it up there were a thousand home pages that needed to be addressed day two that number increased to 1500 the third day increase to 2500 do you know why this number is increasing or what is going to happen when we turn it on in production we set it up in the test environment after a clone to get a picture of what we will see in production any assistance you can provide is appreciated I don't really understand why that is increasing you would think that it would decrease if you've already done that but uh Olga Robert John I know that you work closely with Marta so if you have any insight on this or I'm wondering if maybe a high ticket or something should be created that seems like that would that's doing the opposite of what is expected right yeah I would probably suggest to create the high tickets for the most important to look into it and then we can provide my only guest would be again I I don't know exactly I was not that close working with Mark on that maybe it's just having a job which is still running and it takes some time to uh um to assess all that uh all the home pages which require the application or maybe there's some kind of issue so but I would really suggest to have a case that's created that you have a clear answer before you turn it on production yeah yeah we're and we're having some chat this happening as well so there's only so many so so many that are processed at a time so maybe there's more than a thousand home pages but it's only processing that and then it's just showing more of them or whatnot it's not like somebody else is getting ready to speak to no I just wanted to add that as well uh uh Thomas I saw the chat and I my initial thought was also like what what was the starting number and even though if this is the case that it only processes a thousand home pages at a time we should at least make sure that at the start it shows the total that you at least know what your um what you're working against what was your starting point and how am I getting that one lower so I I think it's still justifies to be a case to be looked into because if that's the if that's the case then we need to fix it yeah I agree I mean I see I think just seeing initially a thousand home pages and then it increases we you should at least see how many you're starting with and then that number would trickle down right from there so Karen I think that the fact that it's only telling you that you had a thousand initially maybe um maybe there's a glitch or something there so it might not hurt to put in a um a high request for that to see if some there's something going on especially prior to going to production definitely okay and with that Robert John I think you you selected to answer the next one which is what do you think we ought to know about next experience reporting this is also I think a very broad question there are tons of things to to mention I can talk for hours on this and we have all gotten the call that can definitely also talk for hours um and and feel free to jump in Olga but I I just wanted to mention generically or high level I would say if we if we think about the next experience analytics as a whole uh there are some fundamental big changes um first of all anything that we're doing there is at least feature complete or it should be at least feature complete so it should at least do the things that you were capable of doing in the in the core UI in the classic environments uh but we're not really agreeing on that we think let's immediately improve where possible so let's immediately look into idea portal and all those other asks that we heard in the past and see if we can immediately change upon some things aside from just making it a better more modern look and feel and everything around that so styling capabilities and other chart configuration um that's that's that's one of the fundamental Parts I think the other fundamental part is that we hope that you see the change that we did as in before in the core UI in the classic UI everything was around um reporting as well as performance analytics and some of those other data sources all being their own kind of an application their own isolated disjointed place where you would do the thing you would visualize it maybe the only place where it would get together was on a homepage or a dashboard what happens into the next experience is that everything is the same and the the only difference is the data source underneath so in our migration into next experiences whenever you do reporting there your data visualizations which is the entity where you actually create the chart is the same for everything and the thing that will actually change the capabilities within that data visualization is the data source so for example Performance analytics indicator will crave will give you more options within the data visualization because it's an indicator because it's data collected over time and also with other data sources there so that's a a huge change from the hold into the new and then again there is also much to say around actual migration so if there are any questions around that please feel free to to add um Olga if there's anything that you want to add specifically on this that you want to have mentioned please feel free to do so no I think it covers it that's uh just to know that experience is changed right and it's all combined right that uh if you switch in you pretty much will also allow to give access not only creation of report but visualizing performance analytics data if you have it on your instance for the indicators which users have access to um yeah just more powerful and uh more flexible and hopefully easier to use but yeah that's that's we want to know for you if it's easier to use an app absolutely any any feedback that we that you have on that please feel free to mention it in communities or directly to us it will it will help us to build a better product okay thanks RJ I appreciate it uh Tara