Checklist Pro - Hide and Read-Only Options
in this episode we will be highlighting the hide and read-only functions in checklist Pro as a background we've built a cascading checklist that goes three levels deep that is there are three checklist items at the top level and each of those has a sub checklist with three additional items and each of those child items has a child checklist of its own with three additional items for the purpose of this demo we built the checklist to appear on the incident record when the category is inquiry help and subcategory is anti-virus we've defined the edit conditions to be when the incident is open and assigned to one of my groups everything you see in this video is done through configurations no coding we are going to be switching between two different users bow ruggery and Bethany both bow and Beth are in the hardware group so we'll assign this incident to Hardware that way both should be able to edit all the items that is until we apply or hide and read-only setting to one of the items now that we've seen that both Bo and Beth can edit all the items in the checklist we're going to create a read-only option that will apply to item B1 we'll choose the not in group function and then pick the database group Beth is in the database group but Bo is not with this option in place we'll revisit the checklist as Beth and see that we can still edit all of the items [Music] when we switch to Beau who is not in the database group we will see that he can edit all the items except the B1 item and all of b1's descendant items now we'll switch our action to hide the item and then go back and notice that the B1 item is still visible to Beth [Music] but Beau can no longer see the V1 item and all of b1's descendant items out of the box checklist Pro provides hide and read-only functions for in-group Mountain Group in Department not in department at location not at location has servicenow role does not have servicenow role all of these functions apply to the user viewing the form you can also use the condition Builder to create high to read-only options based on fields on the record hosting the checklist in this example the incident watch our video on creating a custom hide and read-only function to learn how you can build and register your own option that will become pickable in the list of functions
