HAM Activation: Store Apps, Hardware Model Normalization & Content Service
[Music] foreign good morning good afternoon and good evening everybody my name is Victor Paratus Colonia I'm part of our servicenow item outbound product management team and I'm very excited to bring everybody another edition of our live event this time focused around ham activation we're going to talk about plugins store apps normalization and the content service a few quick announcements before I do get started I do want to say that some of the information is privileged and confidential so just bear that in mind as well as some of the responses we may be giving or information we may be sharing maybe forward-looking so just keep that in mind that things may be subject to change but for what it's worth you're going to get a lot of good content today and again a big welcome uh you know this is one of our live events that we have dedicated for our customers where we're going to Showcase different ways with the end goal being helping our customers deploy adopt and Achieve value with their investments in its Asset Management more specifically with Hardware asset management and so for today we're going to dive down into understanding the plugins and store apps that you need to be successful with your implementation how you might configure them and in what order and then we'll also dive into normalization in the content service you know this is a key component of being setting up for success with with him and to do that I've also brought on product Managers from our ham team and we'll get to uh meet them very very shortly joining me today is Patrick Lowndes he's the director of I.T Asset Management from the outbound product management team and I am your host as well Victor pretis all right so our two our two guests today um these guys know the field of ham in and out and they are the ones that are bringing us a hardware Asset Management in addition to Eric Farrington who's uh one of our our lead directors in in ham so lalit Gupta is joining us and Michael Smith uh both of you thank you very much for your time I appreciate you guys spending the uh the first hour here with us today foreign so as I mentioned you know we're going to hit three things we're going to get into ham installation and the content service but one of the things I get a lot from customers after they've purchased Hardware asset management is you know where am I where do I get responses to commonly asked questions that I have so I thought we'd we'd dive in that a little bit just to kind of break the ice learn a little bit about what I call the servicenow landscape and then we'll really look at you know how to turn this thing on how do we look at ham installation what's the right sequence of events that we need to take to get to Quick time to value and then I'll jump in and I'll ask the guys to demonstrate a little bit around hardware normalization and then answer some of those commonly asked questions we get with the content service be sure to submit any related questions you have on these Topics in the chat you can do so now you could do so during the event and we're also going to have um little n n chapter points where we're gonna we're gonna break it out and open it up for questions I'll also ask folks in the audience to just stay laser focused on the topics that we're talking about today we only have an hour so let's stay dedicated to those topics but you might also have insights and perspectives that you want to share with others so make sure that you're able to do so in the chat and then just contribute what you know because that's a great way of connecting with others in this forum so without further Ado um you know let's break into what I call the servicenow landscape and the lit I'm going to go to you first um you know what are the key areas that you can do to get information and how do you navigate those sure as a service now we provide various photos channels and communities to our users customers to interact with the product to know what is coming in the product to communicate with the group so now learning is one of the portal which is a learning portal where you get all the access right what are the certification I want to do what training I want to do this is the portal where you can search what you want to do like you can go and search Hardware asset management and you can do at your pace it's not necessary you have to complete everything in one shot you can do one and now and then whenever you are free you can continue from where you live you can do certification you can do Hands-On practice it can it has simulators so on the another platform we are giving is the product information which is a document website here you find that anything related to not only about the servicenow platform but any of our business unit ham Sam or Cloud inside or if you are interested how it is linked with other business unit FSM CSM anything what are the new features it coming all release management configuration how I create the asset how I create the class what are the tables what are different flows so once you go to the item Asset Management under that you have three items like software Asset Management Hardware Asset Management Cloud inside and then when you go to the hardware Asset Management you can go particularly you can look into the contract management so on anything required to know about the past or what is current about the product how to use it what it is it's a good portrait to go through it the third portal is item Community when we say community is like we collaborating or talking to the different people to understand their viewpoints so it contains group various groups about the hardware Asset Management forums what are the importance so these are not only the service now platform or Forum but external forums also you can go and submit your idea so you have anything you think which is good for to be in product you can submit your idea and the product team Mike myself or Eric or anybody from the product success team can review it and provide their inputs and then there's our blocks there is a developer community so so many things you can do so I think these three portals are the good source to get any information about the product about the platform about the service now