SPM San Diego Release Overview
hi i'm deborah mcgrath i'm a senior technical product marketing manager with servicenow and i'll be hosting the webinar where during the next 30 minutes thomas camacho and andrew fortin will provide an overview and demo of key new strategic portfolio management capabilities in our san diego release just to introduce them thomas is a senior principal outbound manager with our spm business unit and andrew is a senior solution consultant both of them are strategic portfolio management subject matter experts and as i've been saying spm and strategic portfolio management here you may have noticed that we changed our name from [Music] itbm to spm for strategic portfolio management to better reflect that we provide solutions for teams across the entire organization beyond just it but just like itbm spm gives organizations a much better way to develop implement and deliver on strategy so same great technology um just a new and improved name um so enough on that as always we'll save a few minutes at the end of our webinar for q a but please feel free to feel free to submit your questions during the webinar as well and while we're making every effort to discuss and show only features thanks uh thanks deborah uh uh so looking forward to this time with you all today uh so glad you took time to join us and we want to walk through some just some great uh features and enhanced enhancements that's made to our san diego release and just a quick highlight uh three things that we'll focus on this one is our alignment planner workspace which coming back to you for our version four we're going to talk about that we also also have a demo plan for you on this one and then our new project workspace something we built from the ground floor up uh talking about some of the new ux and we'll share that with you as well financial management as well some great enhancements and uh user experiences that we've enhanced on the financial management side of it and then we're also going to talk about these three other items our resource management we're going to talk about some additional filtering and functionality with that one our new goal management we'll share some new enhancements with that and then we'll be also kind of a tease digital portfolio management uh we have a planned series we'll talk about more in detail on this one so look forward to that it's an additional function that we'll share on what we're referring to is dpm so let's get into it um our brand new project workspace plan and i just want to point out a couple things one is you can see from the look of the screen this is built on that brand new uxl and by the way we call this the next experience and you're going to see that in the demo is what new ux new design changes will really enhance the product but in the project workspace which as i mentioned we built from the ground floor up some key things that we've really made and target on this one is as you can see that modernized look it is a great way to be able to plan your work to manage your team all from this brand new ux experience you can of course track and monitor your tasks and all those great functionality that you would expect to see like scheduling task drag and drop copy and paste all of that functionality built within this brand new design you're going to love it and we want to actually spend just a couple minutes demonstrating andrew let me turn over to you let you demo a little bit on this that sounds great so hi everyone um i'm andrew ford a solution consultant and today we'll be demoing the first session will be on the new project workspace and from here i want to introduce we're also noticing that we're in the san diego so we're seeing the new environment so i'm going to move from my workspaces and go right into that project workspace here just some highlights all around the next experience this is giving us a flexible way to visualize what's going on within our environment so if you're you're like me and you prefer to have the favorites on the left side we can easily pin that or keep them stored up in the tab area so that we have more real estate to work with when we join into the project workspace we're seeing a more vibrant area and this is going to be flexible in the aspect if we have access to directly our projects or we can see all projects and within this this is giving us that ability to quickly on the fly search by project name or even assignee so if i were to search for upgrade we can see all projects aligned to that or maybe i want to search for one of megan's projects specifically and so we can search for megan and we're seeing how quick the response time is as well let's jump into that example and we'll see the planning workspace we're seeing that new visual the vibrant area and i want to highlight some of the key areas a part of this next experience for the work project workspace quick link items so whether we need to do multiple items at a time so bulk item changes or quickly easily make changes to these items along with that drag and drop these items up and down on the board too so we can move them up in our different areas as well talking about dependencies ease of use here so we can search i made this very simple names with task one task two and we can select them or i can search for them but on the fly being able to easily have those dependencies on these items as well sorry i selected the wrong setup here additionally within this we're able to see we have on on-the-fly abilities to personalize and organize this whether that is for the columns area or the timeline being able to highlight critical path information along those lines we also have the ability to have more than one baseline now so we can leverage two baselines within a project other areas to highlight is the activity and being able to collaborate as a team member so we can organize and share information whether that's an attachment or simply keeping up with what's going on with these get different items as well thomas i'm going to pass it back to you thanks thanks adrian i hope you hope you enjoyed that uh there's so much more to come on that uh in some great content that we're providing you all after after this series so let's get into our next item that we're going to talk about um for those that are that no alignment plan workspace you're gonna see that we're continue to