right hey good morning good evening everyone this is namita mishra and welcome to our office hour number 53. this is basically for the ppm financials the new features that we have done in the san diego release so today i will be sharing the new features of san diego in terms of the ppm financials but in addition to that i will also share with you what are our plans you know beyond san diego be it a store release or the tokyo release uh what we can do right so that is all i am going to share with you okay so let me quickly share my screen and let me know if you are able to see this sharing this yep we can see it thank you okay so basically our main theme while we were doing ppm financials in san diego was not to introduce any new feature but we are working towards you know to to make sure that there are no chance of data discrepancy because today before santiago release we were seeing so many customer cases support cases where people are getting some data in the grids and different data in the widgets and they were kind of logging the support cases so we wanted to annoy amira can i ask a question real fast yes please is this is this not the resource management one no resource management one was happened last month i conducted okay because the uh the so what when we registered it when you clicked on the resource management one to register it told us it was this oh that's not right this one is for the ppm financials okay well we will so we'll stay on um but i don't know that it'll be as relevant to us oh but thanks for um yeah and you know what i will share with you the link of the resource management that i have done last month okay thank you sure sure it is there on the community side but if you don't find it uh it would be a good thing for me to share with you after the call okay okay so let me move ahead with this um what we have done so theme as i shared with you so in today's thing uh agenda i'm going to cover with you that what were those main pain points that we have removed in the san diego or handled in the san diego the first one was basically we were seeing the actuals posted with no associated cost plans was resulting in the discrepancy of data second because the cost plan breakdowns were not read-only there were data discrepancies so we have made them now the read-only and i'll share what fields we have done that and the last but not the least we have now introduced the project diagnostics for duplicate task type breakdowns of planned cost budget and actuals because this was another area where most of the customer support cases were coming so to start with let me um share with you that uh you know cost plan breakdowns um sorry not this one the other one give me a second here right so the first one is that actuals when they are posted without give me a second um one quick second i think there is some problem here but no worries i'll handle it very quickly so basically the first one which i wanted to cover here is actuals posted with no cosplay so what was the kind of you know the problem there the pain point was that whenever as a user someone post the actuals but do not associate any cost plan there is the actuals roll up to the demand and the project actual cost but these actuals are not getting you know accumulated to the cost plans grade as a result of which you will see that there is a discrepancy between what you see as a demand or project actual cost and the cost plans actually you know the total of the cost plan actually and hence the customers were creating the support cases with us so we're all there are different uis basically where you see this discrepancy the first one as i'm saying suppose this is your total actual cost you know and these are your cost plans if you say this is around 14 something right whereas the actual cost on the project financials you see is somewhere around 65k now customers get confused they say when here it is around 14 plus why is it here 65k right and the whole idea or the reason behind this discrepancy is because some of the cost plans they do not have you know uh the associate expense lines they do not have the association with the cost plan hence this discrepancy was coming in this ui there are other uis as well so for example there is another ui which is you know the project financial script now as you can again see because of that same reason you see the widget with with the different actual cost and you see the grid total as a different actual cost again this leads to the confusion and third ui where we see this you know the problem is around the investment portal again the widget shows a different value and the grid shows a different value and with all these ui showing different values people get confused that why it is not showing the same value so what we have done as a solution for this problem we have said that okay if system is generating uh you know expense line without cost plan or maybe user is creating an expense line not associating it with any of the cost plans you know what we have done is that we are now creating automatically a cost plan based on the type of the expense line that is being posted so for example if you are using uh you know the capex type or the opex type depending upon that we are creating automatically creating a cost plan and the name of the cost plan you can very easily find out because it would be your project number and then the work there will be a symptom saying that system generated cost plan capacs or the system generated cost plan operates depending upon which type of you know expense line that you are creating so whenever user enters the expense line or system generates the expense line but there is no association of the cost plan then those expense line will automatically be associated with one of these two this is the system generated one right hence there will be no discrepancy now going forward on all these screens whether it is the investment total financials whether it is the project financials everywhere you will see the same data on the widget as well as on the grid so this was the first thing that we have done in the san diego any questions on this one before i move forward no no cool okay then the second one that i'm going to share here with you is basically