what is coming what is Future and what other people are doing yeah yeah that's great so that so the now learning is really your educational portal um and then the product information I I consider that kind of like your how-to or your instruction manual gives you all the terms it gives you a deep dive into some of the the product features and like you said you can go retroactively looking at um different releases if you're on a different release and you can see what what applicable uh product information there is for a specific release and in the item Community like you said you can interact with with other individuals that are in the space that you're in right so in in the hardware Asset Management world there's a lot of practitioners that have many different types of questions a lot of them very similar questions and so you can find posts on their blogs and knowledge articles uh related to those questions so those are I I think you're right that's like the trifecta of an area where you can get a lot of the answers to those commonly asked questions maybe we can jump into some of those and look at those and just kind of get a visual representation of how somebody would navigate between those Mike do you want to show us that I think you're on mute mic I said absolutely I heard it I heard it uh so we're gonna start with the training portal and this is for all servicenow um modules and products um I had the hardware Asset Management fundamentals up here this is a great place to start when you load this up and and you do a search you'll be able to see here um the uh what what the actual course is how long the level of effort will be for the course and if this is an intermediate level course it's on demand so everything you need to know is right here they do put together um an overview in a syllabus so if you're looking for some specific items um you'll be able to dive into it and it also gives you some related courses that go along with it very well um when we do search for for for Hardware Asset Management you're going to see a lot of different things that that will come up um to enforce that once you've gotten this fundamentals it's highly recommended that you take the Delta examination so if you took the fundamentals in Paris there's been a lot of new stuff that's that's happened so with each release we have a Delta certification that you can go through to keep you abreast of all the new features and functionality in the new releases and you can see all the various ham related courses here there's there's there's Peak trainings and you know some quick hitters some of them are just simple videos and then you'll earn um stars and badges as you complete them so you can get uh you know you can get some some cool some cool digital swag for completing these but it's a great way to you know increase your knowledge of the platform and and learn how to to use it better uh that's huge I would just say the Delta the Delta thing is not something to overlook right taking ham fundamentals is yeah you have it but then things change so you want to stay fresh in the game so I think that's a really good uh pointer and just a quick question here that popped up um so the ham foundations for for myself as a service now employee my costs may be different as a partner or as a as a user off the street so um the prices and and units vary by uh by user um so this is our official trading portal um but a lot of times we don't have time to invest 11 hours into a training to figure out an issue or find a find an error so we we put product documentation out every time we build a new feature we have a team that puts together new um new documentation for it so um you know if I was doing something with with Hardware model normalization um you can see here I've searched it recently um I could come in here and I can search it I could filter by release so if I'm only on Rome and I haven't upgraded to San Diego yet and obviously Tokyo is down the road I could pick that and actually filter my results based on that and then I could even drill down like do I just want to see um possibly uh you know you know an impact or you know release notes or any other things I could I could drill down and filter my my results as well but then when you click into these topics here um you'll see all the the details that you need to see allowing you to kind of self-resolve and if you have questions maybe you could you could figure them out here um sometimes if I have a question about a table or like a log like this I will actually search just for that it's a keyword and then pull me into all that so there's lots of different things you can do um to self-resolve on your own now if you can't self-resolve it may be training isn't for you then you can always put yourself out there in the community um as Lola had mentioned we have a servicenow community here and this is a great area it's where you know employees of service now like myself and the lit Partners customers you know the the entire servicenow Community can be here post questions write blog posts put up videos um you can simply just you know if you want to jump in and do a search I can just come in here and I can search for um Hardware asset and you can see all the Forum um posts and blogs around um Asset Management it does take a second to load up and you can see here this is all the content that that's been posted um forums we have knowledge and documentation so everything is is is Central here to drill in and find out so if I want to look into normalization I could come in here and just not I didn't have to type the full world full word I can just punch it and there's no request so if there's nothing in there I can ask question I can click this and I can tag it and I can post a question and other people can answer it and this is a lot of times um our first chance if we're confused maybe it's before we submit a high ticket maybe there's a user so we can go in and and ask the community it's a it's a great tool before I I started my journey with servicenow I was a servicenow customer and during our White knuckled self-implementation Project I found myself writing and dying by the community here then when I became a partner I also and worked on implementations with other customers once again spent a lot of time on the