I think you had the next one where is the best place to do calculations on metrics for reporting averages sums of duration Etc because I thought we thought that was a forum talk about this obviously performance analytics is a really good place to do averages sums um duration we have metrics definitions that are available out of the box that are often overlooked and actually I don't know Thomas if we've ever done an academy on that but it might be a good idea to kind of resurface um I'm assuming those are always those are going to continue to be available Olga is that right yeah yeah it's uh yeah something that we resurface and kind of do a tutorial on because I think people forget about that and it's a really good way to capture date differentials um when you're trying to monitor things so I mean those are obviously the best ways to do it I know reporting has some um calculation capabilities as well but I was obviously pushed back to Performance analytics because um you get the opportunity to do uh trending and Analysis on stuff like that so yeah I guess it's also still right the the based on your use case formulas on top of it it's definitely you would cause a performance analytics uh if you want to see how long the your tasks or your record is test for example in specific State um or how some Fields has changed it's either performance analytics or metric definitions but if you need a simple aggregation on the field like some average of of some value of duration or any other fields and you don't need trending reporting works well well because it's easier to set up and it has no limitations on that amount of filters you can put on top right well for the performance analytics is only next to breakdowns at the moment so again based on your specific use cases you can choose any of those Solutions perfect yeah interior to what what you were asking there there are there is a session that uh we did you know indicators on metrics uh types but but it has been a couple years so it definitely is one that that we can revisit but I'm gonna um I'm gonna grab this link real quick and put it into uh the chat so uh just in case the person who asked the question hadn't seen this one because this one was a pretty good um session as well so let me just add that real quick um next we got one for Maggie so on the calendar visualizations it would be great if we could have the ability to to color base on specific criterias that's available RJ uh short answer I don't think it's available oh God might might know for sure but I I did wanted to uh to comment on because I think it's a good ask and it's it's a known ask um I've seen this one before in the idea portal uh also being upvoted so um always feel free to please upvote those because they do make it they make a difference into actually making it into the release in general this type of um color rules and color coding of information that's something that we're definitely fan of because it definitely highlights the uh the Insight from the from the data uh something that's that's just needs to highlight out of the in this case calendar report um so I I get the use case um and I I think that it's definitely something that we need to uh consider to be in in the classical reporting we have a basic highlighting based on the specific filter like you can highlight based on the like priority you can have different colors but no no rules so maybe yeah I read this one as going beyond the the defaults that the uh delivered just to mention right and uh judge in in the next experience we don't have any highlightings yet so uh yeah please uh again if you have more broad use cases of the highlighting please share again as Robert said there's an idea portal where people are uploading uh check if that covers you existing ideas because when we implement it in the next appearance we are looking in the ideas people submitting and if you have different like requirements of different way of the of the rules you want to highlight by please add your own ideas that others can upfold and and generally that we can see it when we design this new feature in the next experience that we can think of more use cases that you guys have um this next question nobody grabbed it and probably because uh there might well never mind oh good gradually yeah uh yeah I can just so yeah we don't have schedules of the peer widgets uh in the classic in the next experience um you will be able to schedule visualizations I like a little bit now Marta is not here so I'm not sure if we released it or not it might be already released in the February store release which doesn't show up from the platformonic workspace or if not it will be in one of the comments and then any visualization doesn't matter which sources you can schedule as well um in the classic we do have and I was trying to find a dog for it I think like um from the indicators you can have kind of email summary which shows you the the indicator information with some breakdowns and I will try to find the docs and uh and put uh put it on the chat as well but like is if you have a specific data visualization like peer widget in the classic that one is not possible to schedule right now uh next one um I hope this isn't away from topic it's an open topic today so we're taking them all do single score reports not follow ACL rules like list reports would do what about bar graph Etc Dan I think it's a really good question it's really what I'm reading that as is the chart itself on a PA widget will be it does not follow the the ACL of the underlying table however the details if you drilled out into it into analytics Hub or kpi details if you want to look at the to show the records that are associated with that score then they they do that the records do support or do uh follow the ACL rules so the idea is that you know if I want to be able to see a score that says you know 80 of my incidents were resolved on First Contact I can still