enhance this product if you've not touched alignment planner workplace uh we really strongly encourage you to take it take a dive into this you're gonna find the road mapping capability is unparalleled to to other uh competitive uh products that are out there so let me kind of talk about some great function that we've added in this one as for those are familiar with alignment planner workspace you've always been able to add milestones but those milestones were more at a road map perspective now we're giving you the capability to actually drill down into milestones related to that plan item so you can see whether it's a demand a project or epic you can begin to create and manage those milestones down to that level as well of course we're going to allow you to synchronize all of your additional projects and epics and demands and you can course relate that back into this dashboard that shows you cross methodology across how you're planning your work being able to visually see that in this board whether it's a save or even if you want to integrate ado we now have the ability to import epics directly from adio right into alignment planner workspace let's walk into just a little bit on our templates so if you're familiar with alignment planner workspace you do build out your hierarchy system which we do provide out-of-the-box templates to enable you to efficiently do this like the ppm template a hybrid template but in our san diego release we're actually introducing a brand new template that allows you to build out that safe structure which really saves you time as you know building out that that hierarchy and quickly get back to that alignment planner so you can begin seeing out your safe your safe work within the alignment planning workspace we're very excited about this and going to add some great functionality in the near future but let me turn it over to andrew and he's going to show you some of those new features within the apw that sounds great and so to bring us back with the alignment planner we've now this is our fourth version of alignment planner we're continuing to enhance that and so just to set the stage here um we do remember that we have flexible hierarchy so organizations can have different levels as many organizations plan at different levels focusing in at the lower level of a portfolio we have the ability to have more than one portfolio's roadmap at a given time so each group is working on their own roadmap and on the visualization side we're able to personalize and organize as might want to in this version here i have it set up as a parent project as well as the planning item types but what we're seeing customers time and time again is organized maybe by strategies or strategic goals so that we can see how their work is aligned as well that is also giving you the ability to how to color by each of these items i'm again doing this by planning item type for you to see the different work items we have in this example here which are projects demands as well as epics when we're talking about personalization we have the ability to add additional fields of information to each one of these bars that is representing the different items we have as well as along the lines of information around milestones or visualization so we can have milestones tied to the roadmap entirely which we'll see in just a moment we can have milestones tied to each of the items whether it's a project a demand or an epic as well as being able to visualize simply without any of the line items and just see the milestones themselves when we're talking about roadmap milestones these are high-level ways to organize that might not be dependent on a specific project or demand but organization-wide or portfolio-wide so we can have a visual maybe this is when planning starts or different aspects along those lines what we're representing here are milestones on a specific item and hovering over them to give us details or selecting into them would give us details as well what we have here is the details of this uh defined epic where we're capturing key information as well as milestones whether they're upcoming or have already been achieved going into an example of a upcoming milestone will capture information details around that this is also a great area to collaborate together have comments and share updates within these items as well as a team and the last thing i want to highlight here is the ability to add items on demand quickly and easily so whether that is a new epic a new project a new demand or adding a new milestone that can all be done from the alignment planner workspace thanks andrew uh we're so very excited about all the changes with environment conversion take time check it out it has some great features that's going to help your roadmap so let's get into a little bit with our resource management enhancements so those are familiar with our allocation workbench you could see on this resource management there's a couple things in a couple screens i'm actually going to walk through on this one uh just to kind of break down what are some of the enhancements we've done first one as you can see we've we continue to enhance our product really provide you an ease of use a better user experience we've done this provide really some additional date filtering capability as well as allowing you to do more advanced filtering and searching in which i'm going to show you a couple of these screens as well as kind of update your resource capacity those that that know previously before is capacity changes how can i quickly update my capacity in one click so i'm going to show a couple of these different screens just to kind of walk you through some of these changes so the first one is uh how do i synchronize kind of my viewports and so my synchronized my top of my allocation workbench to my bottom based on some level of date range so we now provide the ability to select and customize how you want to view that so maybe that's out a three week period as you can see six week or even a custom date range you can now select that date range uh however you want to view your data select it and it will both synchronize your top and your bottom to that date range for those that have very long dates let's say you're planning on an entire year or even cross year and you need to quickly jump to where that resource is maybe specifically