community um and then now as an employee it's full circle so it's it's definitely something that I would keep bookmarked and and be as active as you can well that's great thank you Mike I mean again three three areas where you can get information the other thing I just mentioned on the community is you're going to get responses from other practitioners in the field but you're also going to get responses from you know different solution Consultants even Mike even lilit I mean you might have you guys responding in there every now and then so you're going to get a lot of interaction a lot of different voices answering some of those questions absolutely thanks for walking us through let me uh bring back our slides here and let's talk about the next segment which is what is the sequence of events you need to set up and install Hardware Asset Management so that you can get quick quick value out of the gates so a little lit I'm going to turn back over to you and maybe you can walk us through the sequence of events for that so for Hardware Asset Management to be active and start using Hardware Asset Management you need a service Mark instance and when you have a service now instance that is itsm platform you will get a base Asset Management with it when this Asset Management plugin provides you the classes the base classes it provides you the table so on which people are doing customizing so so far and then it provide you while receiving the mobile receiving capabilities is where you can receive the asset from your mobile devices and then another plugin you need is a procurement plugin the procurement plugin provides you about the purchase order sourcing catalog this is the best equipment what we there is another equipment model which is coming up and that is workspace based and that is a different and that's the lesson one and then performance analytic plugin provides you is required for the dashboard the hardware dashboard the asset dashboards and another plugin is Hardware model normalization which is one of the key features we'll discuss in today's webinar also go deep into it and this is for doing the normalization standardization of the model so once you have this base plugins you are ready to do anything with asset and then comes the hardware Asset Management which is built over the base asset management and it is a store app so when it comes the store app the store app you need to do high request the high request will go to over sales or account team the other thing you can connect with the Alliance manager the partner or you can connect with the sales account guy and request it they can provide you the hardware Asset Management store apps and you can once you install the latest one you get access to all the latest workflows the features we are adding over the base Asset Management the new classes new tables the flows and new contract management so on got it got it so that that that's a really key distinction I think and then I just want to resurface it so the the plugins are the fundamental piece that gives you the base asset capabilities right anything that is asset management in particular but it's the the next step or the next level actually getting that store app which is actually going to enable you to do a lot more than just base asset right it's going to give you what we call Ham the lot the life cycle information the automations behind those and and everything else that we're building on top of him from a from a product and feature perspective and I just want to call something out here so this chart here is just showing these are the steps that need to be enabled for ham Pro to be successful and working so um you know we have to ensure that the plugins are enabled um we're assuming that this is for someone who is already a ham customer but before we can you know graduate to using ham we need to make sure that these Base building blocks are on and running and enabled um so I just want to make that clear because I see some confusion in chat so I just wanted to clear that up oh thanks Mike thank you so so now that you have ham let's just say are you ready to just start using it um it sounds like there's a configuration component can we dive in on that a little bit some some more yes so if you are an expert you can start using and do the customization but we need to do the implementation so to use all the hardware Asset Management capabilities new features we are providing and one of them you start with the resource category opt-in so when I say resource category opt-in we have given an option where you can select whether I want to obtain for the hardware servers or whatever the category because you are charged based on the category you are opted and then I will come to the next step what you have obtained how you will use it now another component is content service setup the content Service setup is we provide Hardware on model normalization and for that you need a data where there is kind of the information about the content like life cycle dates about the standard manufacturers started end of sales date so on for that you you need to go to the servicenow hardware Asset Management content service and you need to opt in for it once you open you will get weekly update about the latest content and once you opt-in and the resource category what you have obtained you will get the content only for those opt-in categories okay got it and the third point is as the hardware asset management is built over the base asset management and the same asset is used in the cmdb in the configuration for maintenance from ticket incident so you need to if you want to sync this data between the hardware asset management and the cmdb the configuration then you need to enable those flags so whatever the action you are doing here in the hardware asset management will get synced with the cmdb and what is happening in the ID SM world will get Sync here and asset lifecycle workflow are built over using a servicenow flow designer and for you to start using it and to customize based on your process you need to enable that and the fifth thing is all of this many of these workflows are Tigard or started from the catalog item and they are plugged in under the asset lifecycle by default we have not activated acid life cycle when you go to the catalog