see the 80 but unless I have the permission to view all the incidents I won't be able to see what what incidents make up that 80 percent and and they just put down at the bottom my ACL question is around reporting not PA indicators reporting actually no reporting it will because reporting is real time so it will follow it so uh so reports because reports are still going to be still going to be based upon uh yeah the the real-time report and anyone correct me if I'm getting this wrong but uh it will be limited to whatever my ACL permissions allow me to see so if there are you know if I'm looking at an open incident count but I only see three it may be that I'm only all that my ACLS only allow me to see my open incidents or something like that so I think there's like some difference in the um like the Glide aggregate is not always checking the record lab like if it's stable level ACLS it's definitely going to be checked on the reporting if it's record level ACL it's only the business rules is taken into account in the Glide aggregate so when you do aggregation of the total number when you drill down you will see only those records of course which you have for record but the total number uh as far as I know nothing changed over the last years the the record level ACLS are not included in the Glide aggregate so I guess the question is and I don't want to I don't want to say your name wrong so uh the question is are have you set the ACLS and your users are still seeing that single score count or they're not or you're just preparing for something maybe if you could answer that quickly which one was it are we talking about well it's the same question that you were answering they further down they put my ACL question is around reporting IPA so I was just gonna oh yeah they would quickly type and see got it the question is are they able to see when you have the ACLS on them like is it is it happening to you or or is this more just like a general question in preparation for something so I was hoping that maybe they wouldn't they would answer that actually did a follow-up in the chat instead of on the Q a but see the Aditya had I've set up ACLS and users are seeing numbers with records that they are not supposed to see yeah interesting because it's like aggregation is not taking into account record level ACLS aggregation is taking account on the table like if the whole table have no access then you will not be able to see it so if you have a strong like use case where you need to to uh restrict on the record level you need to use business rules not ACLS then they will be enforced on the Glide aggregate as well I think that's a good clarification to my answer there I appreciate it yeah good all right so the next one we have is we have not migrated to next experience yet due to connect chat and translation dependencies but can next experience be able be enabled for a single user or subset of users or does it have to be enabled for all users and once enabled can it be disabled RJ yep um short answer is yes so I I just now uh posted a link also in the chat which actually goes to an amazing article a blog post that actually once wrote which is exactly about this topic um yes uh the best practice there is to do some user preferences on a group level so for example a combination of multiple users within a group and you can actually put the main user preference on for the next experience where specifically for that group you um set their UI their user preference to off so again the blog post explains everything once enabled can it be disabled yes it I think it's also answered in that blog post but the that is possible okay great and it looks like you have the next one too I'll go ahead and read it and you can answer it um what successes have you your team seen with other teams planning the migration of home pages of dashboards could I get a high level action plan suggestion please this can be answered via email as I have to drop but would to would love to set up a session to discuss further as we will be implementing this in the upcoming weeks and but before you tell Robert John I know that we had two sessions uh on this uh that Marta did and I'm gonna uh paste that in there I don't know if Clayton was on that or if they still didn't answer Clayton's uh question and let me see if he is still oh he's not out he's not on me anymore yeah and at least Pace the um the session that was done on that and then I'll attach that to that question inside of the recording but if there's anything that you want to speak to it it'll still be there for him so go ahead yeah so so in in and I I didn't have any other information then indeed also the suggestion that I know that not so long ago we we did a full session actually on the homepage replication where I I know that that Marta and Tara actually went through the entire cycle so they they show what you can expect and So based on the plan like what is what is the high level plan I think the app is solidly built that it's almost like a plan by itself it shows um what to do uh what's there it brings the dashboard the dashboard UI page to show what's what's still left um just um considering the the previous question that we had on that number it's definitely something that we need to fix um but I I think If the previous doesn't um fulfill all the needs around this topic maybe it's still an idea to do in near future other Academy session that we do it again and maybe share specifically some examples of hey this is where we were before where we went through the cycle and how it's looking right now where we show a little bit more of those examples of the result okay and I see how you you posted the link uh Thomas there yeah yeah I put that in there so yeah thank you um Dan um I I don't know if this was a follow-up to something else but you you selected it it doesn't read like a question just tickets age that are active at the end of the month do you know