SPM Office Hour 48 - Enhanced Project Workspace
hello everyone this is charles rayburn from servicenow i'm part of customer success uh i'm pleased to uh present to you the office hour number 48 it's the itbm enhanced project manager workspace we're going to have a special demo today performed by lillian yang who's one of our senior subject matter experts on the topic for those who are new to office hours the first 30 minutes or so is going to be dedicated to presenting the topic at hand which will be a demonstration today and the remaining time is open for any questions and answers that you have related to the content that's being presented if you have any questions uh related to the content as it's being presented go ahead and put the comments or questions within the chat window and i'll do my best to ask lillian to kind of pause at a certain point to see if she can answer that question if not we'll take those questions and answer them towards the end of the session for those who are watching the video thank you guys so much for watching the youtube video um the key ask here is if you have any questions feel free to reach out in the community and we'll try to do our best to follow up with a question with the answer to those questions as we move forward all right without further ado lillian the floor is everyone um yours you for joining us today um we're very excited to um show you the new project workspace today um i will go ahead and share my screen and um the new new project workspace is built in our new next experience ui um it is a store app available um and compatible with san diego um [Music] and to get to the new experience once you've installed that store app we have a couple of entry points so in our regular project um workspaces homepage you'll see that there's a banner here where if you click into this banner you'll get to the new project workspace or this link over here um we also have a shortcut here to all our next experience workspaces so we can go ahead and click into the new project workspace um this new um workspace is built on our new next experience platform with new modern ui you'll see that it's largely familiar with the classic experience but with some updated ui here on that home page in this home page you'll see projects automatically filtered to projects that are either assigned to you or you're the project manager on you can also click to see all the projects within your organization or jump back to classic from here this link right here within um your projects you can search very easily by either project name or assignee um so if i wanted to search by project name i can quickly do that via this filter or use any of our quick sort and filter options um so you can sort by recent start or end date i'll go ahead and create a new project here so um when i create a new project i can easily apply a new project template to my project and a project should be created with pre-built tasks you'll see here this is our new planning experience so we land here this is our new gantt chart and our list view of our project tasks there are some new colors so child and parent tasks are grouped together so that you can easily visualize summarily group tasks together to add tasks is really super quick and efficient in our new experience so i'll add a couple here my first task my second task third and you can see it's pretty fast to add a handful of tasks here we have a couple of really quick um wonderful ux experiences that make it really fast applying your tasks so um one of them is our new drag and drop so i can go ahead and click any task drop drop it to the top i can do that with multiple tasks as well so i'll go ahead and check these three and move them to the top of our planning console um now within the um the planning experience if i wanted to work in list mode um i can expand and collapse this area so let's go ahead and explore the list section of this workspace so one of my favorite things about the new project workspace is the ability to book edit so i can go ahead and click multiple tasks and say you know i need a um and assign this to um [Music] i don't have any users loaded but let me send this to paul okay great um or change any field so i can change the start date of um one or more fields really very quickly here and let's go ahead and change the duration of these tasks as well and you'll see that it's a lot more efficient compared to our classic experience you can make multiple edits uh very quickly um one of the nice things about our new bart gantt chart is that as you complete your tasks you'll see a visualization here on the right on again to see how much of that project task has been completed and um let's say i wanted to work with dependencies so i will personalize this column and be able to move up columns as i need um so that they're available to me and i don't have to scroll too far down to find it and i'm going to also bring up status and enable that column as well um so with our new dependency editor it's really quick to type in the dependency so you can either search by wbs number or by a short description so i have a dependency on creating preliminary um go ahead and search for that enter that and we'll suggest the rest of the formula so if you don't remember if it's a finish to start or finished to finish dependency we'll have these available for you and you can quickly enter your dependency formula um and then i'm gonna change this status to yellow um another great thing about our list um view of the planning experience is that you can quickly sort and filter these columns so that you can find the right task to manage so i will go ahead and filter everything that is a status of yellow um and then if i want to let me refresh that experience um so i can sort by different um filter types i can also sort by um start and end date right here um and then when i want to reset my columns to default i can play reset everything um to see my original wbs order um in our columns we also have a couple of um a right-click action menu available at any point so in any column so even if i'm working at the far down right of this pawning experience i can right click here copy a cell add a task below add a dependency or delete my row i can also depending on the tasks convert indent or so let's add a child task to this so let's add a task right below here and indent this task well let's convert this one to oh there's probably a problem right instance right here but we also have the ability to indent or create milestones directly from that right-hand menu um now looking at the timeline um we also have a couple of actions that we can perform on the timeline um so we're able to move tests uh dates um this one's a work in progress so i'm not able to move it but let's do an open task right let's change this to open okay and that should allow me to move the task to left and right um that got moved up and then extend or shorten the duration my tasks as well as create dependencies directly in the planning console we do have autosave enabled for our planning console as as i'm making these edits um everything is saved in the background um you do have the ability to turn that off if you prefer a manual save um within the planning console you can also go into the form view and directly edit multiple fields at a time um track activity that that's happening in your um project as well as attach records um you can do that at the task level as well so at any task you can track the activity collaborate with partners directly here and see the latest updates and to add a baseline um we can create a baseline here um i will create two and also i will shift some of these test dates so we can see them move and i will create the