and you go to the settings you have to select the asset life cycles and add it to your catalog menu item so once you add it you open it you will be able to see the various workflows like Hardware asset refresh loan or asset reclaim asset RMS so on so these are the basic Five Steps From the configuration the basic step may take you 30 to 40 minutes or one hour but depending on your data depending on your asset depending on their classes it may take a longer time this is the full fourth step comes as the normalization so if you have opted for the normalization and for the content services we provide that Hardware content downloads so first time download will take about one or two days because it has to get all the data for the models which are in in your instance so which will take from one day to two days but weekly sync up will be faster and then Hardware model normalization is basically when you create a new model or you normalize the old model it will standardize your information about the model with the standard information what we have from the various data sources so these are the four step once you do your implemented and you are ready to use and play with any of the hardware Asset Management features workflow capabilities that's great that's great thank you for the throw explanation of it I really appreciate that so just a quick question and then I'll jump over to uh questions I just want to add one more thing under Safe Harbor that we are coming with the ham guided setup using that guided setup feature it will automate all of these four features for four step in the single page or in the single a portal or single dashboard which will show you that are you done or not done and you can skip it so it is much more easier for any anybody new to Hardware asset management or service now platform to configure and start using Hardware Asset Management got it got it all right so so these steps today um is something you would have to do yourself but in the future there's going to be an automated setup to help you actually achieve those configuration points and let you know if there's any gaps in your configuration that's that's awesome that's great okay let's see if there's any questions from the field here so there have been a couple that popped up um Patrick but uh I do want to call out so there's a cmdb um function called field normalization that allows you to literally pick any field and create a business rule to create a normalization for it and a lot of organizations have used this as a bdna substitute in the past where they've built their own mappings this will break our normalization and one of the first things that in in during the implementation you would do is you'd want to disable field normalization for the manufacturer field and for the model information now most of our normalization I don't want to go too far into the weeds is stored in a separate table so we're not actually updating or writing to the company table but these data certification tasks will be that's part of field mineralization so it'll essentially take a normalized manufacturer and and rewrite it and it'll go through this and and once that's been done it won't be normalized again um so that's something to call out here um that's that that's definitely uh you can use it in other fields just not for manufacturer part number or model number great and the guided setup will be available in the Tokyo release just in a couple months yeah excellent I did see um a question come in uh just now from Timothy uh he was asking um when will the setup be available it sounds very similar to service graph connector guided setup so can you touch on that Michael yeah that was the the answer so it'll be available in Tokyo in the upcoming um the next release perfect and uh the last question I'll bring up here it's in chat um and feel free everybody post those questions if they're real if they're comments and you love what we're talking about you can you can post those there in chat but do questions in the Q a uh tab if you would um but yeah it looks like uh Lewis asked this question about APM data and Michael you can read it there but basically we're looking at without him Pro and Sam Pro and you don't have all that rich content coming in it you can't use the APM functionality the same way right because it relies on that life cycle data is that right so you can still use it you would just be responsible for curating and creating your own you'd have to put your own life cycle dates in um rather than the content service that comes and and someone else we have a lot of experience with customer Commerce that have moved from flexera to servicenow it's no matter what the data source is it'll go through our normalization engine and get normalized the nice thing that we find with our customers is they've had to care about having the data whether it's manufacturer part number modeling to have at least the data there to be normalized so they tend to have more success than customers that have never used a Model Management solution yeah that's right and I think you already kind of spoke to that question that just came up there um uh right there in the chat Michael yep yep so we should be good yeah so there's any follow-up questions you can add them to the Q a we will have more q a throughout which which will be great so keep the questions coming we like all the interaction this is a very active group so um if there's not any other questions open here I don't see let's let's get into some of the details and and Victor I'll let you uh ask some of your questions here on this topic yeah I appreciate that so love the questions keep them coming Harvard normalization is our next topic and the content service so we started answering some of those questions and Mike you made it an allusion here to how data's coming in so maybe you can talk to us about how ham is working and then emphasize a little bit on the content service absolutely so one of the challenges all organizations face is um there's a lot of doors that data can enter the organization through right we have our Discovery tool we have other agents that may be integrated with service graph connectors going through the C MDB so you could be pulling in data from SCCM so it could be coming in in all caps you could have data