hi everyone it's justin with crossfuse and today we're going to talk about one of the benefits of hardware asset management professional when it comes to managing your assets in servicenow this is a particular use case where a laptop might be broken we can see on the laptop example i'm going to use that i've got a state and an assigned to for this particular one we can see a location associated for hamburg and if we look at the allocations tab for this laptop we see that there is a adobe systems indesign software actually installed and associated with this laptop now in my instant example i'm going to create an incident and we're going to swap this asset for one that's in stock so i'll show you that in stock asset so you can see what it looks like if we go to that same general tab as before we see this one is in stock it's in the southern california warehouse the substate is available and it's set to the location of santa ana california now on the allocations tab we can see that there are no software allocations associated with this particular device so we're set up now to actually replace a broken laptop with one that's hopefully working in stock we'll navigate over to incident i'll go ahead and start a new one and i don't know if you saw but that particular laptop was assigned to dolly so we'll pull up dolly here and we'll look for her particular laptop in this screen now if you see up above my head i save these to my favorite so i could get back to them she's using ab0020 so we'll just search on that there's that macbook and we'll just say the laptop is broken and i'll go ahead and assign this to myself and save once we save the record we'll have access to the related lists for that particular record so if i scroll down i'll just load my related lists and notice behind me here i've got the macbook pro and the affected cis related list and with hardware asset management professional i have two new fields that i can add on this related list asset action and swapped ci so i can use the asset action to say hey i want to swap this device so i just double click and i'll just select swap i could do no action update repair or retire and those have some automations associated with them too but the swap is pretty cool to demo so i'll just save that once i've done that i'll go ahead and find the replacement asset so we can know we can tell the system what actually replaced that broken laptop so again i'm going to use the shortcut i have there for the one that i found ab0009 and we'll select that and i'll just save and we'll go ahead and resolve this we'll say it soft permanently replaced laptop and resolve now this incident is done dolly's gone on her way and let's go ahead and take a look at those assets to see what happened behind the scenes that your team doesn't have to go do so here's the old asset that ab0020 we see now that the state is set to in stock it is no longer assigned to dolly the substate has updated to pending disposal still in hamburg and if we look at the allocations for this old device we see that there are no more software allocations if we look at the device that replaced it that we swapped it out for it has changed the state to in use it's automatically updated the assigned to the dolly it updated the location to hamburg and if we look at the allocations tab we can see that that software adobe systems indesign has been moved from the old device to the new device now your team doesn't have to go manually update the state the user the location and the software allocations when they're doing something as routine and routine as replacing a broken laptop i hope you found this video helpful if you need help setting up hardware asset management professional and servicenow send us an email at let2talk crossfuse.com
