excited this is being recorded and uh will be available um on the community link which i will be providing in the chat in a moment do we have that title slide up yet um oh i'm not sharing i'm so sorry no problem that would help right yeah okay let's share something there we go nice slideshow good now all right so let's go i think we can go ahead and get started and all right let's go thank you lisa hello everyone and thank you for joining us today for our continuing last thursdays with itbn webinar series today we'll be highlighting new itbm features in the servicenow quebec release and my name is debra mcgrath i'm a senior technical product marketing manager with servicenow and joining me today is doug page who's a senior principal product manager for itvm and together we'll both be discussing and demoing our extending new itbm capabilities with quebec as well as discussing how those capabilities enable you to align your plans initiatives and work execution to your business strategies so you can achieve desired business outcomes following our demo we'll provide you with a list of resources about the quebec release and we'll wrap up with a few minutes for q a so doug i'm so glad to have you join us today i'm super happy to be here and before we actually jump into the features from quebec it's just good to look at the overall picture and sometimes not just focus on itbm but to really look at it and how it supports customers across the lifecycle from planning building operating and servicing the business applications and the products within an organization's environment and let's look now from a life cycle perspective on how we help create value for customers by aligning their investments to business value and this is really a a process that starts with planning endeavor if you want to yeah thank you uh it starts with planning around strategy so what is the strategy that we want as an organization and just as importantly what does success look like for that strategy what are the the actual metrics and goals that we have to be able to track those to know if we're succeeding and once we've established that strategy then we come into the alignment you could refer to this at the portfolio level and really it's important for servicenow to help uh people across any planning method as you see written here because there are organizations that are doing traditional doing agile we want to be able to support all those in the platform which is a key uh a key advantage of the servicenow platform and then we get down to the team level where we do execution and here again because we've been planning on different methodologies we need to be able to execute across those same methodologies and once we finish doing the execution we finalize this circle by measuring the outcomes what value did we deliver and we're going to bring that full circle and compare that to the objectives that we set up in our strategy and we really want to be able to do this as iteratively as possible so that we can do continuous planning within the organization and next let's look at some of the challenges that organizations have in doing this so if we come back to the business strategy sometimes we don't do as good of a job as we would like of communicating that strategy so that people understand how their work relates to that strategy and then sometimes we also don't do a great job of actually tracking that strategy and that leads us to kind of lose value as we go through this process then at the next level we're doing the alignment or the portfolio selection sometimes we have different planning methods as we refer to some people are doing traditional fiscal planning annual planning and at the same time we've got other individuals who are doing planning using agile or safe methodologies and because these aren't talking to each other we duplicate work we miss out on work that should be being done and and we lose value because of that as well and then finally when we get down to the team level we have a lack of common tools we have sometimes servicenow for doing some we might be in jira or ado we actually do work execution and conversational tools as well and when these are separated uh that causes challenges for organizations so if you think about it it's kind of like walking across a room with a bucket of water but there's holes in that bucket and by the time we get to the other side we've lost a lot of that water just like in this process we've started with a vision that would deliver a lot of value if we will to execute on it but as we go through this process we've lost a lot of that value and what we end up delivering is less than that the vision had promised so let's look at how we can support this so doug i love that analogy of walking across a room with a bucket of water and making sure you don't lose any of that and if there's one thing that makes it even more challenging is having to carry that bucket across the room and then having all sorts of changes pop up roadblocks and everything where you have to pivot and if there was anything in the year 2020 that was certainly the case so we focused our quebec release on being able to provide capabilities um that will be able to meet the challenges aligned with making sure you're aligned to strategy as well as executing in the easiest way possible and today's demo we're going to focus on these key areas roadmap planning scenario planning enhancements safe pi objectives ppm collaboration virtual agent for ppm grc advanced risk assessment with bpm and apm to grc integration um so let's take a look let's begin by taking a look at some of the capabilities aligned to being able to focus on strategy one of which is itabm provides an elegant new feature designed to help executives and stakeholders across the organization get clear visibility into their strategic initiatives so that everyone knows what the plan is um and because only when they know what the plan is are they do they know if they're working on the right things and that they're on right track to deliver so doug i'll turn it over to you to talk about roadmap planning thanks and roadmap planning is actually something that uh applies to two different areas here it applies within that strategic level it also applies within the elect that alignment level as well and in fact if you go to the servicenow store this is actually downloaded through something called the alignment planner workspace is where you will find this and that was available in the store as of february and really this is a top-down visual tool for doing uh planning so deborah we can jump right into the video and walk people through this so here you'll be able to see on the top right we can actually create a roadmap very easily we're going to give this a name we're also going to put in the dates that's the horizon that we want to plan for very importantly we want to be able to select the table that we want to plan on in this case