coming in from Jam titanium solarwinds whatever integration Hub connections you guys have put together or service craft connections that are in place we've got data streaming in and oftentimes that can be unique to whoever configured it on that end so the the admin for fccm may have their own rules for data probably and and so when all these data points come in sometimes you have inconsistencies right and one of the things I alluded to is you know sometimes one data source will be in all capital letters maybe it's capturing um Hewitt Packard and another data source that's just coming in as HP and then the third procurement system may be coming in as Hewlett Packard Industries or so on and so forth so what we do is we take all that data and it goes through our content service so whether it's coming in from Discovery from a procurement tool if you're using Advanced shipping notices that's coming from the vendors or you're doing an integration with the vendor or maybe you're using spreadsheets or bringing data in from a if you're moving from one system into service now what we tend to find too is often with Asset Management it can often be siled so you could have one organization using the DCIM tool for their data center equipment and and NASA management tool for their end user equipment and then a mobile device management tool for their mobile devices so when we bring all these data points in together you're going to have a lot of inconsistencies so once it goes into the normalization engine we bounce up the uh the model number the the model name and the manufacturer against our content service our Content Library and and I'll and I'll talk in a minute on how the content service is created um and curated but for now um we have a you know millions and millions of models mapped um and uh it's all based on really what's being used by our customers and their environment so by doing this we're going to end up with a clean manufacturer name we're going to end up with a product name and a model name because you know an example here is we've got the MacBook Pro 15 inch um there could be 100 different model numbers for that MacBook Pro 15-ish they could vary by region you know I mean different countries have different power cords so you want to make sure from a reporting standpoint you have a clean entry but you also want to be sure you have the the specific model number as well we also by doing this we also can provide the the manufacturers published lifecycle dates now what's that mean so in some cases when a vendor puts out a model they'll say this goes General availability on August 1st you'll be able to start buying these and we're going to stop selling them August 1st in three years and we're going to stop supporting them on August 1st and four years so on and so forth sometimes they don't have all the dates and that gets updated and it gets curated and updated down the road so that being said all this information will strengthen your asset Repository it'll help give better information at the fingertips of people that are making decisions whether it's to replace an asset if I'm doing a break fix and I can see that this laptop's going end of support in a month why not just give them a newer model why not support me and I'll swap it out for one I'm going to have to swap out soon anyway if I can see that a server is going end of life in a year I can start planning my tech refresh cycle if I'm using um SPM um you know portfolio management I can I can look at my service and I can see all the hardware and software and I can use these lifecycle dates to make sure that service is healthy and that it'll be available for everyone and and from a security standpoint I can ensure that I'm not going to be at risk of any compliance or vulnerability issues by maintaining Hardware that's currently healthy and and it's supposed to be used and it's not past its useful life because often when when an asset's no longer being supported or passed its useful life you're not getting patches you're not getting the latest updates so you can have a lot of issues down the road so uh if we can flip to the next slide I'm going to kind of talk about how the content service Works um so we have a Content Services team that is curating and constantly adding new models to the Content Library as a customer once you've opted in you will get an update every couple weeks of all the new model information okay one thing to be clear about is we hear this a lot customers will turn on the stuff that was just speaking to they'll they'll turn on hand Pro they'll fire up all the plugins they'll opt into the resource categories and then they'll run and look at their normalization and they'll be at zero percent well it takes a minute right it may take a day or two for things to settle in for all those millions of model mappings to be loaded into your environment so you have to be a little bit patient it will come and there's business rules that need to run to normalize your data so once that happens then it'll get caught up um so if you do have models that are not normalized there could be a few different reasons right maybe you're missing manufacturer information or model information you're missing some of the data that's required for the normalization to run we need to have that data there we can't normalize a blank field so maybe a you know maybe a PO came in that was missing a model or part number maybe it had a manufacturer name and it had a vendor SKU number not the actual model number but the vendor that says CDW puts in a part number but it's not the actual manufacturer part number well we don't normalize against skew numbers we actually use the actual part numbers um so any unrecognized model information gets anonymously sent to our content team and they build a file that contains all the synonymous data and that's what they use for their next um their next content that they create so if we have a bunch of customers sending over a server that maybe new that we didn't know about that our content team will go in there and they will create that they use a handful of verified resources to create the data and like I said before the life cycle dates are all published by the vendor we don't use third party dates we don't um guess the date we only use validated and verified