on that date now you can quickly click on a button and jump right to that specific resource right to the date that you're wanting to work on which is that start date versus you know scrolling all the way across all of your given dates within that resource plan for those that have to schedule a resource and you need the ability to take those hours and spread those hours and we refer to this as a fill right fill those hours across multiple dates you now simply could just select fill right and how many sales do you want to fill against and how many hours should it be filled across that so just a very quick intuitive way to be able to fill out that same hours across all those given cells that you need to visually see that for that specific resource as i said before that advanced filter um for uh those that have a lot of resources on a plan being able to filter is really crucial and imperative so now we give the ability to do not just a simple we've always had the filtering where you can filter by by simple now we give you the advanced filter so maybe i want to filter by a roll or buy a group or even buy a skill now you have the ability to go in and advance filter out to display those resources by your selected filter just a quick way for you to be able to visually see the resources that you want to focus on as as we continue to enhance this configuration and visibility into our allocation workbench one of the items we've asked a lot is how can i go in quickly and look at what was all of my uh requested hours that was on a given resource so as you know there could be a lot of performance that could could take if i do that across every resource plan i load so optimize performance we now get ability just to simply add that column and now you can look at the requested hours for that given resource and since this is on demand you can course turn it on and off but it really does give you the ability to view that resource across not only the plan but now you can look at all the requested hours as well another item we've added just kind of that on demand functionality will continue enhancing the experience continue provide you the ability to to visualize that resource is the update capacity as you know as we begin to assign and there's multiple people assigning resources i need a quick way to be able to look at the capacity for that specific resource now right clicking click update capacity it looks at real time data to determine what the capacity is for that resource by one simple right click click now you can update your capacity quickly on those resources and last but not least on the resource management side of it uh for those long resource plans that have more than let's just say 50 resources uh we've we've heard your request but how do i quickly not have to load if i have 500 resources but how can i quickly look at resources and then load more as i want so by the pagination feature now we can add and load more resources on my resource plan versus having to just scroll forever now you can determine how many you want to load by just simply clicking get more it'll load the additional resources on this resource all right so let's talk about our financial management um as we continue to evolve financial management uh for uh for this particular release there's three things that we really want to focus on one is really there has been some misalignment between cost plans and your actual cost so we wanted to help those actual costs that come in but maybe there's not a cost plan associated to it so we're going to talk about what that means but now we can build and automatically generate those costs the additional one is when there is some duplicate task out there we want to be able to identify what those are and really show those by eliminating potentially some of the areas that really causes those duplicate tasks and being able to look at that across our plan cost budget and actions and some additional diagnostics to help identify that so let's break down into a couple of these enhancements into the detail so on this first one and rather than demoing this because it's a little bit harder to demo this we decided to kind of give you a visual illustration how this happens for let's say i create my cost plans and there's not been i mean actual i've created my actual cost in there and there was not a captured or a created cost phone well we know that the the prep the the issue that we have with that is that it doesn't link your costs and your actual cost because there's no cost plan well now we can schedule a job that will automatically create those cost plans associated to those actual costs so quickly align those when there wasn't some alignment with that and going to yeah the next one is actual costs within a cost plan as we want to secure and ensure that actual costs are not necessarily allowed to read only throughout our are edited only throughout our entire amendment environment we now provide the ability to uh to read only the specific fields so that users can't edit the actual cost in these fields so we are securing this to really prevent edit rights into those actual calls knowing those actual costs that could be imported they could be done by a different team and we don't want everyone to actually edit those and of course misalign our our actual costs to our cost so those are now in read-only and also on here is as we explained earlier kind of those orphans so to speak costs and actuals and here we actually allow you to to visually reconcile the orphan expenses and eliminate those cost plans that are not generated due to this actual cost so in here you can see those numbers are rolling up they're reconciled based on what they were supposed to be where there was some misalignment we're actually able to break that down and provide a summary of some of that orphan expenses that did occur before so let's quickly talk about the goals framework um this is a new introduction we're very excited about the goals framework and we're just introducing on this one will provide additional series that will break down the goals framework but just three things i want to point out this one is for those organizations that are building out strategic alignment to your goals and of course setting target those goals we now give you the ability to create those goals and target against those goals and we didn't just leave