what that's about then yes that was a follow-up there was a follow-up the the question was around could I get the you know the average age of the Open tickets for a month or you know so that that was and what it really would be and I guess part of it depends upon the what what types of tickets but there is a out of the box that's very very similar to that particular scenario the main difference is it doesn't it doesn't restrict it to just the end of a month so what you could do is uh the out of the box what I'm thinking of had it open here was the average age of open average age open incidents there's also one average age open cases and like the formula indicator that takes the thumbned age of open incidence and the number of open incidents but make it a separate indicator that only runs on the first day of a month so it'll give you the so it'll give you the score always for whatever was the last day of the previous month so of the you know the summed age of open incidents divided by the number of open incidents or whatever the tickets are so I just and want to follow up on that we can certainly do that we could certainly do that offline but I would say I'd start from the out of the box indicator that's the open average age open incidence and you can adjust the collection make it make a new indicator based upon that one and then just modify the collection period for the supporting indicators okay great thank you Dan um next one we have from Stephen uh specific PA question if you aggregate records by month sum or month sum plus using a breakdown where the value changes during the month priority assignment group Etc does PA by default pull in records that had that value at any point during the period trying to tell a stakeholder what the expected Behavior should be Tara yeah so Hey Stephen um I was just going to say right uh performance analytics goes through and runs when the job runs it pulls all of the sys IDs that met the criteria on the day the job was run so the data could have changed most likely has changed um but if you're doing a historical data collection um at the date that it runs the query it gives you the sys ID so it pulls all the all the records that met the criteria on that date so because the data is changing you won't see um what it was then it doesn't do a snapshot or anything like that it just it's a the Aggregates and counts will always show you what was happening at that point in time does that make sense you can let Steven come off sure I'll get him sorry I Was preparing for another question here sorry I'll do it that's cool where'd you go somebody did it hey Tara no you actually answered the hard question I was asking an easier one okay so I I know the answer to that one because that one's hard and it comes up a lot I get my question is here it's a it's a question of the way that um in like for example specifically an analytics Hub when servicenow Aggregates periods like how it decides what's in and what's out because you could have done dailies all along right which is what we recommend so are you saying at the aggregate level on the source you did month uh so like so for example let's say if you're collected on dailies all along you got 30 30 31 28 whatever dailies on your scores table and then you go into your analytics Hub and you say okay now show me all my dailies by month sum now or buy months on Plus or whatever enough to get you that period but some of those within that period are going to be one thing and some of them are going to be another because the record legitimately changed and so my question is when you're manipulating aggregations on analytics Hub does it take an exclusive or inclusive approach to showing you the records themselves does that make sense you mean you mean showing the records so for example then it'll um you can okay I'm sorry I left out a step so then it'll show you all your scores but you can jump to like your compare so you can jump to your show me my actual values right obviously some of those will be different because um things have changed since the most recent collection no problem I get that but I'm just wondering when I see things in like a monthly period that I don't expect to see is that normal because at some point during the monthly period that actually was the score on the scores table even though if it's changed since then the questions around the axle I'm so sorry no I think the way you're saying I think I understand what I'm kind of thinking of is I'll um if I have like you know just a number of open cases or something like that and if I do a bi-month sum and maybe this is maybe I'm oversimplifying if I do a buy month sum I would of the daily collection and I would get a sum of each of the individual daily scores so what was true that was opened and which wouldn't be a very good metric in that case right like so for sure for example I could go through on a week and I could change the priority on the guy from low medium high critical low medium high yeah on any given day that I would expect the daily to actually tell me what the what was that point of collection no problem but when I say hey what was monthly uh how does it decide that's an excellent question uh I think it's going to still be based upon when it does so because it could have been accounted for at any time multiple dates into so the same record could be accounted for in multiple dates within the same month right which on one hand would be right but on the other hand if its default is hey you know recency is King I'm fine with that too I just genuinely didn't know what the answer to this was so I don't know what to tell the stakeholder the expected behavior is so that's that's you see where I'm getting I think so yeah yeah that's uh and it has more to do with the yeah because the the overall score is a little easier but the breakdown could how the you know the breakdown value changes throughout yeah that's um that's actually a