manufacturer dates so as that new content is updated and created and curated and validated and it shifts back in your next release so it's a constant cycle for improvement so sometimes it may take a few weeks for things to get fully normalized depending on what your data quality is like um but for the most part it fires right up nice so so the main one of the other Main benefits of opting in to the content service if I got that right was that you're actually giving your Anonymous data and I'll highlight that again Anonymous data that is not normalized into the content service so that it can come back in a normalized state and so that others can also benefit from having a normalized enhanced normalized uh estate yeah absolutely all right so let's let's jump into the next slide here just to give a an impression an idea on how much we've been actually investing in um in the content service it's continuously growing uh Patrick why don't you highlight that for us yeah when we first launched Hardware Asset Management um again it was just when we had we had just um brought into the market uh the product and in 2020 you've seen a significant investment that dark green bar there just growing a lot over time uh where we've got uh I think today maybe even more than two million unique Hardware models and a massive amount of life cycle data 1.6 million life cycle dates and uh and Mike maybe you could just also just chime in uh where do we get uh get this life cycle data I think it's important for customers to know that like the the source of it um because it's it's solid data yeah yeah so to that point we only get it so if it's a Dell server we validate from Dell those published dates so our content team for every model that's in our catalog will have searched you know that manufacturer for that published information not the resellers because resellers will often have different Cycles as the vendor will another thing I want to point out too is we don't do life cycle dates for consumables um so we you know our percentage is never going to be 100 of our models have life cycle dates because we have like keyboards and those don't really have you know support or you know that kind of you know just don't do that but we do want to know for organizations as well yeah and you're right a lot of a lot of companies their perspective on consumables is because of the low value there's not as much there's not as much of a life cycle they're trying to manage on that and turn that keyboard over 10 times um so that that makes it a lot of sense but I just wanted to illustrate here just a massive amount of growth um over time and and we're continuing not only are we adding more data sources and and researching this data but customers are also helping to round us out on kind of those edge cases where they're they're seeing um you know maybe unique models in their environment that we get to bring in and then last last thing just to mention here is that the Enterprise Asset Management product coming online there's a an even a bigger amount of data that we're going to be bringing in because it's such a wide range of models that to cover in that that those asset classes as well so yeah I think this is a good summary um I'll give it back to you Victor I appreciate that um maybe Mike what one one thing I'd like to do is kind of get into the product but before we do that could you kind of set the stage on how Hardware normalization works and then lit I'll ask you to maybe show us uh briefly uh in in the product how that actually operates sure so like I said before no matter how the data is coming in when it hits our normalization engine that it's looking for three items right we need we need to know who made it we need to know the model number and what the product name is if we have those three pieces of information in most cases we're going to have a normalized value for that if you're missing one of those pieces we may show a partially normalized result now one of the things I want to point out and I'm kind of looking at the Q a as well um Ken had a question about you know stuff that already exists if a models went through normalization already every time that gets discovered going forward it will be normalized after so once it's it's come up once if discovery keeps coming back with the same non-normalized result you won't even see it it'll hit the it'll hit your you know it's instant it will hit it instantly um so as the data comes in um as long as we have those three items it'll it'll populate and just to call out it's not going to um and there was another question around and Jennifer had a question around if you have a different naming convention for something it's not going to change the current name you could mention well it's going to show you here in a second there's going to be a separate area that you'll be able to report off of it'll be normalized manufacturers so we're not actually going in and updating the company table because there's it's a core table that a lot of other applications use we're going to have a normalized manufacturer table that you can use as a display value and you could report against um I hope that makes some sense yes in other words you're retaining the raw data but you're displaying The normalized View and you can build reports and do what you need to in ham through the the display name but you still retain the authentic original data source yep great we have a couple other questions do you guys want to before we move on to the demo just so we can kind of to knock these out or do you want to wait to where yeah I have to go here so let me just um perhaps I can just go to the one uh from Scott he says it's important that Partners you stand up uh customers teach them how to invoke the Content Library download rather than taking the stance of just waiting and waiting up to a week so what what are your um what would you say on that from a product perspective uh Michael but that's one of the reasons why we created the the guided setup um you know normally um you know we've so you know part of the previous section we've talked about documentation and stuff like that you're absolutely right I will never tell you that when you turn it on it's automatically going to work there's rules that need to run that you need to turn on and