we're going to plan on project and we're going to put in filters here because we may not want all of our projects to be visible and very importantly we can have stakeholders that we're going to collaborate on with this roadmap and then we can see here we've got various roadmaps we're actually going to click into here in the cio pmo roadmap all the work that's happening through it and we have a list of projects and we want to be able to create one just like you would in a whiteboard exercise add something to the board this is what you're doing here by adding a new item but we want to be able to add some context this so here we're going to group everything by strategy to say what work are we doing to support every strategy so that is gives us a good definition of what we're doing to support that to buy to provide even more context we're going to color code this by business unit to be able to see where different business units are contributing to these uh strategies within the organization and you can also see here we've added information to each bar we can hover over and see financial and other uh numeric information these bars as i said it's top down so you can drag and drop them you can shorten or lengthen these initiatives to really have that top down control and then you can drill in to see specific information about each one of these as well it also gives you access to unscheduled items attachments and importantly conversations where the team can collaborate on these roadmaps directly within a service now so doug this particular feature is one of the exciting features that our customers are really getting a lot of value out to be able to not only help them as you mentioned before make sure that they're aligned to that they're um i understand what their strategy is and they're aligning their initiatives to it but also making sure that um the teams are aligned to working on the right capabilities and in addition to that we have some other capabilities we're going to take a look next at three new capabilities that help the organization ensure their projects and products are optimally aligned to their business strategy and these include enhancements to make planning and project risk assessment and even audit engagements much easier yeah and one thing you know we've certainly seen in this area there has been a lot of upheaval during the pandemic organizations had to respond very quickly there's this great article from harvard business review development jilly that outlast the pandemic and it does talk about how organizations had to make uh decisions very quickly but what if they did ask executives is do you think your your decisions were worse because you had to make them really quickly and overwhelmingly the executive said no we think we made good decisions so that is kind of a challenge to us in the ppm and agile world to say how can we continue to have that level of enterprise agility rather than when this you know when we kind of go back to normal have all of our processes go back to normal and then take a lot of time to you know review business cases and things like this so that's kind of the challenge for us and let's talk about the features that will actually help with this great so to kick it off one of the key ones is scenario planning and this is an application that we actually introduced by the store last summer into last summer early fall um just a place where you can actually look at all your projects and demands in one place um create different scenarios based on your organizational objectives and easily select and approve the best one so let's take a look at not only the scenario planning but some of the enhancements we've made to this for this particular release so to begin administrators can now choose scenario planning scope and planning types planning scope and this enables them to do planning for just one portfolio at a time or for all portfolios across the enterprise combined they can also select either annual or flexible time frame planning and in this release organizations can do multi-year flexible planning using timelines that are not specific to a single fiscal year so demands and projects can now be selected for their entire duration and portfolio managers can engage in continuous planning using rolling planning periods of variable length once planning type and scope are selected portfolio managers can create targeted scenarios using new filters that can help them refine the list of demands and projects to be included the filter restricts which records appear in a list on the bubble chart the timeline and the resource views by providing a set of conditions each record must meet to be included in the list they can now also toggle selected items to view just the demands and projects that have been selected for execution or select unaligned items to view demands that have no strategy or goal associated with them it's now easy also to analyze a portfolio based on monthly or quarterly resource capacity or just look at the resource groups that have been over allocated and as selections are made the details for the scenario are automatically updated including total spend number of investments selected financial benefit unaligned projects over allocated groups as well as any actual spend from in-flight projects that you've deselected and wouldn't continue in this scenario and then finally if you choose the override button to confirm a scenario budget will automatically be allocated to the selected demands and projects in the scenario and you'll have the option to also automatically approve and convert selected demands to projects confirm resources for selected demands and projects and unconfirm resources for unselected investments and if the strategies happen to change or if any of the elements change or funding or resources change you simply re-plan as necessary as often as you need to so next we have our grc our better together story with grc so we're going to take a look at two capabilities first of all is the advanced risk assessment form with ppm and then the next capability will be the ability for audit engagement managers to actually use manage their engagements in the context of a project so let's take a look at that one so we'll start out managers and enterprise risk managers um looking at this new grc advanced risk assessment plus ppm app and the new app enables them to assess project risks using an advanced risk assessment form with the new risk overview table where they can calculate any inherent and residual project risks and once those risks have been assessed they can be viewed on this dashboard so the project manager begins by adding risks from a pre-existing library of risks and if he or she thinks it might be an enterprise risk they can easily elevate the risk to an enterprise risk team service can be converted using the redac workflow and then any existing workflow on ppm would continue as is all risks can be viewed