really good question so I think Josh was in the chat he was saying some uh sharing some stuff there and I promoted him to a panelist so Josh if if those by the way Josh yeah no I uh no I I I went where I thought it was going but no I I get it like if you're aggregating multiple days together is it the list of everything for that day um yeah I would I'm I wasn't even sure that it would show you records if you were on a different aggregation than the one that the score was collected from I would I'd have to test that actually yeah yeah and I don't even think it's about records if I'm hearing you right Stephen I think has more to do with the breakdown just the score itself if you know if I want a CEO that assignment groups another really good breakdown example because that changes all the time yeah um so if I do a bi-month sum or even you know of a of an indicator with a breakdown by assignment group what's that gonna tell me absolutely double count yeah I kind of feel like it well I kind of feel like it would show you the CIS IDs of those that met it at that time regardless um as long as it shows up in the in the list yeah so you could get the same record counted multiple times in that sum exactly but it would be different days so here's he just just so it you know may help click for you basically whenever you run the collection like the daily collection it's just capturing the list of all of those in like a comma separated value in the PA snapshots table but if one incident like if an incident is on like I said this assignment group on one day on the other assignment group the next day that it's going to double count those it'll count for both assignment groups essentially like the sum of all incidents that that assignment group has worked is going to be more than the sum of incidents in a month which I think is where you're going um but yeah right if it's done multiple in a day you'll only see the one that was there when it ran yeah and for some for some um breakdowns that's going to be totally sensible because um multiple groups could touch the same ticket during a month and they both really did touch it and they both really should get credit for working it even though um that doesn't magically proliferate tickets but it's still it they still both did touch the same one and the score reflected there's probably some others that we could invent that it would make less sense when you try to do the math after the fact okay that sets me on the right track I appreciate it thank you guys yeah yeah generally I wouldn't con count on being able to do the math after the fact like even if you're just doing a first level breakdown there are going to be reasons why those numbers don't necessarily add up to the total for the day just because they're going to be things that don't fall into a category like none if there's an assignment group that hasn't happened for example um so yeah no don't necessarily think of that it will necessarily add up you know okay all the different states I mean like all the different states should but you know yeah and that's kind of what I meant by and I'm sorry I should have elaborated earlier when I said like is it being extra exclusive or is it being extra inclusive like if it's being extra inclusive then you'll get counts that exceed the quote-unquote total and if it's being extra exclusive you could get counts that are less than the quote unquote total so yeah okay cool yeah it's you're you're correct it's extra inclusive it's going to be more awesome it just doesn't it just doesn't think that hard but no no that's okay that's that's as long as I know what the ex what it's doing yeah no exactly yeah okay great thank you everyone for input on that um the next one that we have is uh we have a PA indicator that counts a subset of changes any suggestions for creating a breakdown based on the change CI class I.E we want to be able to say x number changes were for servers next number were for database so I I grabbed this I think that there's probably a couple different ways that you could accomplish this so mine doesn't necessarily have to be um the only way and if anybody else after I share mine if you have another way of doing this uh please uh chime in but I I what I would recommend is utilizing the cmdb query Builder this is a a way that you can actually access both changes and also the CI classes and um if you're not familiar with the cmdb query Builder I'm going to post a link in here but it literally is like a um a window where you can drag and drop and create relationships um especially if the relationships are already there so obviously if there's a CI class uh whether it be server or a database that you're referencing associated with a A Change that's happening that relationship is already known so when you drag those out on the the screen and connect those up together then you can get that same information and the really good thing about it is you can create a once you do a stack once you bring the tables in that you want to join you can create a data source and save that and then you could um use that same data source that you created when you gen when you create your breakdown source so point that breakdown source to that data source that you created from the CMB cmdb query Builder and then you would be able to access all those different classes that are available um the the again maybe not the best way but it also gives you the ability to trim down the amount of CI classes that you would actually um see for example servers or databases because it would only it would only use the ones that uh have been created that are just for changes so that is the way that that I might go at this but again there may be other ways that you can do this and I'll just share the we did do a session on cmdb query Builder there's a couple that are out there but this is the most recent one but um does anybody else have uh and any way that they may potentially