that's going to be part of our guided setup going forward in Tokyo but for today we've shown you where to find the documentation um you know you can do the training you can look on the forums and you can also look at the product docs to see what needs to go in place like I said you know we're talking two million models that's a long download that's why we do it in the evening um and like I said it takes you know it could take up to a week if you have you know a few hundred thousand models so absolutely yeah that's great um and I think um the other some of the other questions we can get to in just a second so we'll get to it um but let's let's go and do the demo and then we'll go and get to the rest of the Q a at that time okay cool Lynette over to you to kind of show us a little bit of how does this work are you able to see my screen we see it so I'm sharing one of the service now instance once you go to the servicenow instance you go to the workspace and I will throw it on the workspace you click on the hardware asset workspace and under that we have the Model Management as Mike pointed out we have an important action where you can show that missing model number or missing useful life or missing name on the manufacturer whatever the recorder you click here you would be able to see those records and you can take action accordingly and then we have a reports so you can see that normalization Matrix it shows that total 165 models are available on this instance out of which 154 are normalized and 11 are not normalized if I click on the data it will show you show me the list of the models which are normalized and let's select one of the model so think fat p490 is one of the model which has been normalized and when we go here we can go to the normalization section and we can see the normalized status which shows us normalized as part of the normalized we have one thing I want to bring before I go to the hardware model life cycle we have a revert normalization whatever normalization is basically what you have normalized you can revert it back and then it will deactivate the rule also next time when the same is happening all the content download is happening it will act only on the activity rules I see so now when when you have normalized it will have a hardware model life cycle what model might describe so end of the life cycle will tell you about what is the start date and what is the end date of this particular model and similarly General availability will tell you about how many years this data this model is available for the start date till the end date all of these data are synchronized through the standard once you opted into our content services so this this data now now you have all of these data what is the importance for me if you look from you it basically try to make sure that your compliance and you plan your picturement or inventory better and you make sure that you are not maintaining it much more the model which has expired now let's go back to the model management and try to create one model so once we are on the Model Model Management we have added uh new button so here we have added the one which you are using more frequently so user from this single dashboard you can go anywhere what is required for the Model Management let's click on this and then you can see we have various kind of models which are supported in the service now platform and then let's select the hardware because today we are discussing about the hardware Asset Management let me select the Dell as the manufacturer and give the name as power h and then give the model number as r420 and category as server so you can see once I have created there and movement I I do click on the save the display name which is blank right now it will get normalized and you will see the data as normalization and we'll let I just want to point out because we actually have a question about this should happen in real time this is happening in real time as he's creating this model if you scroll down you can see it just normalized right here um as that model was created and this is from a manual creation or if it could be created from a new discovery as well I will do it here here itself like it is 165 and now I will refresh in front of you and you can see 166 one more model is normal let's say it was 154 now we have 155 and if I go on the normalize and search for this model and I type for r423 you can see here this now this marginalized where you can see the normalized and then you can see that Hardware model life cycles are added here one more thing I want to add that we we have a better together with application management portfolio which I do not have on this instance when when you go to the from the application portfolio management when you go to the technology portfolio management you can you can see the alerts you can see the alerts which can show you the red color mean that some something is expiring or end of life is coming so you can do better planning of your asset inventory and procurement and you can take much of the risk decisions back to you Victor I appreciate that Lilith so so um the other thing that I think uh is is uh important to note if not all of your models are normalized uh maybe you have partially normalized maybe have manually normalized those that are partially normalized or or just not normalized those are the ones that you can actually take some time as a leading practices with your organization to go through and and work on normalizing those while you're also workflowing the uh you know everything else that is normalized I think that's a good balance of of work there and then the APM slide that you just showed us there and yeah you're right that's a Better Together story where you can benefit from from using two uh two applications at once the life cycle feeding the APM and you know one of the things that I want to call out here is is there are a lot of tools that will do normalization right that you could do Integrations with whatever estimated tool you're using what makes this unique is this is built in the servicenow platform so one of the things that Victor just called out is yes this will benefit APM it'll also benefit incident risk management audits all kinds of other areas within the platform as well somebody asked the question