on the cost plan breakdowns which are you know um how we have made the actuals and the task cost plan breakdowns read only so let me share that with you so coming up so basically what we have done here is that the pain point that we have seen in this case is that before san diego release the users were going directly to the cost plan breakdowns and they were updating you know the actual values directly from the breakdowns now what's the problem there the problem is that when you make this kind of change this does not add up to the project total actuals because project total actuals is calculated from the expense line and when you are making these changes in the breakdowns these actuals they add up to the cost plan totals actuals so now there is a discrepancy between what you see in the you know the cost plan total actuals and the uh the project total so again this was misleading so many customers they were not realizing that they are doing this mistake right similarly on the task type first plan breakdowns also uh they are system generated cost plan aggregates basically which are per fiscal periods per cost type and basically users should not be making these changes but because those were editable users were unknowingly going and editing these fields which was again resulting in the data discrepancy so what we have done is that now as you can see in my next screen we have made this actuals breakdown as read only which means now user can not enter any value directly using the cost plan breakdowns right so now maybe the question must be coming to your mind that if what if i have added a wrong value what if i want to enter some value or more to supply some value and if that is the case the ideal way to enter or modify the actuals is not by making changes in the cost plan breakdowns but actually they should be done using the expense line so if you want to enter or modify the actual actuals it is always advised to to create an expense line and do that now what if you have already created an expense line but with the wrong value you want to update that well still you have to create a expense line because whatever has been posted cannot be changed but for example you have created an expense line say for 300 dollars but you realize it has to be say for two hundred dollars then create a next expense line with minus hundred i mean with the delta amount in this case minus hundred and it will be taken care so that is the best way uh you know for entering the or modifying the actuals in the system uh so tell me one thing are like you using the anyone using the project financials here ppm financials and are you seeing this kind of discrepancies like i said earlier we're not we we do a lot more with the project management resource management my position specifically doesn't do a lot with the um financial side of it okay okay okay sure so how do you manage the ppm financials if i may ask you because you you answered it well so um are you using excel sheet today or how do you do that no i think they're using service and they're using ppm but it's not specifically what i do it's a different team so oh i see sure so like we like when we create resource plans expense lines are created we do have cost plans and cost breakdowns but that's not specifically what i deal with i see nice thanks thanks for sharing yeah sure so that was on the second piece um and the third pinpoint uh the third area that we have handled let me share that with you is about the new diagnostic scripts for the project financials that we have shared now the first part of this is like we have given the diagnostic scripts in order to find the duplicate task type breakdowns for a couple of things like the plant cost the actuals the budget and the second kind of diagnostic script that we have provided is to identify the cost plan breakdowns with invalid fiscal periods so these are the two areas and basically again the value add with these new diagnostic scripts is just not finding out but also giving you a fixed script a fixed script is there once the problem is identified with this you can run the fixed script and it will take care of you know fixing the data and today users kind of create a support case for this but starting santiago we have provided this capability to the project manager persona not to the admin but the actual persona project manager who would be seeing these problems in his or her project so once they see this kind of discrepancy they can always go run the pro diagnostic scripts and then use the fixed scripts to fix the problem rather than you know waiting for admin or someone to create a case for them for the support case with the service now so that was the third area that we have covered uh and this is all on the ppm financials right but the next one that we have done is basically you know um so let me ask you one more question because you are responding are you also using the scrum or the safe he's in the world say that again the scrum or safe methodology or you are just using waterfall uh we're in the project of going from waterfall to agile great great okay yeah so this would be then useful for you and others also so basically in san diego release we have introduced the benefit plans for scrum and safe effects the whole idea here is if you see is that you know no matter which methodology you know an organization is using but basically our leadership they would like to see what is the benefit you know monetary as well as non-monetary that we are getting out of uh this particular investment it could be a project it could be a story or whatever it is or it could be an epic by the way right so because of that reason we have added the benefit plans so what we have done is here is as part of this feature we have added a new view which is the benefit view to the epics of scrum as well as a safe as a result of which now user can create both the monetary and the non-monetary benefit plans using the related list as you can see these two new related lists are added onto the epics of the type scrum and safe non-monetary benefit plans just to remind you what was added in the prior releases for the projects and now they are also being added here for the safe and scrum epics so and again the same same