go after this I and just just to give you another option just because I'm not familiar as much with cmdb query Builder um one thing you run into uh when you do cmdb the uh the class name is actually a field on the record it's generally hidden but so like you could do cmdbci dot sysclassname dot walk to that the problem is it's also I don't believe it's actually a reference field so you would have to do something custom with that and then at that point then you've also got us an additional situation which is that like the different dot Walks Like the different extended classes will be counting separately so that's another problem that you'll run into which is that like you'll have you'll have account for servers you'll have account for Linux servers you'll have account for Windows servers servers won't include both Linux and windows servers because it's only going for that top one um so yeah you'll run into the cmdb query Builder might be a better answer for that just because of that and honestly to keep it cleaned up your other option would be to create bucket groups for the classes that you want to track and then you can control with a breakdown script to say yeah if it's if it's this cmdb CI you know Assist class name then put it in this bucket Etc that way you can keep it clean and put your servers together in one group but again probably cmdb query Builder is probably the way to go okay awesome thanks Josh okay so the next one is um and Claire uh Tara if you could clear that one from Steven um it'd be awesome the next one is when will we when will a migration tool be available for migrating from classic to next experience analytics RJ um so the uh so so first of all that migration tool needs to be there it needs to come and actually in the in the previous uh session where we where we did the Utah readout I um also mentioned that that we do believe that um the next experience analytics is great but it's only going to be used if you can view your own content there if you feel your own artifacts those dashboards that you created those thousands or hundreds of thousands of reports that might be there and so the migration tool we're currently actually starting to build and what I did also mention in that previous meeting was in order to make the migration successful everything needs to be there uh and not on 100 but basically on 120 and so any use case needs to be checked um and not only the use case of just consuming the analytics chart it's often also the user experience like the end-to-end user experience before a user came to a chart as well as after they maybe clicked on a chart what do they see next and is that on the same level so it's it's um bigger than uh we of course hope it to be and with that we have to make sure that we cover all those end-to-end use cases um if I put a timing on it it will definitely not be Vancouver because Vancouver were actually already uh over half of uh delivery um um but yeah consider it to be in a um immediate future release not saying that it will be xandu say farmer applies but it's uh it's definitely something on high on our radar to make sure that we uh become successful with migrating your current analytics artifacts okay great and RJ looks like you have the next couple so if you want to just go straight into those that'll work yeah so the um dashboard management in general I think um so this is a good question and we have a few ways currently I think in court to do a little bit of health and and clean up and and get get information around your dashboards and from there do a cleanup um I do believe that that needs to increase that without needs to improve um I think usage analytics will help with that so indeed as you mentioned um haven't been used over the last six months if we should have more insights to how what is being used and and why that will definitely help you with that cleanup um so we are thinking about that um coincidentally zahri is actually in the call and he is the expert on user experience analytics and and getting those insights around what's being used mostly on um all your mobile applications your web your portal virtual agent um we're currently working on getting enough information also on a true dashboard um almost his ID level to understand the usage of those not just for those admin X kind of admin tooling that those maintenance tooling but actually also for the migration that I just talked about and so if there's a migration for example of your dashboards that could also serve as a great place as a great opportunity to immediately see how many times is this dashboard actually being used and would this actually be a nice moment to not migrate it and maybe even deprecate the old one and maybe just to add on what you mentioned RJ I noted that the event instrumentation for kind of dashboard loading for next experience is done in Vancouver so we can definitely consider to expose this data to customers so they can actually see this usage data for that words great thank you Zoe um RJ you got the next one too right yep um and actually this this might also be one for Olga uh the pie chart to act as a filter uh we we do like that functionality this is actually one of those functionality that's unfortunately not yet out of the box available on the ones that we um shipped through the simple inline editor so this this would be one that you can actually rebuild yourself in the UI Builder but as as mentioned our best practices to use the simple inline editor um so this one this one is definitely coming and and just to not put all good too much on the spot but I'm not sure when but this is definitely one on our roadmap so it's it's not I I can say it's not Vancouver but it will be right after with a safe harbor I hope Washington but yeah it's uh the top top list of the next use cases we want to solve and also to have other charts actors filter not just manager okay great thank you so not to skip over uh those