about a strategy of how you move from Flex or to service now stop paying for flexera that's that's it um and and you turn on the normalization and it's going to give you the same quality and quantity of data that you're getting now but with one less license to put to have to re-up and pay for each year and plus it's giving you all that life cycle day into a platform that can process it and do a lot of other things with it so you know and I know Louie Louie had made a mention about um you know about APM is this is the the foundational stuff here that APM can run with normally in previous you know without the normal normalized data you have to create your own your data and you can by any means create your own life cycle days you can create customized cycle dates if the manufacturer hasn't posted it yet we have the ability to put useful life on a Model record so if you want to track it to your own organizational um and there are even uh what I'll add there is there's even a couple of partners that are specializing in moving customers from flexera and that data model to servicenow and so reach out to us if you have questions we can tell you a little bit more about those offerings so if you're in that boat and you're wondering how do I get over there then that would be the recommended plan if you're a partner and you're trying to figure out how to better do this obviously it takes just more times at that and perhaps you can team up with others that have but uh yeah there are if you're a customer asking that question there are partners that specialize in moving and migrating because there's so many customers we're seeing um and so obviously we're biased when we say that but uh let's keep moving on to the next question there's a question from Scott about the status of that new make and model number so is there any he says do you know if that status is being used by Discovery at CCM Jam is that something you know about Michael I'm not quite sure that I I understand the the question on that so yeah maybe we could take it off right to us we can happy to go deeper on that she's totally fine um maybe we go to the next one um from uh from Brigham here he's asking normalized Hardware model does not include the manufacturer name in it anymore um so I don't know if there's any way to describe a little bit about why or what what he's experiencing there so so we have the model field is just the so the normalized hardware model it would just be the model and then we have another field for manufacturer you may be referring to the display name which the look was showing um and it can concatenate the the fields you can also set that to to display however you want it to display yeah so yeah display name contains both manufacturer name the model name and model category and model number yeah and I think okay and the last question we have we have here um was just another one just to follow up on on the ATM and Technology portfolio um and so he just he just says um again um on the vertical Discovery versus horizontal uh Discovery but vertical automatically Associates the models you might be getting a little bit into the weeds of of a good question for that product team because we don't own that application uh portfolio management offering but um but we do know that without ham and Sam content you would be manually populating that data so in terms of automatically associated with the models that'd be a great question for for that Team Lewis okay uh and I think we've got okay great thanks Louis so it's like I see all these got another one here a bundling items questions during the fundamentals training I was shown how to do the bundling if I have an asset in a bundle that needs to be sent for repair or pulled out of the bundle and replaced with a new item of the same asset is that possible um so just do good clarification question on asset bundling here so yeah I can take that one so we have an RMA workflow that could address that asset once that asset's been removed from the bundle we wouldn't send the whole bundle through the RMA process but you the whole point of the bundle process is for basically if there's a broken piece to pull that piece out plug a new model the new asset in same model and take that defective one can go right into the RMA process and we have a workflow for that that was part of our um part of our roam released yes we support bundle in Arabic okay great I think we've uh answered answered questions here there's any other ones from the final minutes here um you can post them we'll see if we can answer them via chat but I think at this stage we're going to go ahead and uh Victor I'll hand it back over to you to kind of wrap it up for us I appreciate that so if you liked what we talked about today and you wanted more information we do have some resources um white paper and user guides as well as some helpful trainings on the white paper and user guide side um there is a automating hardware Asset Management with workflow so we talked a little bit about workflows today not not entirely much but this is a good piece of information to kind of help you understand how that works and in fact in the near future we're going to have another one of these Live Events where we're actually going to demonstrate and work through some of the different workflows um that we have with respect to our life cycle uh if you want to see how we're using Hardware Asset Management because we are drinking our own champagne uh you know there's also a work paper here that talks about hard reset management how we're using it to streamline automate our item process and then on the training side just to re-highlight what Mike showed us fundamentals the simulator where you can get your hands on the tool and then as well as the Delta trainings those are crucial those are very important you've taken fundamentals great but you want to stay abreast with what's happening and what's new that's a great place to start and finally the last thing I'll say is the item Community is a great source to start anything um with respect to your your ham Journey so if you're new uh you probably probably have received this through an email campaign um or if you're already an existing customer uh and you haven't accessed this yet be sure to do so through the item Community we have a