functionality functionality is not different between the epic monetary and non-monetary and the project is exactly the same functionality here and to enable this property or to enable this feature now we have added two new fields which is planned benefit and actual benefit so that you can at the end at any phase of the epic you can see how much you have planned and what is the actual benefit coming out of this africa so that was on the on the uh you know the financial side of the ppm scrum and safe that we have done in the in the san diego release and if there are no more questions what i would like to do is um i would like to share with you what we are planning beyond san diego in the ppm financials so let me share my screen here so plan beyond san diego is uh two things i'll share with you on this call one as you might be aware that we are releasing the features just not as part of the family release which are six monthly but also as the store apps which are you know coming every quarter right so the next one is planned for august uh 2022. uh the store release and in this we are enabling the investment owners to add others as co-owners for an investment what this means is this is very much particular to the investment funding investment funding capability today do not allow owner to you know give this capability to someone else to fund his or her uh you know investments or to edit them or to uh you know so this is becoming a problem because what if i am the owner of one of the investments which i'm funding but i have to go on a leave say for a month who would take care when i'm not there for that kind of reasons now we have provided this new field which is co-owner and this co-owner can basically do everything which a owner can do except deleting the um you know that particular top level investment or investment right so they can edit they can add others also as a co-owner and they can approve the funds or request the funds right so i would like to show you very quickly on my screen here as you can see okay i have to log in because it has this is coming up in august so this is the future capability which i'm showing you right now so i will log in i will impersonate as say um say paul martin paul martin and then i will show one of the investment which paul martin owns so let me go to the investment funding here and as you can see here this is showing you owned owned means that this is one of the things that paul martin owns here and as a result of which you see um he's also allowed to define some co-owners so he has defined he has allocated cj desai and abel tutor as the co-owner for his funds right so now if i go ahead and if i log in as c to the side i'll show you the difference and how cd this i will see this card right so let me go ahead and then personally let's see to this side a couple of differences i'll show you uh when cjdsi logs in and sees the investment funding so i am going to the investment funding again and as you can see this is the same card but now for cjd it is shown as co-owned because he is not an owner when he goes inside and suppose these were the funds which were asked when cd desai has given them so how do you know that whether it was approved by owner or co-owner when you view the details you can very much see that it was funded by cg design whereas for this one if you see you can see that it was funded by paul martin who's the owner right so basically at any given point in time though co-owner is funding your investment but you have a clear view that who has funded whether it was owner or co-owner except that co-owner is not allowed to delete he can do anything and everything which owner is allowed so any question on this upcoming feature from you okay no okay sure and if i go back and i'll show you one more functionality which we are planning for um the tokyo release which is after santiago so our releases are you know in an alphabetical order so after san diego which is right now ga our teams are working on tokyo base so now we have uh provided the financial metrics by fiscal periods so what was the pain point and why we have decided to do this so if you see today like until santiago when you go to the project financials tab every financial metrics that you see is in terms of the project duration if the project is of two years you will see the budget the planned cost the actual cost everything for to that whole duration for the two years right but what customers wanted to see was that okay two years is good enough but i would like to see how about how am i doing after the first quarter of the first year has completed or you know the four quarters have gone what is the actual what is the plan so they wanted to see the forecast based on the actual to date today to compare to what was planned so now we have made you know budget planned cost actual cost variance and also the eac and ptc available based on the fiscal period so as you can see now under the overview tab this is the same screen that we have today just under the overview tab now you will see these um metrics you see by fiscal period so in the fy 22 in my screenshot i am showing you that in the q1 say my plant cost was 42 000 right in fy 23 it was something different in q1 q2 now if someone is interested to see how in fy 22 q1 42 000 was coming they want to drill down they can always go ahead and see it by quarter again drilling down by quarter and they can see that s52 q1 in these months they have accumulated this much which is you know totaling to the 42 here so this is about you know how new metrics are getting calculated by quarters by months uh in order for a pm to to get a clear picture on what is done until a specific fiscal period and what they have to request more or they have enough budget or things like that right so this is coming up in the tokyo release as per the plan again this is all planned uh nothing is confirmed right now because things can change as we as we move further so yeah this was all about the financials um if there are no more questions or if you have any was not clear so i have not posted it but um but if you think you know that uh i can you if you just want to hear it i'll still go ahead and share that with you um yeah but we are working on the video