three questions but those are those are pretty detailed and I just don't know that we have enough time for those so um Maggie Dario and Colette uh it might be ones that you um could ask in the community for those specific things I just don't know that we have enough time with three minutes left to to answer those um so ask those in the community and please feel free to tag myself in them and I can help hit those uh for you say tag me too Dan Dan Kane because that's I've been doing a little bit of looking up on some and the way they address some of those but yeah tag me as well because I do a lot with database views okay great thank you but the the last question that came in it said uh are you all going to have sessions at the snow conference so uh let me let me just say that uh myself and Olga are actually doing one and it's introduction to visualization visualizations and next experience uh Dan I believe that you're doing one with uh Adam Wright what's the name of that one uh I have to look it up it's actually use it's actually it's actually creating a workflow to give you some some reporting capabilities but I have to look up the exact title again but okay give me a solid yeah and then Tara you're doing one as well correct that knowledge yeah yes uh that's this is on process automation designer though mine is not on analytics that's okay we still claim you no worries practice automation designer if you're interested in knowing what that is and how to use it we have a lab for you at knowledge so come see me yeah and uh RJ zai I don't are the two of you gonna be there most likely I'm not sure yet most likely I was actually thinking uh Thomas the uh um and Paul actually asked the question uh before uh also on uh what great content there will be on at knowledge and I'm not sure if we have the timing based on these Academy sessions but maybe it's even a good idea to uh use one of the academy sessions to do something like a now platform this is what you expect in what session that people can can use that as a uh as a guide to uh to be in the right sessions to where where the good stuff is okay yeah I can definitely put one of those uh together I think that's a great idea um yeah I don't know if you have the time for for it considering that it's already in like in one and a half months or something so I'm not sure if there's uh um actually a spot open for these Academy sessions so I think that I think the question is is is whether or not doing something like that could fulfill a whole hour or if we just list out in a blog or an article all of the sessions and then what what the expectation is to get to that so I think that that's probably a really good idea and probably Liz may already have that so I may just need to just reach out to her and she could probably provide something like that but but at the end of the day we hope to all be there we love meeting uh everyone um uh I would I don't know if it happens this year we've had some talk around it but I would love to be able to have one of these sessions like we have now the Q a at knowledge like I think it would be cool to take all of these same people have them on um stage or whatever it is and and have have a session that's actually dedicated to the same thing so so now you actually get the answers live and have a couple uh screens there where people could show um you know answers to particular questions so I know that we have that on the radar as well don't know if it happens this year but it's definitely something that we have talked about and hopefully we'll have that in uh years to come so um great questions today I'm sorry that we weren't able to get to all of them we are over by one minute so let me go ahead and kind of go through some things uh thank you to all the panelists that were here today um I I think it's really awesome that we're actually not able to answer all of the questions because I mean I hate that we can't answer them but the fact that we get to the top of the hour and there's still more questions let lets me know how engaged our customers are with our product and um I would hate for it to be just dead air for 20 minutes and we never seem to have that which I think is just a testament to the way that we make our customers think about questions or things that they're trying to do with our product and to be able to have people that they can ask the questions to get answers from I think is just uh really really awesome so the ones that we were not able to uh answer please put those in the community again and tag myself and Dan and we'll try to uh get you answers to all of that so um as usual this will be out uh on in the community later on today on the platform analytics Community page the recording will be there as well don't forget about our Pro tips that are there a quick five minute videos uh that help you especially in your early stages of your journey and then also how to keep it going um and then direction that you want to use now learning there's great content that's out there and that's ever growing things get added to that all the time just simply search for analytics and tons of things will come back this PA Advanced course which used to be uh in person is now on demand so you can take that these are our sister sessions in our organizations uh that are out there so if you have questions about these um please go to these sessions as well um this is our new recording I can actually remove that and we've just talked about knowledge so hopefully we'll see everybody there if you see us we've shared our picture all the time so you know who we are so please come up and say Hello uh we look forward to that and with that thank you and again all of our customers we really appreciate the fact that you come to these and open up and express yourself with questions into all the panelists can't thank you enough for uh giving your time so with that we'll see you in two weeks thank you thanks everyone
