[Music] [Applause] [Music] hey everyone it's justin thanks for watching in this video i want to talk to you about catalog builder if you've seen my other videos you know i'm a fan of flow designer and the reason i like flow designer is because it puts a workflow tool in the hands of non-technical people so you can be a non-technical person who's process oriented or business oriented and come in and do things that to have benefits in the platform through the use of workflows reusable workflows the same goes for catalog builder that's what i want to talk about today catalog builder is a guidance setup for your catalog items these are the things that are going to sit on a service portal or an employee portal or a place for people to go and request things and then follow a series of steps but before we do that we need to set up the information we need from those steps so before we jump into catalog builder itself i want to take a step back and look at two important things that make this possible and that is these sub flows so when you set up catalog builder in your environment you have an item base flow or item review base flow and then a item review before it's published flow these are templates you can copy them and you send a system property and what happens is these get called when somebody who's not an admin most the useful if they're on admin comes and submits a catalog item for publication so before it gets published it goes through some kind of approval process a review process to ensure it meets maybe your company's standards something like that so there's those two templates and they're in my favorite tool flow designer of course um but that's kind of the the piece that i think that's really important in exposing catalog builder to your organization or to specific teams and organizations if i were running an i.t company right now i'd say hey network tma application team hey database team go build your catalog items i don't need somebody a team centralized to go build that for you they've got other things they could do or be working on reporting and you know discovery stuff like that let the teams build their workflows they know their workflows they know their customers so they can come in here and they can start from scratch creating a new catalog item or they can you can set up some templates for them the templates may have a predefined workflow associated with it or they might have variables that are already set up so they don't have to invent them on their by themselves so the experience is they could come in they could see the existing catalog items that they have permission to see so here you see i've got some record producers i got some walk-up appointments and if i could this is all the demo environment if i come over here i've got some other request catalog items that people can submit and you'll see they've got a state on them of publish so if you've not seen catalog builder before there's a draft and there's a publish date for your catalog items and you may have seen the little banners when you're looking at maintain catalog items second thing that i have access to is the catalog item template so you can see here app engine studio there's two templates there and i got standard items and service catalog and i t issues right so let's open up the standard items in the service catalog this will give you a sense of what the how it breaks it down that guided way for your users to actually see this so we've got some template details we've got the basic information for the catalog item where is the catalog item going to live what catalogs is it going to be in what categories it's going to have associated with it what variables or questions are going to be asked to the person who submits the catalog item and then what are the settings when this is exposed in the portal who can actually see it who can request it what happens when it goes to is submitted does it follow a workflow from flow designer or the classic workflow engine and are there any overrides so do we want us you know that's actually new i don't remember seeing that before oh this always happens to me in the demo um that we can do that there so let's pretend you've delegated to the database team to create their own catalog items right let them go in there and build it so if they come in and they choose this create a catalog item from a template button it is going to walk them through the process they can choose to do a standard catalog item or a record producer like if it's an incident we'll just go with standard for now and click continue and then we'll see the different options we have here so here's the template name demo catalog item and then this is for the database team like i said earlier so we're gonna say that this is available for everybody like we're just gonna let anybody submit uh requests uh for um do i have it all employees uh all users who can access all users yeah we'll just we'll just pretend that that's all users right so we're going to put give all them access to this so they can do that i'm going to save that and now i've set that up and then i'd move through in a guided way the details what's the name of my catalog item a description if i want to attach an image or put a more detailed description here's where i set the catalogs here's where i build out the categories based on what catalogs i put in now i can go build my questions so you can even set collections there's question sets for them to choose from in their templates they don't have to reinvent the wheel every time they go build uh all their questions there's their portal settings there's the access and who can access it and here's the fulfillment workflow so we have flow designer or classic workflow there's the overrides that caught me off guard a second ago i hadn't seen those yet maybe that's something new to san diego i'll find out and then the review and submits they got a kind of review of exactly what they're submitting they submit it and then if you've defined that workflow i showed you earlier and configured that system property it'll go for the review or approval process that you have prescribed for the catalog items so this is really helpful in delegating and distributing the effort to build out a healthy robust catalog that people want to use that people find what they need in order to get the services the products the whatever it is from the teams that are you know running these catalog items are providing to the business or the organization i hope you found this video