you in that we also now provide the ability to align those goals across your planning items so those organizations that want to align your work whether it's a demand an epic a project initiative you now can build your goals at a strategy level you can also align all of your work associated with those goals right from this brand new girls framework management alignment board we will continue to enhance this and look forward to this because as we continue to enhance the product you're going to see in some upcoming releases of how we're taking ghost framework and make it really relevant for you and your organization all right i'm going to turn both the chat window as well as the q a and um aaron has been answering some busy answering some but i just wanted to open it up thomas andrew and aaron um to to see which ones we have yet to answer um so i'm gonna turn it over let's see there are a couple i'm just gonna start with the questions that i see somebody heard somebody there i'm just going to start um i'll go to the last question first is the goals framework exclusive to professional or is it going to be in standard and i'm not sure if we have the aaron do you happen to know the answer to that or i'm not even sure i do debra um so for this the tables you'll get access in both professional and standard um there is some new exciting features that we're releasing around goals management that are coming out in the maze or release which will require professional so we will cover that in actually two webinars from now perfect thank you um there's this one question that for some reason i hit a wrong button or something good morning um this is my first view of service house project management software can projects be assigned a unique numeric id and the answer is absolutely yes so um we provide that typically with any task out of servicenow and project is a task as well so yes they um absolutely have unique id and you can even configure that to you know start with a certain um your own certain type of lettering or whatever but but the answer is absolutely yes so there are some capabilities around that um there outstanding questions aaron that you want to um get to as well or should i go back and bring up any of that i'll address a couple here so as far as the workspaces go um for the uh project workspace um that will come with the standard license um and that was addressing david's question there what was the question just for those um it was around just if the workspaces require standard or professional okay perfect um some of these and let's see we've got about oh we do have some minutes there is a question on is the alignment planner standard or pro offering uh from mike so i can answer it for aaron you can yeah i can answer that so let me actually switch over and we'll talk about the alignment planner workspace so there is two portions um out of the box standard portion does not include agile epics and the professional one does um that's part of the um uplift there so it's a yes and a yo uh yes and a no and then david i will highlight as well to your question do the workspace require pro license we have itsa unlimited so the alignment planner workspace is aligned to modern skews so you would need standard or pro as we answer to mike reeves however the san diego environment is um does not require the modern skew okay um let's see a couple others just in order to leverage devops we need to have spm professional i'm not positive about that i'm wondering if that's correct i'll have to double check on that some of the licensing questions will have to you know kind of get back is there a way to sever the link between alignment planner and the underlying demands projects etc so that changes in alignment planner does not modify the underlying demands and project ever i can answer that one the answer is absolutely yes you can sever those and control exactly what adjustments the adjustments on the alignment planner side and how those will affect your demands and projects you have full control over that um andrew here's a question that you might best answer is a demo workspace available um they wanted to be they're moving to servicenow project management and they want to be able to familiarize themselves how do our customers typically do that yeah so all current customers do have the ability to access all solutions within your non-prod environment so um you most likely have the nonprofit environment so you would simply go there and then you could reach out to your core rep and they'll get you up and running and what's also great is we can provide demo data for those solutions as well perfect see just kind of going back through here is their ability to resource by team with team capacity and availability or is the emphasis still on individuals maybe a huge maybe a future so i'll i'll take a stab at part of the stuff of that so um i'm sure you're probably talking about the resource module i know that within like our agile module absolutely you can look by team to see what the capacity of the overall team is um from the resource module perspective do we have that by group like say the analyst group um the overall capacity of the group i think the answer is yes i'm just uh yeah so deborah you you can there is some configuration with that um howard i know you have this question i think would be great uh maybe we would answer this maybe outside of this session because the answer is yes but i think it's about how you're configuring and using it um that could best answer that question but can you visit can you view your your team capacity you can and how you set it up most certainly we have focus on individual capacity as you know when you're just planning a specific resource but that could be a research a role as well so depending on how you configured it i'm going to say the answer is yes but i think maybe we could drill down a little bit further and how your you've got your environment configured exactly so we're right at the top at the half hour um and that's pretty much all the time we have but what i would like to say um first of all to my team is there any are there any other questions that you're you know dying to answer here and if we didn't get to your questions certainly posted in the community site and we can absolutely answer them there but um andrew thomas aaron anything else we want to cover i