by stakeholders across the organization and on the new risk dashboard um so that's we just saw how it makes it better for project managers now let's take a look and see how pbm makes things better for grc audit managers so the grc and ppm audit engagement apps makes it really easy for anyone undergoing an audit to manage the audit as a project for better audit execution experience and users can track resources cost plans and time cards on the audit engagement record and they can also view their audit engagements within programs or portfolios so this is ideal for customers who would like to manage audit engagements like a project with start and end dates resource management cost management and time cards and that's a brief look at that and we'll be discussing these two integrations in much more detail in our very next last thursday's webinar on thursday april 29th along with the apm plus pr grc integration that doug is going to highlight in a few minutes but join us then where we'll do actually a deeper dive into those three applications okay so finally um we're going to take a look at several new itbm capabilities that help make work execution much easier so that as your teams execute to deliver projects products or your initiatives they can stay focused on the business outcomes that their work is aligned to and originally funded for so they can meet and exceed the outcomes and deliver maximum value and if we thought there was a lot of changes happening at that alignment our portfolio levels certainly at this execution and team level huge impact i'm sure i'm not the only one on here today in in their pajamas uh if you look at this idc survey before the pandemic 32 percent of people said that uh they worked from home that at another 39 during the pandemic so then there's the challenge of without that kind of monday morning in office project team meeting how do teams effectively work together and let's look at some of the things that we put in place to help at this team level great so to kick it off doug we have ppm collaboration so we have this application that enables ppm collaboration for both slack as well as ms teams taking a look at collaboration being able to easily access and view project status or any risks or any events that associated the whole point is to be able to enable easier project communication so that everybody stays on the same page with what's going on in the project you don't delay things or slow things down so again you make sure you're delivering on those desired outcomes quickly and smoothly so let's take a look at how ppm collaboration works for both slack as well as ms teams and to begin we're logged into servicenow ppm as a project manager paul martin and part of his new project checklist includes enabling ppm collaboration for either slack or ms teams in this example paul clicks on enable slack integration or collaboration excuse me the related link on the project details page and this automatically creates a new slack channel for the project this is how paul would also enable the collaboration with ms teams which doug will talk about in a minute so paul can see his existing project team members as collaborators and any additional team members are automatically added to the slack channel when they're assigned a project task in servicenow they can also share and view any documents that have been uploaded to servicenow and servicenow will send a notification to the slack channel whenever a ridak item is created which keeps the tip and keeps the team informed about any risks issues decisions actions and changes and the project slack channel team will automatically get daily project status messages which will include the project overall status tasks due as well as any delayed tasks so for example this csm implementation project has one project planning test due today there are three overdue tasks and two other project tasks have been delayed so doug yeah that same integration is available with ms teams where you can see this project having been created within teams we see the status update that's coming across and we can leverage the native teams functionality to chat directly within team members and collaborate on the team side and this could include other stakeholders who aren't working in in service now are not assigned to tasks and servicenow we can see here if we come back to servicenow and we create a risk and we set this probability to higher absolute that is automatically going to come over to teams as well and this is a link all these items are linkable so that you can go directly back to servicenow if you have access you know doug these two particular integrations um the slack and ms teams um ppm collaboration for both of them i've had more people reach out to me in particular for additional information about this our customers seem to be really really excited about um using this to help team collaboration yeah i agree it's you know in servicenow we've got the structured data you know what are the tasks when are they due who's responsible for them and on the other side we've got these collaboration or conversational tools like slack and teams where people are saying hey i just got assigned to this task i don't know what's going on we want to bring those two worlds together to make sure that the teams are effective effective as possible especially with this work from home work from anywhere environment that we're in yeah you know and speaking of a variety of different ways of working another work methodology we also have our safe program increment of pi objectives and this is all about helping to maintain alignment between what the team the save team in this case is working on and again the desired business outcomes so safe program managers now can leverage this new functionality to enable them to create and track program increment objectives monitor them to make sure again that they're heading in the right direction working to the plan and aligned with strategy so let's take a look at how this one works so this time we're logged in as a safe scrum master and she's going to be looking at this safe application with the new pi objectives module and she'll begin on the new form for capturing information about pi objectives here the scrum master can choose between program and team between committed and stretch as well as set planned and actual business values she can also see which agile team or agile release train it applies to and which pi it applies to as well as see the full description of the pi objective so the scrum master can easily see a listing of all the pi objectives that have ever been created and she'll access the information about them in two places on program increments or on agile release trains and this is where our program level pi objectives will be entered she first selects the desired agile release train and program and next she'll select the pi objective related list where she can add new pi objectives