Software Success: Portal, Goals and Activities

[Music] foreign [Music] it's Justin thank you for watching and welcome to my house that's Justin's house in this video I want to talk to you about software success goals and software success activities that's new to servicenow's Tokyo release for software Asset Management I just discovered this feature myself and I've been trying to keep up with all the features and this one hit me by surprise I was doing another video on the asset executive overview workspace slash dashboard and stumbled across these success goals and now I want to show you how to get to them in the software asset workspace so I am in the software asset workspace and there is a little new icon here on the left hand side it's basically a circle with a heartbeat in it or the cardiogram kind of type of thing and it's called success portal there's a second way to get to these in addition to the executive overview dashboard but let's start with the success portal and take a look at what that offers us so we've got a lot of nice Graphics charts and interactive things we can can go and look at open success goals here on the left hand side we'll just walk through all these I've got projected success savings by status whether it's draft and progress or something else past an upcoming success goals right there above my head so stuff that was before today stuff that has no date associated with it if I keep scrolling down I've got projected savings by categories so in the software asset space when we're kind of trying to reduce spend we have things like you can see here on the right hand side overlapping software reduction of licenses maybe a production head count then your contract negotiation getting new pricing or new favorable terms process Improvement that's always a way to achieve savings and new publisher onboarding maybe we're onboarding a new app here you can see in the middle completed success savings so this is what we actually found through process Improvement overlapping software negotiations and reduction in licensing and of course our completed success goals and if you scroll down the very bottom we can see the activities that are associated with a particular success goal that's in progress so we've got here this one to improve vendor audit defense process and as part of that goal we want to complete some activities reduct reduce time and effort on vendor audit defense process and improve vendor audit defense process so that's kind of redundant but you get the idea in order to achieve a goal you might have several tasks or achievements or activities that you need to complete in order to achieve that goal so let's take a look first at what an actual goal looks like I'm going to open up a completed goal using this link above my head here completed success goals so we could take a look at one that servicenow has provided us as a demonstration of what this might look like so I've got four reduction of Maintenance overlapping Network Tools servicenow catalog items and removal of software installs let's just take a look at reduction at maintenance costs the first one in the list and you'll see a basic goal structure here so we've got a number for the goal we've got the title for it so we know what we're doing the status and this one is completed so a complete State tracking we've got those categories that we saw on the overlapping spend and stuff like that this is that contract negotiation or vendor negotiation and the particular vendor that is associated with this particular goal then we've got a description for the goal that you can see here reduce the maintenance cost of adobe nothing against Adobe we're just doing an illustration here we can assign this goal to a group to manage and then all of the date management that you would expect with a task or a goal of projected start projected in actual start actual end right think project management and then trying to achieve a goal or a milestone and then here we also have the projected savings and the actual savings so we thought we were going to save 250 000 but we ended up saving 275 000 and hopefully the person that got that extra 25 000 um maybe got that as a raise but and then the achievement description so what are we going to achieve by achieving this goal so this is going to be a reduction of the maintenance cost for that three-year renewal it's fairly straightforward and then we can see here at the top we've got another list showing the success activities that make up that goal so here they are that reclaim unused Adobe licenses and reduce the overall subscriptions consumed let's open up an activity take a look at one of those and this is even more simple than the goal we've got the goal that it's associated with here on the right hand side a state which we can actually hit the drop down now because it's not completed so there's your States pending open work in progress complete and complete and skipped an assignment group to associate with the goal uh short description description and any notes or Rook nodes right and always remember under the covers this is serviced now so that means you've got notifications you've got um workflows approvals that you can attach to all this stuff not there out of the box but you could Google configure it because that's how servicenow and the platform works so those are activities that roll up to a goal and once you complete all the activities hopefully you've accomplished your goal fairly straightforward and they've put this all in this nice little portal for you to come in and see how you're tracking towards accomplishing those software success targets or goals I'll show you a couple other things here before we wrap the video create success activity and create goals so if you wanted to start from scratch because you didn't have a nice demo environment like Justin has you can go ahead and create your goals directly from that dashboard that's one of the places you can do it and now all the fields are open I can choose the categories and of course you can configure these categories at servicenow so we can go in and change what those are add all the details associated with that and then we could save that and be on our way same thing with the activity I'll click got it here real quick create success activity it's going to show the activity without all the details filled in and we can create that directly from the success portal just like I showed you there now I did promise a second way to get into that and this would be the license operations menu item here on the left hand side so license operations is where we go in to look at the different activities that we might want to do around licensing so we could look at software entitlement software models contracts Discovery What discovery is finding client access user subscriptions content suggestions and then look down here in the bottom left see I told you I've missed this more than once success goals and success activities so it's down here and you can get to those here I can click on this it's just a list view of the goals that we were just looking at and if I wanted to use the menu items up here to create a new one or edit one it works just the same as in when we're over in that portal I can go ahead and start creating a new goal directly from license operations so I don't have to be within that success portal in order to do that I can access my goals and my activities directly from the license operation since many times these are related to the actual licenses that we're working with so that is the software