second baseline as well with the new workspace um we do um apologies this is not quite working in my current instance um but we have the ability to apply two base lines um at a time um to compare with your actuals right here um within our settings menu um you can it's the same as accessing via the columns um but you're able to rearrange your columns as well as make some changes to your timeline so enabling your bar labels your critical path or turning on and off your dependency lines as well as displaying your overall project summary tasks um you're also able to access your critical path right here [Music] and we also have a helpful um help menu with some shortcuts um a legend for these handlebars here as well as some quick keyboard shortcuts available to you from here you can also directly access your attachments or your activity we have a couple of project actions that are also supported um applying templates if you didn't apply a template when you created the project or if you wanted to apply additional deleting moving copy and importing your project or export we also have a handy little um help video to go through all the features that i mentioned um here today it's a great overview of what's new in the new project workspace and that is our new experience uh we're continuing to build on this experience to make it fast and easy to plan and manage your tasks and we welcome any feedback any questions that i can answer from the audience here today i i have a few questions if i can of course uh first of all going to the um to the uh card view to the project workspace view are the car configurable as they were in the previous ui meaning may i select which information can i see on each card yes so it's not the same um [Music] via the same flow but you can um change the car view via the uib tool via the evam component okay great and then going to the to the planning console about the callers i got some question from from some customers if they can uh define the call the task caller based on an attribute either out of the box or customer attributes um these columns right here if we could do custom columns no no i mean the colors of the task oh right now um there are plans um to enable you to customize these colors similar to our roadmap tool where you can color or group by certain attributes so you may be able to um group by assignee or status so that will be coming in future it's in the plan backlog great and same uh similar question could we add the columns based on out of the box for custom attributes or is yes um so you would go into your pm task list uh change the view to project workspace and then configure the columns from there and another the last questions we have the ability to to see multiple baselines uh two baselines on the planning console uh is there any functionality or is in back in backlog any functionality to to let the pm or someone else to revert to a previous baseline the plan to a previous baseline um not currently um some of the reason for that is um a lot of times the status or completion has changed on um um on the previous baseline so we wouldn't want to revert you know change something that's in a work in progress back to an open um so we can certainly explore the use case for that and see how we can support that in a way that works the the basically the basic use case that i get from customer is um i have a plan right now the project manager changed the plan meaning that he moves tasks or expand or reduce tasks and so forth but before having this new plan being uh accepted it needed it's needed an approval by the pmo or someone else so they want to say we depend on approve this is the new plan otherwise you have to go back to the previous plan this is basically the most common use case i get okay makes sense yeah we can definitely keep that in consideration and explore how that would look like thank you um i see a question in the chat um if you move a task out in the future but has dependencies that it feeds into do those dependent tasks move out as well um yes so if you're creating a internal or local dependency within the same project and you add a dependency it works the same as in our classic experience so we'll honor that so we'll make sure that you know this dependency right here always has a two-day lag so the um the predecessor should has if that moves out this also moves out um to that date plus two um we also um keep in mind any time constraints that you've put on so you know if you've added a start note earlier than or starting specific date we'll factor that in as we move these dates the only time we don't move a task of a dependency and which is not yet supported in the classic in the new experience is when you create a soft external dependency so you create an external dependency to a project but it's only a soft dependency so if um the predecessor project makes a change we wouldn't automatically move that until we notify you and you accept the change um and this um is a great leeway into um some of these constraints that um are in this new workspace so if you do have external dependencies um to outside projects um this planning console currently is read-only um so you'll be able to see all the project tasks but you'll have to go into the classic experience to make any edits um and we do have a handy link here we do have plans to support it in a later version um so that you'll be able to do all the wonderful planning features in the new experience just as well as in the classic great any other questions from the crowd that's out there down are there any uh just a quick question for you lillian are there any other uh key areas that you want to focus on as a part of this space that that end users should be aware of even if there's any uh areas that are just a little bit more um involved uh it may take a little bit longer to get used to anything like that that you might want to point out um i will um mention just you know um um so right now we do support um a larger amount of tasks than in the previous uh planning console so i think in the previous planning console it gets pretty slow around a thousand tasks and this can handle about 3 000 plus uh pretty efficiently um and then in the next version we're releasing in may we should be able to support 5k even 10k tasks um as we'll be batch loading them as you load them so this will eventually be able to support really really large projects um projects that sometimes take span over multiple years um we're also bringing subprojects um support into the next version so being able to toggle and filter on um sub projects directly from this console or from the home page um we're bringing notifications in may as well so if you assign a task to a team member you'll uh you can enable email as well as platform notifications um so they know uh immediately when something's been assigned to them um we're continuing to build on this experience so as you play with this experience and you have feedback feel free to reach out to our team and we're happy to hear that feedback we're also working on all our other pages right so right now our project workspace um is the first version is just the planning console um but we do plan to support all these other wonderful experiences such as our resources financials um status report uh later on so if there's any interest to contribute to the research process um to build a better experience uh feel free to reach out there um the next one we're working on is our risks issues decisions actions and requests change experience um but we're also looking into financials right now um so we welcome feedback and open conversation around these topics oh that's great thank you so much for that i especially can't wait for the