add plan business value to a pi objective and later update the record with actual business value similarly she can select a team view existing pi objectives add new ones and then score the objectives and last but not least selecting the program increment form itself the scrum master sees the new teams related list which helps her track how our teams are doing across the course of the pi and for each team she sees what their total plan business value and actual business value was for the pi and all the pi objectives for this particular program increment so again really helping to make sure that um it's very simple to be able to write at a glance um see whether or not they're on track um according to the plan and the next one we're going to talk about is another integration deborah had talked about the the ppm integration with grc this is about the apm integration to grc and it's really about improving the collaboration between it and the risk teams so let's go ahead and look at it within grc [Music] my computer started going crazy within uh grc we have risk information but we want to be able to use this from the apm side and fill out these assessments without going over to grc and once we fill out those grc assessments we're going to be able to see things like what are the risks and the controls that we need to put into place to be able to properly manage this application so now whether you're an application owner or an ea you can can see you can see all of the controls and do the attestations against those controls directly on the apm side really brings those two teams together that are looking at the same thing the risk for a specific application thanks doug and again um just to highlight it on april 29th we're going to have greg cohn who's a grc subject matter expert join greg sand who's an itbm subject matter expert both ses for the respective teams and they're joining together to be able to do a co-presentation on this particular application along with the other the ppm to grc integrations as well and the next item we're going to be talking about is virtual agent for ppm and this is really functionality that is aimed at the project manager who can leverage virtual agent to quickly find out information about that their projects and that could be around status at the project level for instance uh find me all of my projects that have a status of red it could be around financial information for example show me all my projects that are over budget it could be around resource information where we might ask show me all my projects where i've made a resource request and no resource has been given and that work is going to start within two weeks so this is going to be really useful for finding information really quickly about those projects and next yeah go ahead it's ignoring me hold on no problem and then finally we'll just look at some other features that were released in quebec as well the first one is multi-currency for demand and resource plans we had previously released multi-currency function functionality for the project so now we've replicated that back to the demand and also the resource plans the next one is subtle but i think it's going to be very useful to project teams is the task level status where you can now easily identify for each task whether the status is red yellow or green i know we use that internally quite often people want to know hey doug you're working on this task is it red or is it going to be done on time the next is demand similarity so if you are using the similarity uh machine learning functionality to determine whether or not you're doing good estimating we've included an additional field which is the description field to help do a better job of identifying those demands or projects that are that could be similar to the one that you're planning out today and then finally we've done some resource management improvements that help project managers save time and a lot of this is around filtering to find the resource plans that they want and some of it is about making changes to those resource plans easier thanks doug i'd also like to point out our resources um for the quebec release so i think lisa also put these in the chat window for any of you but basically there's some great resources there's a community blog that's this first link which again highlights um some of the key items that we went over today in this webinar um also there's a replay of the quebec broadcast release where you can see um many of these items demoed again our demo now site look for them i'm not sure if they're there high level overview or a deep dive drill down discussion i'd like you to take a look at that so at this point i just want to open it up for q a i know we've got just a couple minutes i can't see the chat window um oh wait a minute do i i think there's no open questions right now we've answered some of them directly live as we've kind of been going through here there's been some good questions around exporting of the roadmap and we responded that that is something on our roadmap for roadmap planning we know that's a significant ask and uh and then just some some questions about the ease of setting up the msp integration and uh it is pretty straightforward but if someone does have uh concerns or needs some help uh i included my email in there doug.page servicenow.com and we'd be happy to help you get that set up perfect you know one thing this brought up doug you know along the idea of questions people might have about it in addition as we publish these apps on the store and more and more of them are coming out monthly on the store the store also has some associated curriculum training so there's some nice um high level training actually it's not even just high level it really gives you a great overview of how the whatever new feature works so look for those as the new itbm features come out on the store um that that curriculum training is available for you as well and there's another question here that from brenda says do we still download the apps from the store or are they integrated in quebec so that's a good question some of the items are available in the store and then we the process is what we call get trued up but they don't necessarily get trued up in quebec they might only get trued up in rome so if you have a specific question about one of them uh please let us know and we can answer whether or not that's available in quebec the family release or if you need to download it from the store but most of the items that we talked about today are available in the store and not all of them are trued out so you want to make sure that if you have access to that that you've uh that you've downloaded that and the one thing i'll just point out is the roadmap planning that we showed that does require a quebec environment most of the other items are backwards compatible to at least paris if not further back awesome and again there's a lot of
